Testimonials and Case Studies

Tailormade Conference Management has been operating since September 2002. The main services that are offered are:

VENUE SELECTION - FREE

 Venue finding service according to client’s location, budget, meeting requirements and quality aspirations. Applies to anywhere in the UK.

 Finding, reserving and confirming overnight accommodation, for business and conference related activities with directions to the venue also provided

 Advice on event programme, themes and itinerary

 Recommend third party suppliers such as Audio Visual and Transport

 Compile all contractual administration between client and suppliers  Assistance with ticket reservations for train, air and car travel

 Invoice checking procedure

EVENT ADMINISTRATION

 Coordination of all pre-event administration with the venue(s)  Compilation of rooming lists, advice on key points of detail  Production of delegate name badges

 Directions to venue service for all delegates

 Management / production and delivery of all delegate registration packs / gifts/ mementoes / welcome letters / agendas.

EVENT MANAGEMENT AND CO-ORDINATION  Pre Conference meet with venue on the day

 Visual check of all areas / equipment to be used on the day  Preparation of all directional signage

 Registration of delegates on arrival

 Coordination of timings on the day with the venue  Pre-check of all critical break times for quality

 Conference evaluation service, produce paperwork and results  Liaison with secondary suppliers such as A.V.

Case Study 1: Venue Find

Venue Find Overview:

The Adjudication Panel for England needed to find venues in all parts of the country to support tribunals that needed to be held.

TCM involvement:

 Selection of venues  Negotiation of prices

 Creation of reports for the Adjudication Panel with a minimum of three venues per location, and within a specific budget

 Issue confirmation to the venue and the client

 Assistance with cancellations if required including negotiation of charges.

Case Study 2: Product Launch for Agricultural company

Project Overview:

Product launch of cereal fungicide product to major distributors, farmers and and advisors throughout January and February. 32 venues involved

throughout England, Scotland, Ireland and Wales. 1500 attendees over the 7 week period, in Rugby venues.

TCM involvement:

 Selection of venues, site visits

 Selection of branded vehicle to accompany the tour

 Arrangement of all transport and audio visual requirements  All pre-event administration with venues and hotels

 Telemarketing follow up with all invited attendees to check attendance

 On site event management

Case Study 3: Road Show for Major Supermarket

Project Overview:

12 events to help cement customer loyalty between the supermarket and their Wine Club members.

The events took place throughout the UK over a 4 week period involving over 5,000 customers.

At each venue there were:

 14 suppliers exhibiting with over 120 wines for customers to taste.

 Tutored wine tasting with a celebrity guest speaker, Matthew Jukes or Charles Metcalfe

 A selection of the cheese and biscuits for customers to sample

TCM involvement:

 Selection of venues, site visits

 All pre-event administration with venues

 Coordination of the mailing to invited customers  Dressing of each venue

 Receipt, transportation and storage of all wine and food stocks for each venue

 On site event management

 Retail sales, and stock management

Client feedback:

Feedback received from the supermarket personnel, their external suppliers and customers after a series of nationwide events has been of the highest order – “Consistently excellent, very good people, very hard working, always helpful. They were excellent, a good team spirit with great enthusiasm”.

Case Study 4: Venturefest Yorkshire

Project Overview:

A one day event that provides advice, connections, investment presentations and networking opportunities for entrepreneurs in high growth sectors. The event involves 1500 delegates, a breakfast event, a number of seminars, +100 exhibitors, keynote presentations and culminates in a large dinner and awards ceremony for 300 guests.

TCM involvement:

 Overall project manager for the event  Selection of contractors to run the event  Securing funding from sponsors

 Selling of stands to exhibitors

 Selection of speakers and content at the event  Communication to the Board of Directors

 Management of social media on Twitter & LinkedIn  On site event management

 Problem solving as necessary on the event day

Case Study 5: Foundation

Project Overview:

A series of events to celebrate Foundation’s 25 year anniversary. This involved 2 customer away days, a charity sky dive and a final high profile event for stakeholders. 60 people attended each of the customer away days and 200 people attended the stakeholder event.

Throughout the duration of the project, TCM also assisted with a successful re-brand of the organisation from “Foundation Housing” to “Foundation UK”.

TCM involvement:

 Overall project manager for the events  Selection of venues to host all three events

 Coordination of design of invitations to customers and stakeholders

 Procurement and advice on rebranding collateral  Selection of entertainment to support the events  All pre-event administration for all three events  On site event management

 Problem solving as necessary on the event day
