Organizations can ensure better coverage by helping themselves. Here's how: *Plan ahead. Get information to the newspaper as early as possible.

*In preparing press releases, say what's happening, where, when, why, who benefits, what it costs and who can people call for more details. Please check on the spelling of names. Include suggestions on where you think the item should run (see below). Include a date you would like it to run. We'll

accommodate requests when we can.

*We can often use photographs. Be sure to list the order and identity of everyone in the photo. There are many places in the newspaper to include announcements:

* Community Calendar. In the Community section every Wednesday. Includes ongoing meetings and events and one-time events. A one-time event will run every week from the time of announcement until it's over. The section also includes Church Briefs for church and religious events.

* Calendar in the Weekend! Section. Runs every Friday, listing at least a week's worth of local entertainment, or more on a space available basis.

* Saluting Community Volunteers. Runs in the Currents section every Saturday. Nominate a Volunteer of the Week for an upcoming event as another way to promote it. The page is also a place to list

organizations that provide volunteer services.

* Schools! Monthly section includes photos and short stories of events that occurred in Putnam County public schools. Check with your school to see who's in charge of submitting these.

*There is always the possibility that we will write our own story and take our own photos. You can also try to get interest from our columnists who write about entertainment, or West Putnam and South Putnam events.

**Announcements can be sent by mail, e-mail, fax or hand delivery.

*In The Ledger's Life section, we publish club events open to the public, news about enlisted men and women, etc. The Activities calendar features fund-raising events, special classes, seminars, dances, car washes or just about anything of interest to the general public.

*Information about happenings that occurred at club functions and community events are featured in a Sunday Potpourri column by Lorraine Valerino, or similar columns in the East Polk section.

*Good Causes is a listing of upcoming fund-raisers and worthwhile projects that benefit the community. **To have your event published, limit your message to three sentences. Include a full name and phone number for publication. Address materials to GOOD CAUSES, The Ledger, P.O. Box 408, Lakeland 33802. Or fax material to 863.802.7826.

**Include a snapshot to illustrate your good cause. Photos cannot be returned but may be picked up after publication. We need your material at least three weeks before the event. Good Causes appears on the basis of space in the Life section.

Public Service Announcements

WOFL broadcasts a variety of public service announcements for local and national organizations. Mail the videotape of the PSA for consideration to the Community Service Coordinator at WOFL. Please find a list of our PSA criteria below in order of consideration:

* All PSA's must be submitted on BETA or BETA SP for consideration.

* All PSA's must fit within the stations public service goals each quarter - if the message does not meet these goals it will not be considered for air.

* All PSA's must fit within the interests of our target market - if the message is not suitable for this market it will not be considered for air.

If you submit news releases to The Palm Beach Post on a regular basis, you may find it worthwhile to establish a name-to-name relationship with someone on the news staff.

Your "contact person" most likely will be the assignment editor or bureau chief. Mailing your news release directly to him or her saves time and is the most efficient way to deliver your information. Your person may help you understand what is news among your organization's events, referring you to the correct editor or reporter if necessary. How to Prepare News Releases

To get information out about your event, you'll want to submit it for publication in the form of a news release. Here are some suggestions to help you get your news in print:

Format

---Type your release whenever possible. Double-spaced copy is preferred. ---Remember, if they can't read it, they can't use it.

Items to Include

---Include the name of your organization, your address and telephone number and the date at the upper left. ---Indicate when the information should be printed at the upper right. "For Immediate Release" should be used when the information can be used upon receiving.

---If an item is submitted early, include a release date, e.g. "For Release June 30." ---Always include a contact name and telephone number.

Writing Your Release

---Start your release with the most newsworthy information-the reason for the story. Then include your second most important fact, and so forth.

---A complete release should include the five W's:

Who? What? When? Where? Why?

---Write clearly, use brief sentences. Keep paragraphs short and to the point. ---Provide full names. Include first names and middle initials as well.

---Do not abbreviate names of organizations. You can't attract readers to attend a meeting of the S.A.K.B.Q.Z.E. if they don't know what it is. Always spell it out.

---Double-check all information for accuracy. (Very Important!) ---Proof read, edit and reproof your press release.

---Never submit a press release in all upper case characters. ---Don't wait to write your release at the last minute.

---Use the following header for immediate release: Contact: Contact Person Company Name Telephone Number Fax Number Email Address Web site address

---Use a minimum of one-inch margins on each side of the page. ---Use a Bold typeface for the headlines to draw attention.

---Capitalize the first letter of all words in the headline (with the exception of: "a", "an", "the", or prepositions such as: "of", "to", or "from"). The combination of upper and lower case makes it easier to read.

---

Complete the paragraph on one page instead of carrying it over onto the next page. ---Use only one side of each sheet of paper.

---Use the word "more" between two dashes and center it at the bottom of the page to let reporters know that another page follows.

Where to Send News Releases?

To know where to send your information, you should be aware of how each department is organized, exactly what kind of news items interest each department. The Community Calendar or the Community section of the newspaper is usually where you should direct your press release to.

What Happens to News Releases?

---Once the editors receive your news release, they usually edit it for clarity or brevity.

---Although you may send your release to a particular news department, you may find it printed in another section. In this case, the editor placed your story in another section to present it in the best possible way to the readers.

• Remember to include a contact number so that you can be reached for more information. • Timing is important – when do you want your message out? If a registration deadline is involved, be

sure to send the draft press release at least 3 weeks ahead of time. If you don’t want the story released until a specific time, say so by stating clearly at the top of the release.
