Temporary Marketing & Administration Assistant, The Poetry School

 Part time: 15-22.5 hours per week depending on experience

 Temporary: 14-16 weeks from mid September 2015

 Fee / salary: £300 - £350 per week depending on experience

Summary

The Poetry School is an educational arts charity dedicated to nurturing poetic talent in aid of a dynamic, diverse and popular contemporary poetry for readers and audiences everywhere. We offer an established and well-respected programme of online and face-to-face courses and special projects, allowing poets the chance to develop their poetry from its beginnings to an advanced level.

As we recruit a new Director during the last quarter of 2015, we are looking for an exceptional individual to join us at our national offices and classrooms in central London as a temporary Marketing and Administration Assistant to support us during this busy period. This role will see the successful candidate support the organisation in the marketing of its programme of

educational and developmental activities and the administration of course bookings and enrolments.

The successful candidate will be a confident, engaging communicator who enjoys a role which involves dealing with a range of people including colleagues, partners in the sector, tutors and students. They will have previous experience of traditional, digital and social media marketing, and an understanding of what drives the marketing priorities of an arts educational charity. Working at the heart of a busy team, they will be capable of learning new systems quickly, adapting to situations and developments as they arise, and acting speedily to resolve any problems and ensure the smooth execution of duties.

This role is challenging in scope and offers an excellent opportunity for someone with arts administration skills to develop them within a lively and well respected organisation. The Poetry School has an excellent reputation among its peers and supporters and this role offers a chance to consolidate and improve professional skills within a friendly team.

Job Description

The role of Temporary Marketing and Administration Assistant will cover two main areas: marketing support, and course bookings administration.

The post holder will report to:

Head of Programmes / Programme & Facilities Coordinator

Purpose of post:

 To play a key role in implementing the Poetry School’s marketing strategy, undertaking marketing and communications activities across the range of channels, including print, face to face and online. To maximise sales of Poetry School courses, workshops, events and other programming, both face to face and online. To maximise opportunities to engage with existing and potential students, contacts and customers of the Poetry School.

 To be a point of contact for Poetry School students wishing to enrol for activities by phone, online or in person, and to manage those enrolments using the Poetry School’s bespoke booking and payment systems. To support other Programme Team members in liaising with tutors and students to ensure the smooth running of the course

programme.

 To provide general administrative support to the team as needed.

Marketing Support

 Support the production and oversee the distribution of the Spring print brochure

 Collate, write, edit and send fortnightly email marketing newsletters

 Keep listings websites updated with information about Poetry School activities

 Create and send targeted emails to segments of the customer database in response to real time sales information

 Engage with the Poetry School’s audience across social media platforms, including Twitter and Facebook

 Collate and devise content for the Poetry School’s blog on its CAMPUS network

 Evaluate effectiveness of marketing activities and contribute to sales reports

 Contribute to the ongoing development of the Poetry School marketing strategy as appropriate

 Help with research into new markets and marketing opportunities for Poetry School activities as appropriate

Course Booking Administration

Liaising with the Programme and Facilities Co-ordinator, the Marketing and Administration Assistant will …

 Manage phone, online, face to face and bookings and student enrolment, administering the user database and online payment systems

 Maintain accurate attendance and financial records of enrolments.

 Liaise with tutors regarding course details, registrations and general enquiries.

 Prepare registers, signage and equipment for regular classes and workshops

 Support the Digital Programme Producer in the administration of online courses on CAMPUS

 This role is for a time-limited period and we are open to the post-holder being engaged either on a freelance basis, or on a temporary contract.

 The fee / salary for this role is in the range of £300 - £350 per week, depending on experience.

 Depending on experience, the role would be for 2-3 days a week (15 – 22.5hrs).

 The Temporary Marketing and Administration Assistant works from the Poetry School office in Lambeth Walk.

Person Specification

Attribute Essential Desirable

Experience of working in a similar marketing role within a charity/not for profit, arts organisation, creative industries or a commercial environment

 Familiarity with Facebook, Twitter and other social media

platforms and an aptitude for using these channels as a means to drive audience growth and engagement.

 Ability to assimilate details of new systems and duties quickly

 Ability to work independently and as part of close team with

overlapping areas of responsibility. 

Excellent, accurate, persuasive, entertaining copy writing skills should be combined with good editing and proofing abilities.  Strong administration skills. A multi-tasker, highly organised,

with a systematic yet flexible approach, an eye for detail and a high level of accuracy.

 Excellent time management skills.

 Excellent interpersonal skills. A professional and friendly

manner when dealing with colleagues and the public. A confident, persuasive communicator face-to-face, over the phone and via email, with experience of handling a wide range of enquiries and customer service situations.

Good level of numeracy and accuracy in data inputting. High degree of computer literacy with proficiency in relevant

office software packages including Excel and Word.  Interest in the arts and/or poetry and literature.
