Chapter 1. Introduction

Kewill Transport is a hosted, Software as a Service (SaaS) system that you can use to optimize and transform your supply chain network by planning and executing all your inbound and outbound transportation.

Kewill Transport has the following benefits:

v Reduce costs through improved load planning, routing and mode selection, and create the optimal carrier mix based on route guides.

v Raise service levels by providing real-time visibility into your shipping processes.

v Increase productivity by eliminating manual transportation processes.

v Improve on-time delivery through better collaboration with carriers, vendors, and customers.

v Make better decisions about your supply chain processes, based on Kewill Transport reports and dashboards.

Kewill Transport connects you to a collaborative logistics network of carriers, suppliers, and customers, providing the tools to automate your entire

transportation management process.

All of this is delivered on demand, which means fewer IT resource requirements, no upgrade costs, configuration rather than installation, fast, easy connectivity, and low total cost of ownership.

Kewill Transport provides the following features and advantages.

Software as a Service

As a hosted, Software as a Service (SaaS) system, Kewill Transport provides the following advantages:

v Your users and carriers all access Kewill Transport using a single website that is kept up-to-date with the latest features, enhancements, and corrections.

v Our hosted architecture allows shippers, carriers, suppliers, and customers to collaborate online to meet their transportation requirements.

v The hosted solution is operated in our state-of-the-art corporate data center and eliminates the cost of purchasing and maintaining an internal on-premise transportation system.

v The hosted Kewill Transport architecture is engineered to process thousands of orders, shipments, and invoices every day. Kewill Transport processes more than 9 million shipments, 14 million order updates, 3 million invoices, and 240 million total transactions each year.

v More than 16,000 carriers are part of the Kewill Transport network. When you set up your Kewill Transport account, you identify the carriers you do business with.

v Kewill Transport provides seamless access to third-party software tools, such as SMC RateWare, SMC CarrierConnect, PC Miler, and MileMaker.

Planning and Automation

Kewill Transport supports high-volume shipping operations. Kewill Transport provides the following features shippers can use to plan and automate their logistics workflow.

v Do centralized planning, which controls the carriers you use in each region and how much you pay for shipping. Your corporate headquarters can set up electronic contracts and route guides, which specify how carriers should be selected and how much to pay for shipping.

v Do de-centralized load planning and execution at each of your manufacturing plants or distribution centers. Your transportation department can plan, tender, and track shipments, based on the rates defined in the centralized contracts and route guides.

v Use the Kewill Transport optimizer and Load Builder to automate the consolidation of orders and small shipments into larger, more cost-effective shipments.

v Use the Freight Payment module to streamline the settlement process and automatically pay carrier invoices that fall within your defined tolerances.

Accurate Shipment Rates and Settlement

Kewill Transport provides the following features that shippers can use to manage their shipping rates and accurately control the charges they pay to their carriers. v Use the Contract Management module to collaborate with your carriers to

update shipping rates and charges.

v Use the Freight Payment module to manage the accounting and settlement process with your carriers. Carriers can submit their invoices and you can configure Kewill Transport to automatically approve the invoice for payment. v Kewill Transport can generate accrual invoices, which provide an estimate of

shipping charges. You can import these pro forma charges into your accounts payable system.

v Set up base rates, which define the target rates for each shipping lane, based on mode, equipment type, and other attributes. When you tender shipments to carriers, you can compare the actual carrier rates to the base rates.

v Use the Average Rate Calculator module to to analyze historical data about your transportation expenditures so you can plan your future costs.

Kewill Transport Network

Kewill Transport connects you to the companies that you do business with in your supply chain network. Organizations can be defined as a shipper, carrier, supplier, or customer in the Kewill Transport network.

Shippers

Shippers are the manufacturers or retailers that subscribe to the Kewill Transport network and use it to manage their outbound and inbound shipping.

Each shipper manages the trading partners it wants to do business with in Kewill Transport:

v Carriers

v Suppliers and vendors v Customers

Carriers

Carriers are the trucking companies, rail carriers, or other logistics providers that the shipper hires to deliver freight. More than 12,000 carriers are connected to the Kewill Transport network. Each carrier is configured as a separate organization in Kewill Transport.

Suppliers and Vendors

Suppliers are the organizations that deliver goods to the Kewill Transport shipper organization. Suppliers are also referred to as vendors in Kewill Transport. For example:

v You are a shipper using Kewill Transport and you produce consumer-packaged goods.

v Your supplier delivers raw materials as inbound shipments to your manufacturing plant.

Your suppliers can use the following capabilities:

Inbound Planning

Your suppliers can use the Kewill Transport Inbound Planning solution to transfer data between their systems and Kewill Transport.

Dock Scheduling

Shippers can authorize their suppliers to make dock appointments at the shippers facilities.

Customers

Customers are the organizations that receive the outbound freight that the Kewill Transport shipper delivers to a distribution center, retail store, or other destination. When you set up your customer profile in Kewill Transport, you can specify that deliveries to this customer must be the first stop or last stop in the itinerary. For example, you deliver freight to a key retailer and always want this customer to be the first delivery stop in the route.

Shippers can also authorize their customers to access the Customer Portal in Kewill Transport. Customer can find shipments and orders that are being delivered to their organization.

Kewill Transport Modules

The Kewill Transport system is organized into modules that shippers and carriers can use to run their transportation business.

Shipper Modules

When shippers subscribe to Kewill Transport, they can be licensed to use the following modules.

Execution

Shippers can use Execution to manage the entire shipping workflow: v Adding and updating orders and shipments

v Load planning and consolidation v Tendering shipments

v Track and trace for customer service users

Freight Payment

Shippers can use Freight Payment to manage the reconciliation and settlement process.

Contract Management

Contract Management allows shippers to enforce contract compliance across their organization. Shippers can use the following features: v View all the contracts and accessorial charges your administrator

defined. For example, you can compare rates between carriers.

v Shippers and carriers can use the Kewill Transport proposal process to submit, counter, and approve contract changes.

v Use Route Guide Inquiry to analyze the electronic Route Guide your administrator defined.

Optimization

Shippers can be licensed to use the Kewill Transport optimizer, which helps automate the consolidation of orders and shipments.

Dock Scheduling

Shippers can use the Dock Scheduling module, which allows you to efficiently manage the pickup and delivery appointments at your facilities.

Dedicated Fleet Management

Shippers and carriers can manage dedicated fleets in Kewill Transport. To access this module, contact Kewill Transport Customer Support.

Capacity Center

Shippers can use the Capacity Center to search the Kewill Transport network for carrier availability in a certain area. To access this module, contact Kewill Transport Customer Support.

Average Rate Calculator

negotiate with carriers on future shipping rates. To access this module, contact Kewill Transport Customer Support.

Alerts

Kewill Transport provides a wide range of alerts that shippers and carriers can use to manage all aspects of the shipping business. You can use Kewill Transport to track the entire shipping planning, delivery, and payment cycle and notify you of exceptions to the plan.

Reporting

Kewill Transport provides the following reporting capabilities: v Shippers and carriers can run standard reports, which use the IBM

Cognos reporting portal.

v Shippers can develop custom reports in Cognos. The report authors can write reports and publish them to users in their organization.

Carrier Modules

Kewill Transport shippers identify which carriers they do business with. These carriers can then be configured to use Kewill Transport. Carriers can use the following modules.

Execution

Carriers can use Execution to manage the entire shipping workflow: v Managing and accepting shipment tenders.

v Submitting shipment status, current position, and ETA updates. v Track and trace for customer service users.

Freight Payment

Carriers can use the Freight Payment tab in Execution to manage the payment process for their transportation costs.

Contract Management

Carriers can use the following Contract Management features: v View all the contracts and accessorial charges your shippers have

defined for your organization.

v Shippers and carriers can use the Kewill Transport proposal process to submit, counter, and approve contract changes.

Dock Scheduling

Shippers can authorize their carriers to use the Dock Scheduling module, which allows a carrier to efficiently manage pickup and delivery

appointments at the shipper's facilities.

Dedicated Fleet Management

Shippers can authorize their carriers to use the Dedicated Fleet capabilities of Kewill Transport.

Alerts

Carriers can use Kewill Transport to track the entire shipping planning, delivery, and payment cycle and notify them of exceptions to the plan.

Reporting

Carrier Mobile

The Carrier Mobile application allows carriers to respond to shipment tender requests and provide real-time status updates to shippers from their mobile digital device. Carrier Mobile is supported on the Apple iPhone.

The Shipping Lifecycle

You can use the modules of Kewill Transport to manage the entire shipping lifecycle.

The following workflow shows the steps for managing your transportation process: 1. Manage contract and accessorial charges and negotiate carrier rates in Contract

Management.

2. Submit shipments and orders for most transportation modes on the New Shipment page of the Execution module. You can also submit shipments and orders using data exchange.

3. Consolidate orders into shipments and plan loads using the Kewill Transport optimizer and Load Builder.

4. Tender the shipments that you build to one or more carriers in the Execution module.

5. Schedule and manage pickup and delivery appointments for the docks at shipper facilities in Dock Scheduling.

6. Track the status of your freight in the Execution module.

7. Manage transportation costs and pay invoices in the Freight Payment module. 8. Analyze carrier performance using Kewill Transport reports and dashboards.

Accessing Kewill Transport Features

Kewill Transport provides a wide range of features you can use to efficiently manage your complete shipping lifecycle.

For example:

v Tabs in each module are your main workbench for performing shipping tasks. v Search options help you quickly locate the information you require to complete

your tasks.

v Editing shortcuts let you quickly update your shipments. For example, you can click on a departure or arrival date to update that entry.

v You can customize tables to change which columns are displayed. You can also change the order of the columns and sort your data.

v You can export data in tables into a spreadsheet.

Customizing Kewill Transport

Kewill Transport allows shippers to customize many features to meet the requirements of their business. For example, you can rename reason codes and reference fields to match the terminology your users are familiar with.

You can use the following features to customize and organize your shipping data in Kewill Transport:

User Options

Each user can set up default settings that speed up the entry and editing of shipments and dock appointments.

Kewill Transport presents your critical shipping and payment data in tables:

v You can select which columns to display and hide in each table. v You can change the order of columns to group data and quickly

compare the results.

v You can easily sort tables to display the most important events at the top of the page.

Shipper and carrier administrators can also set up default table formats and copy these to their users.

Searching

Users can use the powerful search capabilities in Kewill Transport to filter their shipping data based on dates, origin and destination, mode, service type, payment method, and many other criteria.

Shipper and carrier administrators can copy saved searches to their users.

Reason Codes

Kewill Transport provides many industry-standard reason codes you can use to track changes in shipment status. Shippers can organize and customize these reason codes to meet the requirements of their business: v You can rename standard reason code descriptions to use familiar names

that your organization currently uses in your business processes. v You can organize reason codes into groups and determine which reason

codes your users can select.

Reference Fields

Kewill Transport provides many industry-standard reference identifiers you can assign to orders and shipments. Shippers can define custom names for reference fields.

Equipment

Kewill Transport provides dozens of industry-standard equipment types and sizes, such as many types of dry vans, flatbed trailers, and refrigerated equipment.

Shippers can customize and organize these equipment types:

v Filter the long list of standard equipment types so your users only select the equipment your organization requires.

v Define custom equipment names that use terms your users are familiar with.

v Define equipment lists that group related equipment together.

Shipment Priorities

Shippers can define their own shipment priorities and then use these priorities to sort and track shipments.

User Profiles

Shipper and carrier administrators define a user profile for each employee that logs on to Kewill Transport. You can customize the user visibility so your employee only handles freight that is being picked up or delivered in a certain area.

Shippers can be licensed to develop custom Bill of Lading (BOL) forms, which their Execution users and carriers can open in Adobe Acrobat PDF format.

User Profiles

Shipper and carrier administrators define a profile for each user, which controls the Kewill Transport modules the user can access.

The following examples show how shippers might organize their users:

v Assign a transportation planner as the Logistics Manager role in Execution. The user can access all the tabs in Execution and the dashboards. The user can view shipping and pricing information for any locations the user has access to. v Assign a user as the Customer Service role in Execution. The user can access the

Trackingtab and monitor shipment departures and deliveries. The user cannot access the Shipments tab or view pricing information.

v Assign a dispatcher as the Logistics Operations role in Execution. The user can create, plan, and track shipments, but cannot view pricing information.

v Set up an invoicing analyst to access the Freight Payment and Contract Management modules. The user does not access Execution.

v Specify which users can view and run reports.

Automating the Shipping Process

As a shipper, you have to manage thousands of orders and shipments that are delivered by many different carriers. Kewill Transport offers a powerful set of features you can use to automate the transportation planning, shipping, and reconciliation processes:

Contracts

Use contracts in Kewill Transport to store the shipping rates for all your carriers. Kewill Transport uses these rates to automatically calculate the line haul rates for every shipment that is submitted to Kewill Transport. These centralized contracts enforce pricing compliance for your shipping facilities. You always pay the proper rates for your freight and minimize off-contract expenditures, also known as contract leakage.

Accessorial Charges

You can define accessorial charges, which are supplemental fees that are above and beyond the linehaul charge for each shipment.

You can assign two types of accessorials to your contracts:

Planned accessorials

Kewill Transport automatically applies the charge to every shipment that is rated using that contract.

Unplanned accessorials

Shipper or carrier users manually apply the charge to specific shipments. You can define thresholds that control whether Kewill Transport automatically approves the charge.

You can assign accessorials to your contract to cover fuel surcharges. Kewill Transport automatically updates the fuel surcharges once each week, based on the U.S. federal fuel index.

This feature ensures that you always pay the carrier the proper fuel price at the time of the shipment departure.

Automatic Mode Selection

Use the automatic mode selection features to have Kewill Transport choose the best transportation mode for your order or shipment.

Kewill Transport selects the mode based on the weight or volume and transit time.

You can also submit orders to Kewill Transport and have the system automatically feed these orders to the optimizer for consolidation.

Carrier Selection

Use the powerful tendering features of Kewill Transport to automatically select the best carrier to take the load, based on cost, rank, or volume commitments.

You can turn on Automatic Carrier Selection for your entire shipping operation or define Route Guides to perform automatic carrier selection for specific shipping regions and carriers.

In addition, your carriers can specify whether they want to automatically accept tenders from your organization.

Optimization

Use the Kewill Transport optimizer to automate the consolidation of large order sets into the most cost-effective shipments:

v The optimizer provides a wide range of parameters you can use to fine-tune the results, based on your shipping requirements.

v You can schedule optimization runs and then receive an email alert when the runs are complete.

Freight Payment

The Freight Payment module provides the following options to automatically generate freight payment vouchers:

Auto-Pay

Kewill Transport calculates the shipment charges and always uses that amount in the voucher. The system does not compare these charges to the carrier invoice.

Match Pay

Kewill Transport compares the carrier invoice to the calculated shipment charges. The system pays the amount in the carrier invoice if it falls within your Match Pay tolerances.

Departure and Arrival Windows

You can set up Kewill Transport to automatically calculate your shipment schedules:

v Submit the planned departure date and have Kewill Transport calculate the planned arrival date.

v Submit the planned arrival date and have Kewill Transport calculate the planned departure date.

ETAs

Kewill Transport automatically calculates the Estimated Time of Arrival (ETA) for each shipment based on the departure date and time, transit time, and stops in the route.

Mass Entry and Editing

You can use the mass entry and mass edit features to update many records in Kewill Transport at the same time.

For example:

v You can make a single change to update the departure date or arrival date for multiple shipments.

v You can propose a mass rate change to all the lanes in one contract section.

Dock Scheduling

Use the Dock Scheduling module to automatically calculate the length of pickup and delivery appointments, based on the carrier, supplier, or the quantity of the load.

Optimizing Routes

When you build a multi-stop shipment itinerary, you select the order of the stops. If you add or update orders, you can click a single button to have Kewill Transport optimize the route and reorder the stops to reduce the total distance.

Route Itinerary Templates

You can set up route itinerary templates, which support multi-leg

shipments that are routed through cross-dock facilities. Execution users can apply these templates and quickly build shipments that use a different transportation mode for each leg of the route.

Shipment and Order Numbers

You can have Kewill Transport automatically generate SID numbers, order numbers, and purchase order numbers.

Carrier PRO Numbers

You can have Kewill Transport automatically assign Carrier PRO numbers to LTL shipments. Your LTL carriers provide a block of PRO numbers for each location where they pick up LTL freight.

Alerts and Event Management

You can set up event agents in Kewill Transport to monitor all your

transportation events, including shipment tenders, departures, arrivals, and invoices. Kewill Transport will send you email alerts for any events that are late, missing, or out of tolerance.

Scheduling Reports

You can schedule reports to run daily, weekly, or monthly. You can have these reports automatically delivered to you in emails.

You can have Kewill Transport automatically send you data exchange transactions, such as new shipments, shipment status updates, and tender notifications.

International Shipping

You can use the following features to manage your international shipping operations.

Ocean bookings

Shippers and carriers can use the Booking module in Kewill Transport to manage their ocean freight:

1. A shipper can consolidate shipments into a booking that consists of multiple containers.

2. The shipper can submit the booking to the carrier online or using data exchange.

3. The carrier can accept or decline the load and submit a booking confirmation.

4. The shipper and carrier can use Kewill Transport to track the ocean shipment status.

Locales

Each shipper and carrier user can select the language that is used to display the Kewill Transport user interface.

For information about the locales that are supported in Kewill Transport, contact your enrollment manager or Customer Support.

Currencies

Each shipper and carrier organization selects the currency it wants to use for displaying transportation charges.

Date formats

Users can select a format for viewing dates in Kewill Transport.

Measurements

Users can select how they want to view shipment weights, volumes, and distances.

Country codes

Shippers and carriers can define locations and areas in more than 220 countries. You can also select specific states or provinces.

PC Miler Worldwide

Shippers can select PC Miler Worldwide, which includes distances for Europe, Asia, Africa, South America, and North America.

Ocean shipments

Kewill Transport supports EDI 315 ocean shipment status and United Nations port codes.

Documentation

Much of the Kewill Transport documentation is available in French, German, Spanish, and Brazilian Portuguese.

Data Exchange

Shippers can submit data to Kewill Transport and receive data using EDI X12, EDIFACT, and XML transactions.

Kewill Transport supports the following data exchange formats:

v Electronic Data Interchange (EDI), such as EDI X12 204, 214, 210, 850, 856, and 990 transactions. Kewill Transport also supports EDIFACT transactions for international shipping operations.

v Extensible Markup Language (XML) files for orders and shipments. v Web service calls that send and receive XML files.

v Flat files, such as the Nistevo Standard Delimited Files (NSDF). Shippers can use NSDF files to import contracts, locations, areas, and orders into Kewill

Transport.

Carriers can use EDI X12 and EDIFACT transactions to send and receive Kewill Transport data.

To obtain Kewill Transport data exchange specifications, contact Customer Support or your enrollment manager.

Support for Third-Party Products

Kewill Transport has been integrated with industry-leading logistics software solutions.

When shippers subscribe to Kewill Transport, they can use the following products to manage their transportation business:

Mileage Sources

You can select from multiple versions of these products: v PC Miler

v MileMaker

You can select a mileage source for your organization and then set up different mileage sources in each carrier contract.

SMC RateWare

Shippers can use SMC Rateware to calculate LTL rates based on tariffs. You must obtain a license from SMC to use specific tariffs in Kewill Transport.

SMC CarrierConnect

Shippers that are licensed to use SMC CarrierConnect can use this service to return transit times for their LTL shipping lanes.

Shippers can use this data to determine which transportation modes have adequate transit time to deliver the freight from the origin to the

destination.

Transport Power Ops Optimizer

Shippers can obtain a license to use the Transport Power Ops optimizer from IBM ILOG. You can use the optimizer to automate the consolidation of orders and shipments into larger, more cost-effective loads.

Cognos

Shippers and carriers can use the IBM Cognos reporting portal to run many standard Kewill Transport reports.

Shippers can use Cognos Report Studio and Query Studio to develop custom reports for their organization.

Parcel Rating

Shippers can obtain a license to use the Kewill Transport Parcel Rating system, which is based on the PierBridge Agile Elite parcel rating solution. When you submit parcel shipments to Kewill Transport, the system uses the parcel rating system to return the most cost-effective parcel carrier and service type.

Google Maps

Shippers and carriers can view shipment routes using the Google Maps service. Select a shipment in Execution and click Maps to view the route from the origin to the destination.

Online help is available in Kewill Transport. Click Help to launch the help system and to access the Kewill Transport guides in Adobe Acrobat PDF format.

Enrollment and Training

Enrollment (on-boarding) services and training is available for Kewill Transport. For more information about these services, contact your Kewill sales representative.

System Requirements

Kewill Transport is supported using Internet Explorer and has been certified using IE Versions 7 and 8. Other web browsers, such as Mozilla Firefox, have not been certified and might not display Kewill Transport pages correctly.

Some Kewill Transport modules, such as Load Builder, should be used with a monitor resolution of 1024x768 or higher. If you use a lower screen resolution, such as 800x600, the main Load Builder page might not display correctly.

Chapter 2. Execution

Shippers and carriers can use the Execution module of Kewill Transport to plan and track their freight for the entire product lifecycle, from the procurement stage through planning, carrier selection, and the track and trace stages.

Navigating in Execution

Shippers and carriers can use the Execution module to plan and monitor the entire shipping lifecycle, from creation through the final delivery.

For example, shippers can use the Shipments tab to access many Kewill Transport features:

v Use the View By option to view data for either shipments or orders in the

Shipmentstab.

v Use different search criteria to find the shipments or orders you want to work with.

v Click Load Builder to open the Load Builder workbench. The Load Builder enables you to consolidate orders into shipments and plan loads.

v Click Carrier Selection to tender shipments to carriers. v Click New to create and update shipments.

v Click Map to view the route of a delivery in Google map format.

v Click Charges to manage and track the freight cost of each shipment or order that is stored in Kewill Transport.

Carriers can use the Active tab to manage their shipments:

v Use the Shipper option to select whether you want to view freight for all shippers or for a single shipper.

v Click Itinerary to view the planned route of a shipment from the origin to the final destination.

v Click View Details to display information about the shipment or order.

v Click Print BOL to open a Bill of Lading for the shipment as an Adobe Acrobat PDF file.

Shipment and Order Planning

Shippers can use the Shipments tab and Orders tab in Execution to plan, create, tender, and update their shipments:

Shipments tab

Use the Shipments tab to perform the following tasks:

v Create shipments. Each shipment contains one or more orders.

v Update or cancel shipments that were created online or submitted using Data Exchange.

v Plan the route and adjust stops in the itinerary.

v Tender the shipment to one or more carriers and track the carrier responses.

v View the shipment charges calculated by Kewill Transport and add or remove additional charges.

v Use Load Builder to review and approve your load plans.

Orders tab

Use the Orders tab to perform the following tasks: v Create, update, copy, and cancel orders.

v Use the Kewill Transport optimizer to consolidate large sets of orders into the most cost-effective shipments.

v View the direct rate mode plan, which shows the representative rates and transit times for each transportation mode that is eligible to deliver the order. The optimizer uses this data to process your orders.

v Use Consolidation Workbench to manually consolidate orders into shipments.

v Use the Add/View Items feature to manage the shipping units and items in the manifest.

v Mark an order as Ready to Ship so the inbound shipping organization can begin planning the delivery.

v Use Kewill Transport to automatically select the transportation mode for an order, based on the cost and transit time.

Carriers can use the Tenders tab and Active tab in Execution manage the freight that their shippers offer to them:

Tenders tab

Use the Tenders tab to perform the following tasks:

v Search for current tenders the shippers have submitted to your organization. For example, you might search based on origin, destination, mode, or equipment type.

v Accept or decline shipment tenders.

v Enter a spot rate bid if the shipper issued a broadcast for capacity tender. v View the itinerary or shipment details to learn more about the load

before you accept it.

Active tab

Use the Active tab to perform the following tasks:

v Search for shipments you want to manage in Kewill Transport. For example, you might search for shipments that have been loaded but have not departed.

v Filter the shipment list by a specific shipper if you only want to deal with freight for that organization.

v Reject shipments you have already accepted.

v Edit a shipment to show the specific equipment you are providing or to change the estimated distance.

v Print a Bill of Lading (BOL) form in PDF format.

v Managers can view shipment charges and add an unplanned charge, such as a detention fee.

v Update the shipment status, current position, or ETA.

Load Builder

The Load Builder workbench provides an efficient way to build truckload shipments. You can access and review optimization run output, build orders into shipments, manage pool points and cross-dock locations, and perform a variety of shipping tasks.

Using Load Builder, you can do the following tasks:

v Find unassigned orders and consolidate them into a shipment. v Combine shipments into larger shipments.

v Use the drag-and-drop feature to quickly select orders and assign them to a shipment.

v Review the shipments built by the optimizer and then approve or reject the shipments.

v Double-click a status event in an Execution dashboard to open Load Builder. For example, you might want to drill down and find out why certain shipments were picked up or delivered late.

v View a Google map of the shipment route.

v Route orders and shipments through pool points and cross-dock locations. v Expand a shipment record to view the stops and orders associated with the

shipment.

v Manage the tendering process for your shipments. Launch the Carrier Selection page, view the Tender Status, and print a Tender Confirmation sheet.

v Manually reorder the stops in a shipment route or have Kewill Transport optimize the route for you.

v Edit shipment attributes, such as the payment method or equipment size.

Carrier Selection and Tendering

Shippers can use the tendering features of Kewill Transport to automate and control the carrier selection process:

Tendering Strategies

For each transportation mode, you define these Tendering Strategies: v Do you use Kewill Transport or another system to do your tendering? v How long before a shipment departs does it has to be tendered? v How long do you allow carriers to respond to the tenders?

v Can your users override the shipment rate that is stored in your carrier contracts?

Route Guides

Use the Route Guides in Kewill Transport to define the tendering process you want to use for each shipping region:

v What transportation modes, equipment, and service type do you use in each shipping lane?

v What tendering method do you want to use, such as sequential or broadcast tenders?

v Do you want to use automatic carrier selection?

v Do you want this shipping region to use different tender time fence settings than your default Tendering Strategies?

v Do you want to disqualify carriers from taking a load if they have inadequate transit time?

Tendering Methods

Kewill Transport supports a variety of tendering methods that you can use to efficiently control carrier selection and make sure all your freight is covered:

Sequential

Tender to carriers one at a time, using the sequence defined in the Route Guide.

Broadcast

Tender to a list of carriers at the same time.

Tender to a list of carriers at the same time. The carrier can accept the shipper's offer or submit a different bid.

Broadcast for Review

Tender to a list of carriers at the same time. After carriers respond, the shipper selects the carrier to take the load.

Manual

Tender to a single carrier.

Automatic Carrier Selection

You can have Kewill Transport automatically tender your shipments, based on your Route Guide rules.

For example, you might have Kewill Transport automatically perform a sequential tender to the eligible carriers, starting with the carrier that has the lowest rate.

Volume Tendering

You can set up tendering strategies based on the volume commitments you establish with your carriers. You can then use Kewill Transport to tender shipments to the carriers that are the furthest from reaching their volume commitments.

For example, you might want a carrier to receive at least 10 loads per week between Ohio and Minnesota.

Sorting Carriers

You can control how Kewill Transport sorts carriers for manual and sequential tenders:

Rate

The carrier with the lowest rate is listed first.

Commit Quantity

The carrier with the highest number of committed loads is listed first.

Rank

Carriers are sorted based on the ranking the shipper assigned.

Factored Cost

The carrier with the lowest factored cost is listed first. You can use factored costs to assign discounts to carriers based on good service and penalties to carriers based on poor service.

Tender Overrides

Kewill Transport automatically generates a carrier selection plan for each shipment, based on the contracts and Route Guide rules the shipper administrator defines. For individual shipments, Execution users can override these default tendering rules.

For example, a dispatcher might determine that none of the contracted carriers are available to make the delivery in time. The dispatcher can perform a tender override and select a carrier that can take the load.

Carriers can set up Kewill Transport to automatically accept tenders from one or more shippers in defined service areas.

Carriers can also specify Tender Notification Parameters for each shipper: v Does the carrier accept EDI tenders from the shipper? Or does the

shipper have to tender online in Kewill Transport?

v For LTL shipments, will the shipper send EDI 204 or EDI 211 transactions to the carrier?

Shipment Tracking

Shippers and carriers can use Execution to perform the track and trace step of the shipping cycle:

v Customer Service representatives in the shipper or carrier organization can use the

Trackingtab to monitor shipment departures and arrivals. v All shipper and carrier users can update the shipment status.

v Shippers can set up Guard Shack users, who use the Shipment Log tab to track freight being delivered to the manufacturing plant, yard, or distribution center. For example, the Guard Shack user can set the shipment status to In Gate or

Out Gate.

v Carriers can use the Carrier Mobile application on their iPhone to accept tenders and report shipment status updates.

For example, the Tracking tab provides the following features that customer service representatives can use to monitor their shipments:

v In the Mode column, view the transportation mode, such as Truckload or LTL. v In the Description column, view a description of the freight being delivered. v In the Planned Departure, Planned Arrival, and Calc. ETA columns, view the

planned departure, planned arrival, and estimated time of arrival for a load. v Click View Details to display information about the shipment and each stop. v Select a shipment in the Shipments table to view each stop of the shipment in

Capacity Center

Shippers can use the Capacity Center to search the Kewill Transport network for carrier availability in a certain area. After you select the eligible carriers, you can tender the shipment, using either a broadcast for capacity or broadcast for review tender.

For example:

1. You have a shipment that has to depart from your Kansas City plant in the next three days.

2. None of your contracted carriers are available to take the load.

3. You search for carriers that have trucks arriving within a 100-mile radius of Kansas City in the next three days.

4. You issue a broadcast for capacity tender to the carriers that have trucks available in the Kansas City area.

Carriers can use the Capacity Center Broadcast feature to notify their Kewill Transport shippers that they will have a truck available to pick up freight in a specific area on a specific date.

For example, the carrier might specify that they will have two dry vans available to make pickups in Postal Code 80220 (Denver, Colorado) on 15 August.

Dedicated Fleet Management

A dedicated fleet is a trucking fleet that is owned by the carrier but is licensed for exclusive use by one or more shippers. A shipper arranges with the carrier to use the dedicated fleet, which helps ensure that the required truck capacity is always available.

You can perform the following tasks:

v Track the status of the trucks in your fleet. v Find shipments and assign them to the trucks.

v Manage non-shipment legs of the route, such as deadhead or repositioning. v Manage revenue sharing for shipments carried by the dedicated fleet.

v Use the Freight Payment features of Kewill Transport to manage the payment of carrier invoices.

v Set up Kewill Transport to automatically allocate the dedicated fleet costs among the shipments delivered by the fleet.

Shippers can also authorize their dedicated carrier to manage the dedicated fleet for them. The carrier logs on to Kewill Transport and uses the same Dedicated Fleet capabilities as the shipper.

Inbound Shipment Planning

Many shippers use their transportation management system to plan the outbound freight that is being delivered to their customers. Shippers can also use Kewill Transport to efficiently manage the inbound freight that they receive from their suppliers and vendors.

The Inbound Planning solution in Kewill Transport allows shippers and suppliers to collaborate on managing inbound orders and shipments. The Inbound Planning solution provides the following capabilities:

v Use a single system to manage both inbound and outbound freight. By

managing all your shipping volume in Kewill Transport, you can negotiate with carriers to procure better rates and service.

v Use the Freight Payment module in Kewill Transport to automate and audit the settlement process for all your shipments.

v Provide additional visibility to your supply chain personnel of the freight being delivered to your facilities. Track all the milestones in the shipping lifecycle, from purchase order through delivery.

v Use the Kewill Transport optimizer to consolidate inbound deliveries, which determines the best transportation mode and the lowest cost.

v Find additional cost-saving opportunities by switching from prepaid to collect freight terms to gain control of inbound freight costs.

Larger vendors that are EDI-enabled can exchange orders, shipments, and other business documents with Kewill Transport in EDI format. Smaller vendors that are not EDI-enabled can use the IBM Sterling Supplier Portal to exchange data with Kewill Transport.

For example, your suppliers can use the following process to transfer data between their systems and Kewill Transport:

1. The supplier uses IBM Sterling Supplier Portal to create a routing request. 2. When the routing request is submitted to Kewill Transport, an order is created. 3. The Kewill Transport shipper can consolidate the order into a shipment and

plan the most cost-effective shipping option.

4. The shipment can be submitted from Kewill Transport back to IBM Sterling Supplier Portal for the supplier to track in its system.

Carrier Mobile

Carriers can subscribe to the Carrier Mobile application. This Apple iPhone application allows carriers to respond to shipment tender requests and provide real-time status updates to shippers from their mobile digital device.

Carrier Mobile provides the following features:

Respond to tenders

By responding to time-sensitive tender requests when away from a computer, carriers with mobile access have the opportunity to win more business:

v View a list of all tenders that have been sent to your organization. v Accept tenders while on the road.

v Decline tenders that have already been accepted.

Provide real-time shipment status

Carriers can provide real-time shipment status updates, which enhances communication between shipping partners and boosts productivity: v Find a shipment by reviewing the Active list.

v Find a shipment by searching for the SID or Carrier Reference Number. v Report status updates for a shipment, including which stop number you

are updating, the time of day, the status to report, and the reason code.

Additional Execution Features

Kewill Transport also provides the following Execution capabilities:

Google Maps

Shippers and carriers can view a Google map that shows the shipment route from the origin to the destination.

Shippers and carriers and can view and print the following forms: v Bill of lading forms in Adobe Acrobat PDF format

v Shipment Summary and Shipment Detail documents v Tender confirmation sheets

v A list of shipments or orders in any Execution table

In addition, shippers can be licensed to develop their own custom bill of lading forms. Shipper and carrier users can view and print these custom forms in PDF format.

Notes/History

Shippers and carriers can view a complete history of the status, notes, alerts, and events that have been recorded for each shipment.

Shippers can also view private notes that are only available to their users. Carriers cannot view these notes.

Managers can view pricing information in Notes/History. Customer Service and Shipment Entry users cannot view prices.

Customer Portal

Shippers can authorize their customers to log on to Kewill Transport and view the shipments that are being delivered to that customer.

For example, the Kewill Transport shipper is a manufacturer and the shipper allows a key retailer to log on and track incoming deliveries. To view the Customer Portal, the customer users log on as a user within the shipper organization. These customers are not set up as a separate organization within Kewill Transport.

Chapter 3. Optimization

Kewill Transport shippers can be licensed to use the Kewill Transport optimizer, which is based on the Transport Power Ops optimization engine from IBM ILOG. You can use the optimizer to automate the consolidation of smaller orders and shipments into larger shipments, based on the most cost-effective transportation mode.

The goal of the optimizer is to build the load plan solution with the lowest overall cost, based on the following considerations:

v The set of orders you submit

v The representative costs and minimum savings you define v The optimization run parameters

v The transit time required to deliver the freight The optimizer provides the following general features:

v The optimizer supports multiple transportation modes. For example, you can consolidate parcel orders into LTL, LTL loads into larger LTL loads, and LTL into Truckload.

v For each mode, you can define fleets that support different service types, such as normal or expedited service.

v You can define a wide variety of run parameters that let you tune the optimization to meet your business constraints.

v You can submit orders that do not have a mode assigned. Based on the Mode

Selection Thresholds you define, Kewill Transport can feed the orders to the

optimizer to select the most cost-effective mode.

v You can use Direct Rate Contracts to store the representative shipping costs for different modes and service types. The optimizer uses these rates to compare shipping costs across modes.

v The optimizer takes into account transit times when it determines the modes that are eligible to make the delivery on time.

v Load planners can use the Load Builder module in Kewill Transport to quickly review and approve the shipments built by the optimizer.

Consolidating Orders and Shipments

You can use the optimizer to efficiently consolidate both orders and shipments: v In addition to consolidating orders into shipments, you can have the optimizer

replan existing shipments. You can top off shipments, combine shipments, or break apart and replan shipments.

v You can specify whether the optimizer replans tendered and covered shipments. v After the optimizer consolidates orders into shipments, you can have the

optimizer automatically create a single-stop shipment for any leftover orders. For example, the optimizer did not consolidate an order into a truckload shipment because the optimizer determined it was cheaper to ship the freight directly as LTL.

v You can have the optimizer calculate the planned arrival window of the shipment, based on the planned departure window. You can also have the optimizer calculate the planned departure window, based on the planned arrival

window.

v You can have the optimizer honor the Ship-With indicator when it consolidates orders into shipments. The optimizer will honor these ride-with constraints and combine the orders into one shipment, as long as the total size fits on the same vehicle.

v The optimizer allocates the total shipment cost proportionally to the orders in the shipment, based on the base rates, weight, volume, or quantity.

v You can require that the optimizer only assign orders to a consolidated shipment that uses the equipment specified in the orders. For example, you might require that the orders ride in a specific type of refrigerated van.

Optimization Runs

The optimizer provides the following features for setting up and running the optimizer:

v You do not have to manually select complex heuristics (mathematical algorithms) for each optimization run. The optimizer analyzes the orders and automatically chooses the best heuristics to process your data set.

v For complex order sets, you can have the optimizer build an initial solution set and then automatically run improvement heuristics to refine the results.

v You can save optimization run profiles, which allow you to to quickly launch runs and ensure consistent results.

v You can automate your optimization runs by setting up a run schedule. For example, you might save an optimization run profile and then have Kewill Transport execute it daily at 7 a.m.

v You can use the Load Builder module to view your cost savings and approve optimization run results. If you do not approve the results, you can feed them back to the optimizer to be processed again.

v You can subscribe to optimization alerts. For example, you can receive an email that tells you when a scheduled optimization run has completed.

v You can define the minimum cost savings for each mode and fleet that you are modeling in the optimizer. For example, you might want to make sure the cost savings cover the additional warehouse expense of consolidating the freight.

Optimizing Shipping Routes

The optimizer provides the following features for building efficient routes:

v The optimizer calculates route distances based on over-the-road distances from the origin to the destination. The optimizer uses the mileage source you configured for your organization, such as PC Miler or MileMaker.

v You can define the maximum distance of the total route and the maximum duration (such as 72 hours or 5 days).

v You can have the optimizer plan multi-pickup and multi-delivery routes. v You can define the maximum number of stops in the route and the maximum

distance between each stop.

v You can have the optimizer group orders together that are being picked up or delivered at a pool point location. The optimizer will consider an inbound pool

outbound pool point as an alternate destination for the line haul leg. A single

optimization run cannot create a route that uses pool points as both the origin and destination.

v You can have the optimizer build round trip routes. For example, your private fleet might make deliveries and then return to the depot every night.

v You can have the optimizer build the route schedules to either observe or ignore the working calendar at each stop location.

Chapter 4. Dock Scheduling

Shippers can use the Dock Scheduling module of Kewill Transport. Users can search for both scheduled and unscheduled shipments and view daily schedules for their docks.

You can also allow your carriers and suppliers to make dock appointments for pickups and deliveries.

Dock Configuration

When you define a location in Kewill Transport, you can set up a dock scheduling profile if your organization owns the facility.

You can configure Dock Scheduling at each location to perform these tasks:

v Remain open earlier and close later than the normal front office operating hours to support your shipping and receiving schedule.

v Require pickup or delivery appointments at the dock location.

v Control the carriers and suppliers that can make appointments at this location. v Direct traffic for a specific carrier to a dock reserved for its use only. Similarly,

you can set up a dock with Owner-Only visibility to reserve that dock for your organization's use.

v Restrict equipment types, such as refrigerated trucks, to a specific dock. v Direct shipping and receiving activities to separate docks, or allow both

activities at a specific dock.

v Define the maximum number of pickups and deliveries your suppliers can make at the location.

v Display the time frames you use in dock schedules (for example, allowing appointments every 30 minutes, 60 minutes, or 90 minutes) while blocking out break times (such as lunch).

v Require that appointments be scheduled within the pickup or delivery window, or allow appointments to be made before or after the window. For example, some shippers might allow a carrier to make a pickup appointment at 10:30 a.m., even though the planned departure window begins at 11 a.m.

v Select default appointment durations and loading/unloading rates for common shipment types.

v Quickly set up multiple docks that all use the same settings. v Copy an existing dock profile to quickly create a new dock.

v Control when users can create and update dock appointments. For example, you might allow carriers to make an appointment 8 hours before arrival and update the time up until 4 hours before arrival.

Dock Scheduling Features

Shippers, carriers, and suppliers can use Dock Scheduling to perform the following tasks:

v Create, update, and cancel dock appointments.

v Search for orders and shipments, based on whether a dock appointment has been scheduled or not.

v Find specific orders in a shipment for scheduling the pickup and delivery. v View shipment details directly from an appointment and update the status. v Shippers can toggle between the Detail view and the Day view in Dock

Scheduling.

v Carriers can only use the Detail view. They can see scheduled and unscheduled shipments but cannot access the daily dock schedule.

Shippers can use the following features in the Day view to manage appointments at a location:

v Use the Type option to select whether you want to view shipping docks, receiving docks, or both.

v Use the Location and Date fields to display appointment time slots for that date at the selected location.

v Click Make Appts to enter appointments for an existing order or shipment. v After you make an appointment, Kewill Transport shows whether the

appointment is for a shipping dock or receiving dock: – : Pickup appointment at a shipping dock

– : Delivery appointment at a receiving dock

v Click Print BOL to open a Bill of Lading for the shipment as an Adobe Acrobat PDF file.

Chapter 5. Contract Management

Shippers and carriers can collaboratively build and manage an electronic contract of transportation rates, modes, and equipment characteristics for their shipping lanes. Shippers and carriers can propose and accept contract changes.

One of the challenges for shippers is to ensure that shipments are tendered to the correct carriers at the best rate. The Contract Management module offers the following advantages for tendering shipments:

Store contract information

You can view all the contracts and accessorials that your Kewill Transport shipper administrator defined.

For example, you can compare rates between carriers or analyze multiple contracts for the same carrier. You can also compare your carrier contract rates to the target shipping rates your administrator defined in the base rate contract.

Manage contract changes

Your organization and carriers can use the Kewill Transport proposal process to submit, counter, and approve contract changes.

The proposal process provides a detailed history of your rate changes.

Manage shipment tendering strategies

You can use the Route Guide Inquiry feature to analyze the electronic Route Guide that your administrator set up to manage your shipment tendering process.

You can run inquiries and then fine-tune your tendering strategies and route guide rules to provide optimal carrier selection.

Contract Overview

A contract in Kewill Transport contains all the essential pricing and rating information for a specific carrier. A shipper can define one or more contracts for each carrier.

Shippers can also define specialized contracts to support base rates, average rates, and optimization.

Once a contract has been defined, the shipper and carrier can use the Contract Management module to propose and accept contract changes.

Contract Types

Shippers can define the following types of contracts in Kewill Transport:

Shipper and Carrier Contract

This is a contract between a shipper and a single carrier. Most of the contracts you manage in Kewill Transport will be these carrier contracts.

Use the base rate contract to define a target rate for each shipping lane. When you tender a shipment or perform a Route Guide Inquiry, you can compare the base rate to the actual rates available from your carriers.

Payor and Payee Contract

This is a contract between a payor organization and a payee organization. For example:

v A third-party logistics provider (3PL) uses Kewill Transport to manage shipments for its customers.

v The 3PL uses a payor and payee contract to track how much the

customer owes the 3PL. The 3PL specifies the customer as the payor and specifies its 3PL organization as the payee.

v The 3PL uses shipper and carrier contracts to manage how much the 3PL owes the carriers.

Freight Accrual Contract

Use the freight accrual contract to track freight accrual charges. Kewill Transport stores the charges as unplanned accessorials, which are included in accrual invoices.

Average Rate Contract

Set up this contract if your organization uses the Average Rate Calculator. Kewill Transport calculates the average shipping rates and stores them in this contract.

Direct Rate Contract

Set up this contract if your organization uses the Kewill Transport

optimizer. The system uses the contract to store representative rates, which the optimizer uses to compare shipping costs across modes.

Contract Levels

Each contract that you define contains three levels:

Contract

Defines the general contract information, such as the type of contract, the carrier, and the contract dates.

Section

Each contract can contain one or more sections. You can define a section for each carrier fleet and indicate whether the fleet is dedicated, preferred, or private.

You can also define a section by the rating method, such as Flat Rate or Full Route Distance. There are many other characteristics you can assign for each section, such as Equipment Type, Movement Type, and Service Type.

Lane

Each contract section contain one or more rating lanes. Lanes are the routes used by Kewill Transport to calculate shipment charges for freight that is delivered from the origin to the destination.

In the lane level of the contract, you specify the following information: v The origin and destination of the lane

Accessorial Charges

An accessorial is a charge for services performed above and beyond hauling the load. You can define the following types of accessorials in Kewill Transport:

Standard

Use for general charges, such as a driver load/unload charge or a per-stop charge.

Fuel

Use to apply fuel rate changes, which are calculated based on the U.S. federal fuel index.

Equipment

Use when you want to apply a special charge if a shipment uses a certain equipment type.

For example, assume you define most of your contracts for dry vans. You could define a refrigerated trailer accessorial for the occasional shipment that requires it.

Service

Use when you want to apply different rates for shipments that use normal or expedited service.

Deadhead

Use to charge for the deadhead distance between the destination of one shipment and the origin of the next shipment.

Contract Updates

Shippers and carriers can use the Contract Management module to collaborate on updating contracts. A contract proposal can contain multiple changes. For example, you might propose a change to the expiration date of the contract, the equipment type for a section, and rate changes for lanes.
