The Lima Law Enforcement software solution consists of a number of modules allowing full case control from the initial enquiry/customer contact to case completion.

Contacts

Full contact management of Client records. Providing full recording of client information and cases for clients. Secure Online Portal

Allowing a customised submissions process to be available throughout an organisation via a web-browser, enabling communication with end clients throughout a case. Sales (optional)

The sales module allows management of the sales process from enquiry, quote production, through to invoicing and client feedback.

Case Management

Total workflow solution and End-to-End Case Management to provide continuity of evidence and full disclosure of the forensic examination. Enables laboratory management and caseload allocation reviews.

Resources

Resources provide Asset Management including staff, assets, suppliers and locations. Full management of user account permissions.

Search

The search function allows accesses a range of data with export of data in XML format.

Knowledge Base

Centralised repository of information for sharing and best practice purposes.

Settings

Allowing detailed customisation of the Lima software based on user requirements, allowing a roaming profile for any user.

Lima is simple to use and yet utilises a disciplined and exacting process for managing case work. Lima achieves full continuity of evidence during case work through contemporaneous notes, exhibit tracking and automatic full disclosure. The user interface has been built from the ground up to maximise efficiency throughout the case life cycle while maintaining full auditability to ensure total end-to-end case management. The clear and consistent layout of screen areas throughout the software modules provides simple navigation features, detailed and summary information options and filters to ensure high efficiency and ease of use.

As the business process needs of every organisation are unique and subject to change, significant customisation options are built-in to the Lima software solution. Lima Law Enforcement has the ability to specify bespoke drop down menus to adapt to the needs of the user (e.g. sectors, staff, regional office etc), available during set up within the Lima Server Environment. The software enables new forms to be added to enable organisations to capture information not in the base solution. In addition, each user can develop a roaming profile with their own custom Client Settings, allowing them to work in their own familiar environment from any connected workstation.

Full Lab Management

For 6 years, the heart of Lima lies within its Case Management capabilities. Lima is a total workflow

solution with End-to-End Case management to provide continuity of evidence and full disclosure of any forensic examination.

The unique nature of the Lima Case Management system allows full management throughout the case process, from collection and recording of the

exhibits to final dispatch. The software allows full

exhibit tracking and recording to maintain continuity of evidence for every case. Lima also has the ability to securely package cases for off-line use when required, ideal for users conducting on-site casework, from single or multiple locations.

Lima’s Automatic Full Disclosure Reporting function also features a full log of use, including activities within each case, vital for practices within the forensics industry. The system provides a comprehensive timeline of all activity in a case.

Features within the Lima Law Enforcement product includes contemporaneous note recording in rich text format and tracking assets against forensic processes. Lima opens up the ability to attach documents

and images securely when required, this is available for common document and image file formats. Built in features of Lima’s efficient staff and resource management system saves time and administrative

costs for its users. The intelligent software solution provides the ability to allocate tasks and distribute

case work when required, additionally it diarises significant dates. Users to whom tasks are allocated

receive automatically generated e-mails to inform them that they have tasks to achieve, and any changes to those tasks throughout the life of the case. Cases can also be assigned according to the security or permission levels set by the user, allowing cases to be prioritised how and when needed.

Lima’s asset management features also provides a uniform record of all assets within the system, linking

specific assets used in each case. Logs of exhibits can be archived, and alerts set to prompt the retest

of the readability of archives, when required.

The software solution gives the ability to understand and report on time spent on cases and analyse time spent on each component within the case, high importance in achieving ISO 17025.

The creation of templates for reporting, for use with the mail merge facility, can automate any paper-based

activity (e.g. collection/dispatch of exhibits, Statements and Forensic Reports) saving administrative

costs and valuable time.

Lima provides full contact management of Client records. Providing essential features for full recording of client information to provide documentation for the case process. To ensure a full record of communication with each client, additional logging features include telephone calls and meeting notes. Lima Law Enforcement also features contact attachments for all common file formats (inc. PDF, DOC, Zip etc).

Lima Knowledge Base

The Lima Knowledge Base is a centralised repository of information for any Forensic Practice. The module allows the user to maintain searchable and indexed information. Documents and information within the module is logically structured into categories for efficient search and use of relevant information. This information can be moved throughout the Knowledge Base to maintain relevance as the organisation or department expands.

Scientific Support Management

With many users across law enforcement in the UK, USA, Canada and further afield, the Lima solution

for digital forensic case management is a mature solution. We have now developed an integrated

solution for scientific support teams within law enforcement, which enables the following:

• Single point of submission for all types of evidence via a secure online portal

• Single channel of communication to investigating officers relating to all evidence submitted in any investigation

• Ability to tailor the work-flow and management information related to scientific testing of any type within the system

• Ability to tailor the types of evidence to be subject to any type of scientific tests within the system

The end result is a system which enables investigating officers to submit all exhibits, and examine using any type of scientific tests through a single process. In the various laboratories and bureaux,

management information about all aspects of the analytical work and testing can be reliably recorded. As results are made available for each item of evidence and each type of test these are communicated

back to the investigating officer via the secure online portal.

Within each laboratory or bureau, each case will have the relevant material presented for analysis, with each exhibit clearly shown. The data which is relevant for your work process on each item, including test type, results and equipment used, will be capable of being captured. This will allow a complete record of the case from each bureau to be visible for those with the relevant permissions. In line with the Digital Forensics versions of the Lima solution, the end investigator and the relevant analyst from each bureau can communicate through the secure portal – as a result all communication is recorded and logged in a

preferences, making the Lima Law Enforcement solution a fantastic addition to an agency or police force’s capabilities. By having a single system

for investigating officers to submit all scientific testing requirements through, and having a single communications channel back to the investigating officer, efficiency is significantly improved.

Many law enforcement agencies are used to having such systems in place. However, many of those systems require significant investment in systems administration, constant configuration and support.

The Lima Advantage is simple:

better spent undertaking analysis, fighting crime or gathering intelligence.

• Economical costs – licensing is perpetual, SMS is money reinvested in additional feature development and product improvements. In these times of constrained budgets, law enforcement agencies need to invest their resources in their primary purpose of protecting the public. Resources

The Resources module focuses on the management of organisational resources including staff, Hardware and Software assets, suppliers and office locations.

The module allows full staff workload management for the smooth running of any forensic organisation or department. This includes the search function for staff availability.

The tracking functions allow the following of both scheduled and unscheduled events within the Lima system, as well as the ability to track and audit assets, such as hardware or/and software to meet regulatory requirement BS EN ISO 17025 when using the optional Assets module.

In addition to these functions, the Resources module allows full control of security features. This includes management of security levels on active Lima accounts and the configuration of security permissions for every function within the Lima environment for individual or templated groups of staff.

Lima Search

The Lima case management system will, over time, contain a large quantity and variety of vital information, which can be used as the basis for your management reporting - numbers of cases, utilisation rates of staff, equipment, types of case handled, average times for processing work or conducting analyses and a wealth of other information.

The comprehensive search facility allows the search for vital information throughout the Lima modules.

The smart searching function allows users to quickly locate and report on any data required, allowing further analysis of chosen data and management reporting. Search results can

be filtered and exported to the versatile XML format when

desired for further use. Reporting that may have taken hours can now be achieved in minutes.

Secure Online Portal

The Lima Secure Online Portal is an additional module which adds a wide range of functionality to the Lima solution. It is designed for organisations which have a range of individuals submitting casework to their forensic laboratory.

Many organisations have investigators who take custody of an exhibit or require data to be captured from a device or network. These investigators then routinely have to complete a request in some format for the examination of evidence in the investigation.

Typically this can involve filling in a form, sending a fax or sending in a variety of e-mails. Some of these methods produce structured data, some do not. This often entails the staff at the forensics laboratory transcribing information into their own management system, or cutting and pasting information from an electronic file into a database. This duplication of effort can involve substantial amounts of time, and increase the chances of missed information before the examination has even commenced.

The Lima Secure Online Portal enables an organisation to deploy a single integrated system for requesting forensic examinations and support to as many authorised investigators, clients or officers as they wish. The system enables a customised submissions process to be applied which will capture structured information in a timely and secure manner, enabling faster response from their forensics team to any incident, submission or support request.

Main Benefits

The portal is as adaptable as the core product, with full customisation for all case and evidence requirements. Configure the portal to meet the requirements of any forensic laboratory.

The portal can provide substantial improvements in responsiveness of your forensics laboratory - through receiving case submissions in the portal you instantly receive case submissions directly into the case management system, you can review submissions comprehensively, and if required request additional detailed information through the Portal. There is no need to check e-mail accounts, fax machines or other systems.

Interactive two way communication between users and the assigned member of the forensics laboratory staff reduces the impact of time delays. Log entries may be posted when necessary and convenient. Automatic e-mail notification of updates to the Secure Online Portal enables the user and the forensic examiner to keep each other up to date with case developments. It is particularly useful for operations across time-zones or shifts in the workplace.

Simple Interface

The Secure Online Portal has a simple interface designed for use in all contexts, with minimal training required to enable users to interact with the system.

The training requirements can be fulfilled by placing a simple set of instructions published on the landing page within the Secure Online Portal itself.

There are several functions displayed on the interface, each of which can be enabled or disabled for each user.

The interface can easily be configured with your organisations colour scheme and logo’s to fit your corporate image.

Simple Server Configuration

The Lima Secure Online Portal installation process and configuration is as simple as installing one set of code, configuring the colour scheme and then proceeding through the settings methodically. Settings for the Lima Secure Online Portal are configured within the Lima Server. These settings include setting up any banks of additional structured questions that you may wish to ask those users who submit cases.

Groups of questions can be posed to users which are designed to gather information that is relevant to the prioritisation of the case, the exposure to risk, operational impact of an incident or any other set of questions. Questions can be configured as either choosing from a drop down box, radio buttons or Yes / No answers.

Prioritisation scores can then be associated with responses, to enable the forensics laboratory to focus on urgent priority cases first.

Submission Process

The submissions process enables author-ised users of the Secure Online Portal to in-put structured information about the forensic requirements of any case directly into the fo-rensics laboratory process.

Basic information about the case is captured such as the case background, points to in-vestigate in a forensic examination, exhibits or data relevant to the investigation, signifi -cant dates in the case and other information. Users – Users accounts are created within the Contacts module of Lima. Each user account can be configured to enable Secure Online Portal access. Different levels of user access are permitted for different individual or group of users.

Customisation – Apart from the standard in-formation about cases and exhibits, the sub-missions process can be customised within the Lima Server Settings to capture relevant information that the organisation needs to establish.

Prioritisation – Within the submissions pro-cess an automatic scoring system can be created which enables an automatically cal-culated prioritisation score to be generated for each submission. This enables the foren-sics laboratory to work on the organisations priorities in order.

The Lima Secure Online Portal captures a wealth of communication data between users submitting or involved in a case and the forensics laboratory.

The information exchanged between the two parties can be exported and added to disclosure documentation should that be required in you jurisdiction.

Connecting Through Firewalls

Forensic laboratories typically operate a completely separate, non-interconnected forensic networks, in order to ensure that there is no possibility of contamination of the forensic evidential process.

The Lima Secure Online Portal can be used on an administrative network operating alongside your forensics network. Alternatively it can be connected through a secure Firewall. Ask us for details on how this can be achieved.

Scientific Portal Submissions Management

Lima Law Enforcement adds an additional layer of control and functionality to the Lima system. Lima Enterprise and Law Enforcement versions would typically be used in the following situations:

• Large organisations, often with several operating divisions and potentially operating in different time zones or countries, may need to submit work to one of several forensics departments. Each operating division would need to maintain budgetary control over the cases submitted.

• Regional or State Police forces with multiple investigating units who need to control investigation budgets and ensure legal authority appropriate to each forensic examination, who may have available several forensic laboratories to whom they submit work (for example Mobile Telephone, Computer and Audio-Visual Forensics Units).

• Collaborating groups of Police forces who may each have several investigating units, and

also have computer and mobile telephone forensic units within each Police force, who wish to maintain budgetary approval within their investigating units and to share forensic resources between their laboratories.

Complex organisational situations require simple solutions, and Lima is designed to enable wide scale budgetary control and approval processes to be quickly deployed. Lima Law Enforcement enables easy management of cross border case submissions, resource sharing between laboratories and organisations. This in turn drives significant economies in the forensics process. The Lima Portal introduces a role of Portal Submissions Manager into the forensic case submission process. This enables those members of staff who are authorised to submit cases via the Lima Portal to request budgetary authorisation for a case submission to be made. The case submission request is automatically routed to the Portal Submissions Manager to provide the necessary budgetary and legal authority approval for a forensic case submission.

On receipt of the Portal Submissions Manager’s approval, the submission then continues through the work-flow and into the Lima System for scientific submission approval in the normal manner.

At either approval stage the submission can be approved, declined or a request for further information made. This enables the automated and fully recorded work-flow process to deal with forensic case submissions.
