Server Migration

Introduction

Before migrating from Microsoft Exchange Server 2003 to Microsoft Exchange Server 2010, you certain pre-installation tasks must be performed, so that ELM for Exchange version 5.5/6.0 can run in the new Exchange server environment. This manual describes these pre-installation tasks and how to complete them.

The tasks include:

These tasks are described in detail in the following sections.

Pre-installation Tasks for Exchange 2010

This chapter describes these pre-installation tasks and how to complete them. Begin by adding the superuser to the “View-Only Organization Management” role; then assign permissions for all mailboxes using MS Exchange Server.

To complete the pre-installation tasks:

1. Run the Exchange Management Shell from Start > Programs > Microsoft Exchange Server 2010 > Exchange Management Shell.

2. To add the superuser (srv_exchange) to the View-Only Organization Management role, run the following cmdlet in the shell :

Add-RoleGroupMember "View-Only Organization Management" -Member "srv_exchange"

3. Then run the following cmdlet to assign permissions for all mailboxes to the srv_exchange :

Get-MailboxDatabase | Add-ADPermission -User "srv_exchange" -AccessRights ExtendedRight –ExtendedRights Receive-As, ms-Exch-Store-Admin

It may take some time until the superuser rights are assigned. This is simply a replication issue.

Synchronization of Exchange Server 2010 with

ELM Exchange Edition

When the pre-installation tasks are completed, synchronize Exchange Server 2010 with ELM Exchange:

1. On your ELM Exchange server, run ELM Exchange Enterprise Manager (Start > Programs > SAPERION > SAPERION ELM > Enterprise Manager).

2. Open Addressbook Manager from Tools > Addressbook Manager.

3. On the Servers tab, right-click inside the list view, and from the context menu select Tasks > Add Server.

4. The "Add New Exchange Server" wizard opens. In the Select Exchange Server type window, select Exchange 2010 and click [Next].

5. Your domain configuration is automatically detected by the wizard. Click [Next].

6. A list of your Exchange Servers 2010 appears. Servers highlighted in blue are already synchronized with ELM. To synchronize your Exchange Server 2010, click its check box and click [Next].

The superuser account must be granted rights on that Exchange Server. If pre-installation tasks were completed successfully, this is already done.

7. In the Summary dialog, click [Next], and when the process finishes, click [Close].

Replication of Organizational forms library

On Exchange 2003, ELM Forms are published in the Organizational forms library, which is a public system folder. There is no need to create a new Organizational forms library on Exchange 2010, as long as the Organizational forms library can be replicated.

To set up a Organizational forms library replication:

1. On your Exchange Server 2003, run System Manager by clicking Start > Programs > Microsoft Exchange > System Manager.

2. In the Exchange System Manager window, expand the tree structure to: Administrative Groups > First Administrative Group > Folders > Public Folders

3. To display system folders, right-click Public Folders, and in the context menu select View System Folders.

4. Then expand Public Folder > EFORMS REGISTRY > Organizational forms. Right-click the Organizational forms and open its Properties window.

5. Click the Replication tab and add Exchange 2010 to the replication list.

Assigning Owner Rights

As noted earlier, the superuser must have administrative and owner rights to the Organizational Forms library.

To assign the rights to the superuser:

1. Run the Exchange Management Shell from Start > Programs > Microsoft Exchange Server 2010 > Exchange Management Shell.

2. Now enter the following command to set access rights for super-user (srv_exchange):

Add-PublicFolderClientPermission -Identity "\NON_IPM_SUBTREE\EFORMS REGISTRY\FormsLibrary" -User "srv_exchange" -AccessRights "owner"

+ Identity: the path to the Organizational Forms library

+ User: the name of the superuser who will be assigned rights

+ AccessRights: usually set to "owner"

If you are not sure of the name of the Organizational forms library, the following command can be used. It grants permissions for the child objects under EFORMS REGISTRY:

Get-PublicFolder -Identity "\NON_IPM_SUBTREE\EFORMS REGISTRY" -GetChildren | Add-publicfolderclientpermission -User srv_exchange -AccessRights Owner

It may take some time until the superuser rights are assigned. This is simply a replication issue.

Tips & Tricks

If you run into any issues while assigning rights to the Organizational Forms Library, download Microsoft ExFolders from the following location:

This tool facilitates the process of assigning rights to different Exchange Server folders. It can be used for MS Exchange Server 2010.

Then send an ELM form to all users you plan to archive:

1. On the client machine (without Addin installed), open Outlook with the superuser account. On the menu bar, click Tools > Forms > Choose Form.

2. In the Choose Form window, select the Organizational forms library in the "Look In" down-drop list.

3. Select the fourth form. Keep the SHIFT key pressed and click [Open].

4. The file opens and looks like a normal email. Send this email to all the mailboxes you plan to archive.

Moving Users

Moving users from Exchange Server 2003 to Exchange Server 2010 is an Exchange administration task and thus is not covered in this manual. If you have any questions about moving users, please consult the Microsoft knowledge base.

Even after the mailbox has been migrated, shortcuts continue to be available and the user can still retrieve archived emails .

Synchronize Users with ELM Exchange

Now your users are moved to Exchange 2010. They may appear deleted in SAPERION ELM Exchange Enterprise Manager, but they are not actually deleted; ELM Exchange just cannot read the data yet. To update ELM Exchange, you have to synchronize the users using Addressbook Manager.

When users have been moved to Exchange 2010 but the ELM Exchange synchronization has not run yet, users can still read their archived emails. However, in Enterprise Manager only archived data are accessible and Addin is disconnected.

To synchronize users with ELM Exchange:

1. On your ELM Exchange server, run ELM Exchange Enterprise Manager (Start > Programs > SAPERION > SAPERION ELM > Enterprise Manager).

2. Open Addressbook Manager from Tools > Addressbook Manager.

3. Click Synchronization on the menu bar and choose Synchronize addressbook from the down-drop list. The Addressbook synchronization settings dialog appears.

4. Check the following check boxes to run the complete synchronization:

+ Allow mailbox update

+ Force mailbox refresh

+ Change RDN

+ Allow mailbox migration

+ Allow group update.

Then click the [Start] button. You will get a summary of the synchronization. Finally click [Close].
