About the Supplies Network PSN

DDMS now supports Supplies Network (DMI) using Private Supply Network (PSN). This allows you to electronically transmit purchase orders from your DDMS to Supplies Network, which makes the ordering process easier and more efficient. Using the Vendor MultiLoader program, you can periodically load dealer-specific Supplies Network pricing into the DDMS Item database. The purchase orders are electronically transmitted to Supplies Network in their preferred format via PSN, and you receive the acknowledgment of the purchase order automatically.

Note: PSN set up uses graphical and text-based screens. For more information on opening and using text-based screens, see the Opening Text-Based Screens handout on the Customer Support Center.

Setting Up and Using the Vendor MultiLoader

The Vendor MultiLoader program gives you access to all the supplemental vendors’ item files in just a few clicks. You can load supplemental vendor files quickly and easily.

The Vendor MultiLoader program updates all the O/PUS supplemental vendors according to the param-eters (settings) you set. Each vendor has its own settings screen.

The Vendor MultiLoader program is normally run once each quarter after you run the O/PUS SIMPLE program. However, you can run the program as many times as the vendor files become available.

If you need the latest version of the Vendor MultiLoader, download it to your DDMS server using PSNControl.

1. Double-click to open PSNControl. The File Transfer window opens. 2. Make sure the correct quarter is selected under the Step 1 heading.

3. Under the Step 2 heading, type VENDOR in the Enter File Name box. 4. Click Add to File Transfer List.

5. Click Transfer Now.

6. When the Download Complete message displays in the File Transfer List box, click Exit. The latest Vendor MultiLoader program is now installed.

7. To start the program, click Start, then All Programs, and then VENDORMULTILOADER.exe.

Using the MultiLoader to Update DDMS Inventory with

Supplies Network Products

Using the Vendor MultiLoader program takes just a few steps.

Downloading the Price List File

1. Go to the Supplies Network website: www.suppliesnetwork.com 2. Log in with your ID and password.

3. Click in the top right corner of the page.

5. Choose one of the following options to obtain your price list:

• Current Price List: Your Supplies Network prices go into effect immediately. Select Complete Export to complete.

• Future Price List: Your Supplies Network prices go into effect at the start of the upcoming month. A Complete Export of all SKUs is automatically selected.

Supplies Network emails you the Price List file within 10 minutes. 6. Save your custom file to a folder on your DDMS server.

Note: To learn more about the Price List file, please contact your Supplies Network account representa-tive at 800-729-9300.

Setting Vendor Settings

1. Open the Vendor MultiLoader window.

2. In the Vendor MultiLoader window, check the box next to Supplies Network. See Figure 1.

3. Click Vendor Settings. The Vendor Settings dialog box for Supplies Network opens. See Figure 2. 4. Click Find DMI/Supplies Network Custom File and navigate to the location where you saved the

cus-tom file on your DDMS server.

5. Click Convert DMI/Supplies Network Custom File to convert your custom file to a version that is read-able by U_DMISN. A file named SNPRICES is created in your OPUS download folder.

Note: If you are loading a Supplies Network Special Promotions File, see Loading the Supplies Network Special Promotions File (pdf) for more information.

6. Select the Create New Items option to add new items not found in your inventory. The items are cre-ated using the supplied Supplies Network number. A blank space in this box does not create items. 7. If you choose to create new items, enter a Stock Class and Department for the items created.

Note: The I-WHL record is created for new items. If an item’s Primary Wholesaler is not Supplies Net-work, the Supplies Network cost is added (or updated, if the record already exists) in the multi-vendor record (I-CAT).

8. Select the Update List Price on Existing Supplies Network Items option to load the Supplies Network supplied price into the pricing record list box.

A blank space in this box does not update the list price on existing items. 9. Enter up to 10 stock classes to not update, if needed.

10. Click Done.

Selecting the Exceptions Report Printer

The Exceptions Report lists items that were not added or updated, along with the reasons. This report automatically prints during the update.

1. Enter the DDMS printer ID in the Exception Report Printer box. 2. Click the Always box to use the same printer each time.

Note: In addition to the Exceptions Report, the All Item Report is available in the DDMS/SR folder. The Supplies Network report is named RPT-DMISN.xls.

Downloading Files

1. When you click Download Files, the PSNControl File Transfer window opens and the necessary files are automatically downloaded. You can see which files are unavailable in the displayed list.

2. The vendor files are saved to the OPUS Download unit. The Download Complete message displays. 3. Click Exit in the PSNControl File Transfer window.

Starting the Update

Now that you’ve downloaded your vendor supplemental files, you can start the update:

1. Click Start Update to update your item files. A status update message displays next to each vendor you selected. When finished, the Update Status column shows Done.

2. When you finish, click Exit.

Setting Up the Supplies Network PSN

Before you set up parameters for Supplies Network, make sure you have PSN set up. If this is your first PSN vendor and PSN is not already set up, start by following the steps in the Setting Up PSN handout on the Customer Support Center.

Once PSN is set up, setting parameters to communicate with Supplies Network involves the following: 1. Contacting Supplies Network.

2. Setting up the EDI record. 3. Setting up the vendor database. 4. Setting communication parameters. 5. Creating a customer record.

6. Setting up trading partner parameters.

Contacting Supplies Network

During the PSN set up in DDMS, you are required to enter information that must be obtained directly from Supplies Network. Supplies Network also needs to enter your Qualifier, ID, and Code into their system. To find or set up your Qualifier, ID, and Code, go to the Setting Up the EDI Record section. Please contact your Supplies Network sales representative to give them your Qualifier, ID, and Code and to receive your Sign On ID (Contact ID).

Setting Up the EDI Record

Supplies Network cannot accept your transmission unless they enter your Qualifier, ID, and Code into their system. If you already have a Qualifier, ID, and Code in the EDI record of the (L6WB) screen, record these numbers, and go to the Contacting Supplies Network section to give them your Qualifier, ID, and Code. Note: The values in these fields are used for multiple PSN vendors. Changing existing data may cause

problems communicating with other PSN vendors that you currently have set up, so only complete this section if the Qualifier, ID, and Code fields are blank.

If the EDI record is blank, complete it using the instructions below:

1. From the DDMS text-based Master Menu, type L6 to open the (L6) Vendor and Wholesaler Commu-nications screen.

2. Type W to open the (L6W) EDI Network Communications screen. 3. Type B to open the (L6WB) AT&T EDI IMS Parameters screen. 4. Tab to the Qualifier field. See Figure 3.

5. In the Qualifier field, enter your selection from the following: • 01 (This is the preferred qualifier.)

• 16 • ZZ

6. In the ID and Code fields, enter information according to the following. • If your qualifier is 01, enter your DUNS number.

• If your qualifier is 16, enter your DUNS number plus 4 letters. • If your qualifier is ZZ, enter your 10-digit business phone number. 7. Press Enter to save your changes.

Setting Up the Vendor Database

You must set up the appropriate destination ID for Supplies Network and select the features to enable. 1. Set up DMI-WHL as a vendor. If you’ve already done this, go to Step 1.5 to set up the Comm box.

1.2 In the Vendor Master tab, click .

1.3 Click the Vendor # box and type DMI-WHL. See Figure 4. 1.4 Click the Name box and type DMI-WHL.

1.5 Click the down arrow in the Comm box and select EDI. 1.6 Click .

2. Set PSN parameters.

2.1 Click . The Supply Options dialog box opens. See Figure 5.

2.2 In the Location box, enter a G/L location or accept the default of 1. 2.3 In the Destination ID box, type DMI.

2.4 In the Sign On ID box, enter the contact ID provided by your DMI sales representative. 2.5 From the Supported Features list, select Price Check, Stock Check, and/or Purchase Order. 2.6 To update the ticket with carton counts and carton ids, click the Carton Counts and Carton

IDs boxes. 2.7 Click Exit. 3. Click .

Setting Communication Parameters

To set up communication parameters, do the following:

1. Set up the Vendor Private Communications Network window.

1.1 From the DDMS Master Menu, double-click . 1.2 Click . The Vendor Query dialog box opens. 1.3 Select DMI-WHL and then click OK.

1.4 Click to open the Vendor Private Communications Network window.

1.5 From the Communication Type drop-down menu, select Private Communication Network. 1.6 From the Template drop-down menu, select DMI PCN Communications.

2. Set the general communication information parameters. See Figure 6.

2.1 From the Program Group drop-down menu, click General Communication Information. Note: To change a parameter, enter information in the Value column to add a default, and/or

check the Override box to allow the default to be changed during communication. 2.2 Check the Pre-Receive Override box. In the Value box, type Y to pre-receive the purchase

or-der. Type F to final-receive a P/O without pre-receiving.

Note: Final-receiving updates receipts and your ITEM AUX file, which allows you to skip the pre-receiving process and automatically final-receive P/Os using wholesaler acknowl-edgements. Both pre-receive and final-receive work with automated short-buy (ASB) and manual purchasing.

2.3 In the Acknowledgment Printer Value box, enter the name of the printer from which to print the acknowledgment.

2.4 Leave the Shipping Code Override box blank. The default is next-day delivery. Choosing an-other option places your order on hold on the Supplies Network side.

2.5 Check the 850 P/O Format Override box. In the Value box, type 850DMI.

Note: Before changing this setting during communication, verify with Supplies Network that your account is eligible for Wrap and Label delivery.

2.7 Check the Drop Ship Override box. In the Value box, set the drop ship default based on how you intend to ship the majority of your orders from this vendor. Type N to ship orders to your dealership location. Type Y if the majority of your orders are shipped directly from the vendor to the customer.

Note: Checking the Drop Ship Override box allows you to toggle the drop ship flag to Y or N at the time you transmit the purchase order.

2.8 Check the Acknowledgement Selector Override box. In the Value box, type DMIACK.

2.9 If you are using the Auto Toner Replenishment Service (ATRS) feature with Supplies Network, check the Exclude ATRS from ASB Override box. Type Y in the corresponding Value box to ex-clude ATRS items when using the automated short buy feature. To inex-clude ATRS items, leave the Override and corresponding Value boxes blank.

2.10 Click .

3. Set the account information parameters. See Figure 7.

3.1 From the Program Group drop-down menu, click Account Information.

3.2 In the Contact ID Value box, enter the account number(s) provided by Supplies Network. The account number entered in the Contact ID #1 Value box should be your default account num-ber. If multiple accounts are entered, check the corresponding Override box for each account number you enter.

4. Set the shipto address parameters. See Figure 8.

4.1 From the Program Group drop-down menu, click Shipto Address.

4.2 Complete the name and address boxes for the dealership’s default shipping address. ECi recommends that you also complete the Shipto Contact Name box. If the order is flagged as drop ship, the customer’s address is sent to Supplies Network.

4.3 Click .

5. Set the billto address parameters.

5.1 From the Program Group drop-down menu, click Billto Address. 5.2 Set a default billto address.

5.3 Click .

6. Set the end consumer information parameters. See Figure 9.

6.1 From the Program Group drop-down menu, click End Consumer Information. 6.2 Check the Purchase Order Number Qualifier Override box. In the Value box, type EU.

6.3 In the Purchase Order Number Source Value box, type P to pull the end user’s short P/O num-ber or type L to pull the end user’s long P/O numnum-ber. If the selected value is not available, the other P/O number is used. A customer purchase order is not sent if this box is left blank. 6.4 In the Attention Source Value box, enter one of the following:

• Type A to use the additional name information from the Attention Special. • Type W to use the additional name information from the Who Called Special. • Type E to use the additional name information from the End Line Special. Note: Attention options are only transmitted to the vendor on end-user drop ship orders. 6.5 Check the Route Override box. In the Value box, type Y in the Value box.

6.6 Click .

7. Set the supplier information parameters. See Figure 10.

7.1 From the Program Group drop-down menu, click Supplier Information. 7.2 In the Wrap and Label Order Type Value box, type RL.

Creating a Customer Record

In the DDMS Customer Master tab, create a customer with DMI as the account number and name. Before you create the customer record, you must select the option to allow for manual input.

1. From the DDMS text-based Master Menu, type L to open the (L) Parameters screen. 2. Type A in the Selection Code field. The (LA) Customer and A/R Parameters screen opens. 3. Select the [C] Change action code. See Figure 11.

4. Tab to the Allow Manual Input field and type Y.

5. Press Enter until the Press Any Key to Continue prompt displays at the bottom of the screen. 6. Press Esc multiple times to return to the Parameter Editor window.

Setting Up a Customer Record

1. From the DDMS Master Menu, double-click . The Customer window opens and displays the information for the last customer selected.

2. Click . The boxes in the window are cleared. 3. Click the Account # box and type DMI. See Figure 12.

4. In the Name box, enter a name for the DMI customer. 5. Click .

6. If you changed the (LA) Customer and A/R Parameters screen to allow for manual input, follow these instructions to change it back to the original setting:

6.1 From the DDMS text-based Master Menu, type LA to open the (LA) Customer & A/R Param-eters screen.

6.2 In the (LA) screen, select the [C] Change action code. 6.3 Tab to the Allow Manual Input field and type N.

6.4 Press Enter until the Press Any Key to Continue prompt displays at the bottom of the screen. 6.5 Press Esc multiple times to return to the Parameter Editor window.

Setting Up Trading Partner Parameters

To set up your trading partner parameters, follow the instructions below:

1. From the DDMS text-based Master Menu, type SGA to open the (SGA) Trading Partner Parameters screen.

2. In the (SGA) screen, select the [C] Change action code. 3. Tab to the Account # field.

4. Type DMI-WHL and press Enter. See Figure 13.

5. At the Correct Record prompt, press Enter. 6. Tab to the Interchange ID Qualif field, and type 01. 7. In the ID field, type 064632888.

Using the Supplies Network PSN

Using the Supplies Network PSN involves the following: • Transmitting the P/O.

• Changing shipping parameters. • Requesting acknowledgements.

Transmitting the P/O

After building a P/O for Supplies Network, you can transmit it online.

1. From the DDMS text-based Master Menu, type SR to open the (SR) Purchase Order Reports screen. 2. In the (SR) screen, type B in the Request field. See Figure 14.

3. Tab to the Who field and type N to display the list of vendors. The cursor moves to the P/O field. 4. In the P/O Numbers field, enter the number of the DMI-WHL P/O to send. To send more than one

P/O, enter the number of the first P/O in the P/O Numbers field. Enter the number of the last P/O in the To # field.

5. Press Enter until the Are You Sure prompt displays. 6. Type Y. The Parameters Override screen opens.

7. To transmit the purchase order using the default settings, type C at the Enter Number For Selection prompt. To change the shipping information, continue to the next heading.

Changing Shipping Parameters

Once you’ve completed the (SR) screen, the Parameters Override screen opens. The Parameter Group options display. Before completing transmission of the purchase order, you can change the values you entered when setting up communication parameters, if you checked the corresponding Override box. Note: It is not necessary to change any parameters at communication time.

Below is an example of how you would change a purchase order’s drop ship flag from its default setting: 1. At the Enter Number For Selection prompt, type 0 to select the General Communication Information

parameter group. See Figure 15.

2. At the Enter Number For Selection prompt, enter the number that corresponds to the Drop Ship line. This number may differ, depending on the boxes you checked in the Vendor Private Communica-tions Network window. See Figure 16.

3. In the 1-20 field, type Y to drop ship the order directly to the end user’s address, or type N to use dealer’s default Shipto address listed in the communication screen setup.

4. At the Enter Number For Selection prompt, type C to complete the transmission and transmit the P/O to Supplies Network or press Esc to change additional information.

The P/O is transmitted to Supplies Network.

Requesting Acknowledgements

If you missed an acknowledgement, you can request another from Supplies Network.

1. From the DDMS text-based Master Menu, type SR to open the (SR) Purchase Order Reports screen. 2. In the (SR) screen, type C in the Request field.

3. At the Are You Using Private Supply Network query, type Y. The (SRC) Acknowledgment Request screen opens.

4. In the P/O Number field, enter the number of the P/O for which you are requesting an acknowledge-ment and press Enter.

5. The requested P/O’s information fills the Vendor #, Transmission Date, and Transmission Time fields. The P/O’s status displays in the Status field next to the PO Nbr field.

If the status is one of the following, go to Step 6. See Figure 17. • N: The order has not been pre-received.

• F: The vendor has shipped your order.

• P: The vendor has allocated inventory to fill your order.

If the status field is blank or is set to ? (question mark), the P/O you requested was not found. Re-enter the P/O number. If the record is still not found, call your vendor for a verbal acknowledgement. Your order may not have been transmitted.
