Accessing SURFdrive (web interface)

In tro d u c tio n

You can always access your files in SURFdrive through a web browser. Here you can view, move, rename, download, share and delete your files easily. You can also upload new files and create new directories.

To access SURFdrive through a web browser, please follow these steps:

1. Navigate to https://surfdrive.surf.nl. In the top-right corner, click on "Login to SURFdrive". 2. Select your institution from the list. Note: if your institution is not listed, your institution does not have access to SURFdrive yet. Please contact your own institution's helpdesk for further questions.

4. If this is the first time you are using SURFdrive, you are asked for permission to share some of your personal data. SURFdrive needs the following information to use the service: Display Name and email address (in order to share files with other users), and Institution User ID (in order to uniquely identify all users).

To navigate through folders in SURFdrive, you can simply click on a folder name. The navigation bar will show your current directory:

You can click on one of the upper directories to navigate up or use 'home' icon to navigate back into your root folder.

You can create files by simply clicking on the 'New' button. The 'New' button will provide three options to choose from:

Text file: will create a simple text file and add into the current folder in your SURFdrive. Folder: will create a folder in current folder.

From link: will download the file from the provided link and place it into the current folder.

You can select one or more files by clicking on the small thumbnails or icons in front of the files. To select all files in the current directory, use the checkbox just above the first file/folder on the list.

If you select multiple files, these files can be deleted all at once or downloaded as .zip by using the buttons just above of the file list.

SURFdrive can display uncompressed text files, OpenDocument files, PDFs, and image files by simply clicking on the file name. If displaying of a file is not possible, the file will be downloaded instead.

In SURFdrive, files can be moved by dragging and dropping them into a subdirectory. If you would like move files into an upper directory, drag the files into one of the folders shown in navigation bar.

To delete a file or folder, hover over that file and press the 'X' all the way to the right. Note: the file will be saved in your 'Deleted files' for 30 days, to allow you to recover it. If you want to permanently delete a file, navigate to 'Deleted files', select the file and press 'Delete' to completely remove the file. Please note that recovering the file after this is impossible!

SURFdrive supports version control for files. Versioning automatically creates backups of certain files. To access these backups, click the 'Versions' text when you hover a file. This link contains the history of the file; you can roll back a file to any previous version.

To restore a specific version of a file, hover your cursor on a file and click 'Versions' link. If any previous version is available, you should see a list like the image below:

7/7 Clicking on 'Restore' next to any version will revert the file to that version.

Old versions are automatically expired to make sure that you don't run out of space. The following pattern is used to delete old versions:

• For the first 10 seconds SURFdrive keeps one version every 2 seconds • For the first minute SURFdrive keeps one version every 10 seconds • For the first hour SURFdrive keeps one version every minute • For the first 24 hours SURFdrive keeps one version every hour • For the first 30 days SURFdrive keeps one version every day • After the first 30 days SURFdrive keeps one version every week

The versions are adjusted along this pattern every time a new version gets created.

Also, version control ensures to never use more than 50% of the users currently available free space. If the stored versions exceed this limit SURFdrive deletes the oldest versions until it meets the memory usage limit again.

You can recover a deleted file by clicking 'Deleted files' in the top-right corner. Next, select the file(s) you want to recover by clicking the thumbnail or icon in front of the file and press 'Restore'.
