Hexagon Business Area – Information Technology

Activity Substance Code: Business Systems/Business Management

Description/Scope of Work

Objective:

To develop a comprehensive requirements and issues profile for the company, and identify a long list of candidate ERP/Manufacturing packages.

Approach: The project will be performed via the following steps:

• Project Kick-off Session: Brief the project team and all participants on the overall selection process, and on the ERP/Manufacturing Software Selection - Phase I project (i.e., project approach, roles and responsibilities, milestones and the deliverable), and discuss

expectations.

• Functional Interviews: Conduct interviews with department management and system users, and view shop floor. Discuss basic transaction flow, and ask general questions to develop the Site Specific requirements and issues.

• Executive Planning Session: In conjunction with company’s senior and department management, complete the Executive Planning section (approximately 140 questions).

• Standard Requirements Review: Based on the answers from the Executive Planning Session, generate the automated answers to the Standard Requirements and distribute the document to department management with review responsibilities identified. The Project Manager will coordinate the review of the Standard Requirements and submit to CITEC when complete.

• Edit Requirements: Update with any changes the client may have made.

• Process Requirements: Send to SoftSelect the completed and verified Standard Requirements for processing against the database of available ERP packages.

• Report Review and Project Debrief: Review the report received from SoftSelect for reasonableness, an understanding of the data and vendors, and identification of alternative action steps for follow-up project. Key Benefits

The project will enable the client to 1) understand their key business processes and requirements; 2) reduce the amount of time that the company needs to invest in establishing the system

requirements/issues, and selecting a package; 3) potentially lower the cost of the software solution because the company will have a better negotiating position by knowing what they want, why they want it, and what they do not want; 4) find out how well available packages might meet their requirements; and 5) produce a better end result by using a systematic methodology for the software selection, which increases the chances for success. This is particularly important, since the industry-wide failure rate for major system implementations is more than 50% (failure is defined as companies the are significantly dissatisfied with the end result. Either aborted implementations or poorly implemented with a fraction of the expected functionality operational).
