The View from The Shard

The View is situated at the top of The Shard, the tallest building in Western Europe on floors 68, 69 and 72. The experience is a high tech and multi-sensory journey, with exhilarating 360° previously unseen views, stretching up to 40 miles across the city. At 800ft (244m), The View is almost twice the height of any other viewing platform in London.

The Shard is an iconic, landmark building on the London skyline designed by Master Architect Renzo Piano. At a height of 1,016ft (310m) The Shard redefines London’s skyline and is a dynamic symbol of London, recognisable throughout the world.

Job Description

Job Title: Assistant Facilities Manager

Reports to: Head of Facilities

Staff reports: None

Salary: Up to £24 – 28,000 PA

Closing Date: 16th January 2015

Job Purpose: As part of the Facilities Management team, the Assistant Facilities Manager will have the responsibility of ensuring that all AV and IT equipment and base build electrical, mechanical, HVAC and general services equipment are maintained in accordance with the agreed specifications and all such

services operate efficiently at all times.

Our guests must be at the heart of all plans and decisions, to ensure that guests to The View enjoy a premium quality, guest focused customer service.

Duties and responsibilities

Visitor Experience

 Supports technical areas by ensuring the troubleshooting and maintaining of all IT and AV related equipment/systems and elements down to component level for The View including ticketing, access control, communication systems, general office functions and other elements as assigned

 To fully support The View Duty Manager and Events Operations Manager for both Operational hours and Corporate Events respectively as specified.

Manage Performance

 Maintain high standards of appearance for all areas to ensure that a safe, clean and attractive environment is provided for staff and customers.

Health & Safety

 To undertake Health, Safety and Fire responsibilities with respect to you, staff, guests, others on the premises and the Shard estate. Ensure compliance with Shard Health and Safety procedures and completion and regular review of risk assessments

 To assist with all works, testing and record keeping of the fire alarm system in order to meet relevant conditions of fire risk assessment and other statutory requirements.

Operational Standards

 To ensure all operations comply with a comprehensive set of Standard Operating Procedures (SOP's)

 To act as an ambassador for The View and lead teams to put our guests first

 Demonstrating a positive presence within The View by being alert and aware of guests, displaying positive body language, presenting yourself to the highest standard and wearing your uniform to the agreed guidelines, demonstrating that you are

approachable to other staff and guests

Recruitment, Selection & Training

 To assist with recruitment in other teams where required Resource Management

 Constantly challenge costs for the department to ensure mindful spending of budget, review operation and spends against costs

 To assist with planned and unscheduled maintenance programmes using the given computerised database for the relevant plant and equipment ensuring that all works are carried out efficiently and economically and that the required records are maintained.  To schedule and supervise all contract works and repairs. To ensure that such works

are as per specification and are in the best interest of the View and the Shard  To assist in the preparation of specifications, and if necessary to liaise with other

departments/consultants as necessary, for any new works or modifications to existing services and to progress such works. It is critical that the building and The View operation receives the minimum disruption while such works are carried out.

 Be responsible for the general maintenance of all areas of The View, including decoration and repair through contractors or the Facilities team. This will at times require a hands on approach.

Strategic Analysis and Planning

 To deputise for the Facilities Manager or the Head of Facilities when required

 To advise the Facilities Manager or Head of Facilities on all technical functions relating to plant equipment and IT/AV systems and to be familiar with latest developments in technology

 To promote the Facilities mechanism for recording activities for the handover process and works analysis

Communication & Influencing Skills

 Motivate the wider View team via the provision of regular, appropriate information, in an informal, relaxed and interactive style

Level of Authority

 A key member of The View management team

 As part of this team, responsibility for the technical elements of the guest experience  Point of contact for key stakeholders e.g. Building Facilities Management, Systems

General

 Ability to work effectively in a team with good leadership and motivational skills

 Use telephones, radios, computers and other technology as required, to aid carrying out your duties

 Assist team members and other Shard staff as required  Attending training courses as requested

 Adhere to The View code of conduct and uniform regulations  To confidently make presentations to the wider team

 To proactively seek solutions and problem solve  Any other duties appropriate to the grade of the post

Person Specification

Knowledge

Essential Desirable

Excellent knowledge of good health & safety management practice with experience of using systems for checking and monitoring health & safety issues (for example by completing risk assessments)

Knowledge and passion for London Good knowledge and experience of implementing HR policy and

procedures in the workplace, including recruitment and health & safety

Good knowledge of existing

employment legislation, including an understanding of access issues and the Equalities Act 2010

Skills /Competence

Essential Desirable

Excellent communication, customer service and influencing skills,

communicating clearly and confidently in English to a diverse range of guests, staff, peers and managers verbally and in writing

Proven ability in taking accountability for the delivery of small projects, on time (and to budget) and can

demonstrate a consistent and strong bias to action

Exemplary personal presentation standards

The ability to communicate in a second language

Strong interpersonal skills with

competence in building and maintaining effective working relationships at all levels of the organisation and with external stakeholders

Proficient in the use of Information Technology, able to design and maintain spread sheets and analyse data produced with a good working knowledge of Microsoft Office (including Outlook, Excel, Word and PowerPoint) with the ability to quickly and easily learn other software Proven technical expertise in more than

one of the following fields:

 electrical, mechanical and HVAC systems

 computer hardware installation and maintenance

 computer software and systems  electronics and circuitry design  microcontrollers

 PLCs

 embedded PCs

 programming languages (assembly code, C, C++, Visual Studio.net)  audio visual systems

 lighting control

Experience

Essential Desirable

Good experience of providing a high quality IT, AV or M&E support service

Experience in operating EPOS and/or electronic ticketing systems, including cash handling responsibilities

Operational management responsibilities

Good experience of working at

management or supervisory level with demonstrable evidence of delivering excellent customer service, ideally within a large visitor attraction or similar environment

Academic Qualifications

Essential Desirable

A Levels or equivalent qualification or proven experience in a customer facing role in a similar environment

A current first aid qualification

Note: As may be expected with a new organisation, the nature of the tasks and inherent

responsibilities are liable to change as the organisation and structure of the organisation change to respond to key project priorities and objectives over time. The job and its role will be subject to annual review and any adjustments in the role will be discussed and agreed with the post holder.

GENERAL INFORMATION

Working Environment

 Based at the Shard, London Bridge.

 Occasional travel may be required to attend industry events, training etc.

Working Pattern

 Full time employees will be expected to work 42 hours per week on a roster pattern that will include weekends, bank holidays and evening working

 There is a need to be flexible with working hours and on occasion’s work out of normal working hours to assist operational demands
