Introduction

The  ultimate  benefit  from  any  change,  i.e.,  the  ROI,  depends  upon  an  organization’s   competency   in   managing   the   people   side   of   change.   A   successful   change   is   not   only   about   delivering   a   project   on   time,   on   budget,   but   also   about   realizing   the   benefits  the  change  is  designed  to  deliver.  Benefit  realization  depends  upon:

• How  quickly  those  impacted  adopt  the  change?   • How  many  adopt  the  change?  And,

• How  well  or  proficiently  do  they  master  the  change?

Prosci’s   Change   Management   Certification   Program   provides   participants   with   a

best   practice   based   change   management   process,   tools   and   the   ADKAR®

model  to  effectively  manage  the  people  side  of  change.  Once  certified  in  the  Prosci   methodology,  participants  are  equipped  to  guide  their  organization  through  both   incremental  and  radical  changes.

About  Prosci’s  Change  Management  Process

The   Prosci   Change   Management   Process   is   a   planned,   systematic   approach   designed   to   take   the   organization   through   three   distinct   phases   –   preparing   for   change,  managing  change  and  reinforcing  change.

The   Prosci   Change   Management   Process   is   based   on   best   practices   research   from   over  4,500  change  agents  worldwide  that  lends  huge  credibility  and  support  to  its   change  management  methodology.  It  has  been  heralded  as  the  “best-‐of-‐the-‐best”   by  end-‐user  organizations  that  find  the  methodology  to  be:

• Comprehensive  –  as  it  addresses  the  change  at  all  levels  within  the  organization,   from  the  top  executives  to  the  front-‐line  employees.

• Proactive  –  as  it  prepares  the  organization  to  anticipate  resistance  before  it  arises   and  assess  gaps  in  ability.

• Simple   –   as   it   is   easy   to   apply   within   the   organization.   The   variety   of   tools,   assessments,  templates,  checklists  provide  the  user  with  1)  a  step-‐by-‐step  approach   throughout  the  process  2)  a  framework  for  evaluating  progress.

• Integrative  –  as  it  is  designed  to  integrate  with  Project  Management.

• Customizable   –   as   it   allows   the   organization   to   scale   their   change   management   effort  according  to  the  size  and  complexity  of  the  change.

About  ADKAR

®

 Model

The   ADKAR®   model   is   a   valuable   framework   for   understanding   and   managing

change   at   an   individual   level.   The   model   suggests   that,   establishing   the   five   key   building   blocks   of   change   -‐   Awareness,   Desire,   Knowledge,   Ability   and   Reinforcement,  can  bring  about  successful  change.  When  these  five  building  blocks   are   present,   change   happens.     The   model   provides   the   foundation   for   building   change  at  the  organizational  level.

The  ADKAR®  model  is  a  versatile  tool  that  can  be  used  as:

• A   planning   tool   that   ensures   that   the   five   key   elements   have   been   built   into   the   change  management  plans.

• A  coaching  tool  that  enables  managers  and  supervisors  to  focus  on  the  elements  to   be  built  with  employees  during  various  stages  of  change.

• An   assessment   tool   that   promotes   conversations   when   engaged   on   one-‐on-‐one   situations,   or   used   as   a   survey   to   zero-‐in   on   the   barriers   to   change,   identify   gaps   and  inform  action.

Program  Requirements

  1. Preparation

The  program  requires  that  participants  be  logically  grouped  into  project  teams  prior   to  attending  the  session.  Each  team  may  include  up  to  four  members  and  there  may   be  a  maximum  of  5  teams.  The  program  requires  each  team  to:

Submit   a   one-‐page   typed   summary   of   their   change   project   to   be   used   in   the   program.   The   summary   must   include   project   name,   scope,   description,   team   members,  sponsors  and  critical  stakeholders.

Submit  a  short  series  of  project  assessments  (Prosci’s  three  part  PCT  assessment),   sent  through  our  office.

2. Certification  vs.  Attendance

Certification  is  dependent  on  your  full  attendance  and  participation  during  the

program.  If  for  any  reason  you  are  unable  to  be  present  for  the  entire  program,  you  are   still  welcome  to  attend  but  may  jeopardize  your  certification  and  receipt  of  your

professional  development  units.  Please  plan  to  attend  the  entire  program  or  contact   your  coordinator  if  you  anticipate  any  difficulties,  or  have  questions.

Your  certification  in  the  Prosci  methodology  also  provides  the  following  additional   benefits:

• 23  Instructional  hours  from  The  Association  of  Change  Management   Professionals  (ACMP).

• 24  PDUs  from  the  Project  Management  Institute  (PMI).

3. Sponsor  Invitation  and  Kickoff

Participants  have  the  best  experience  with  this  program  when  they  are  aware  of  the   need   for   change   management   in   their   business,   understand   why   they   have   been   invited  to  the  program,  and  have  a  strong  desire  to  participate.

(7)

This  awareness  and  desire  is  most  strongly  influenced  by  a  senior  leader  who  acts   in  the  role  of  'sponsor'  for  the  program.    For  this  reason,  the  sponsor  is  required  to   send  the  program  invitation  to  the  participants  and  kick-‐off  the  program  on  day  1  to   ensure   maximum   success.   This   helps   to   set   the   expectations   for   the   program   and   explain  why  it  is  important  for  the  participants  to  attend.

4. Logistics

Clients  must  provide  Classroom  space  and  A/V  equipment  for  on-‐site  programs.   Requirements  include  one  main  classroom  for  three  days  (prefer  30’  x  30’  or  larger   classroom  for  10-‐15  students)  to  be  set  up  in  a  horseshoe  shape  and  a  couple  of   smaller  breakout  rooms  for  day  two.  A/V  equipment  includes  two  easels,  easel   pads,  one  PC  projection  unit  and  one  screen.

Wi-‐Fi  Access  for  Program  will  be  needed  for  the  instructor  and  participants:   -‐ Wi-‐Fi  Network  Name

-‐ Wi-‐Fi  Password

Success  Factors  for  the  Program

The  following  factors  contribute  to  the  success  of  the  client  onsite  programs:

1. Effective  Sponsorship:  As  discussed  previously,  the  participants  have  the  best   experience  with  this  program  when  they  are  aware  of  the  need  for  change   management  in  their  business,  understand  why  they  have  been  invited  to  the   program,  and  have  a  strong  desire  to  participate.  This  awareness  and  desire  is  most   strongly  influenced  by  a  senior  leader  who  acts  in  the  role  of  'sponsor'  for  the   program.

2. Client  Contact:  The  primary  contact  for  the  program  is  the  individual  that  works   with  Prosci  Canada  on  all  logistics  necessary  for  the  preparation  and

implementation  of  the  program.  The  overall  accessibility,  responsiveness  and   actions  taken  by  the  client  contact  are  critical  to  the  success  of  the  program.

3. Project  Definitions:  The  program  is  based  on  hands-‐on  application  of  change   management  concepts  to  live  projects  happening  within  the  organization.  Providing   a  pre-‐session  debrief  on  various  projects  to  the  Prosci  Canada  instructor  ensures  a   more  meaningful  interaction  with  the  group.

4. Managing  Expectations:  Participants  react  better  to  the  program  when  they  know   what  to  expect,  what  is  expected  of  them  and  are  fully  prepared  in  terms  of  location,   schedule  and  pre-‐readings.

5. Environment:  Elements  such  as  overall  classroom  size,  breakout  rooms,  activity   areas,  windows/natural  light,  food  etc.  contribute  to  a  building  the  best  learning

(8)

environment  for  the  program  and  bear  upon  its  success.
