GENERAL NARRATIVE DESCRIPTION OF POSITION

The Nursing & Health Occupations Administrative Assistant is responsible to and will have work assigned by the Director of Nursing and Health Occupations. The person in this position will provide administrative support to the Director and, as assigned, to the Nursing and Health Occupations faculty, programs, and courses.

ESSENTIAL JOB FUNCTIONS

The employee will need to be able to perform the following essential job functions (duties) of this position with or without reasonable accommodation.

~- Provide administrative support to the Director of Nursing and Health Occupations, hereafter referred to as "Director."

2. Provide administrative support as assigned to Nursing, Nursing Assistant, Medical Assisting, EMS, AHA, and other health-related programs and courses.

3· Compose and prepare correspondence, and written reports for activities related to nursing and health occupations, including but not limited to annual worker's compensation reports on student attendance at clinical sites.

4· Record and transcribe minutes of meetings for such groups as the Nursing Advisory Committee, Medical Assisting Advisory Committee, EMS Advisory Committee, Nursing Faculty, and other meetings as assigned.

5· Research, collect and report data needed to further Nursing and Health Occupations Programs, including but not limited to clinical site surveys.

6. Research and procure inventory for Nursing and Health Occupations programs under the direction and approval of the Director.

8. Work with the Director to provide support for the instructional activities of nursing and health occupations faculty and students, including but not limited to: acquisition oftextbooks and instructional resources/suppliesi word processing of instructional materials on an as needed basis such as reports and self-studiesi assisting with Simulation activitiesi and assisting with materials managementi assisting with scheduling of credit and non-credit course offerings. g. Maintain accurate Faculty files and records for the Nursing Program to meet requirements of

the Oregon State Board of Nursing.

~o. Maintain accurate Student files and records appropriate for the Nursing Program to meet requirements ofthe Oregon State Board of Nursing and accreditationi Assist Health Occupations Department directors and coordinators in the same as required by applicable licensing bodies and accreditation.

~~· Collaborate with Director and faculty in monitoring student completion of Program and clinical requirements, including but not limited to current HCP CPR card, immunizations, TB testing, and criminal background checks.

Collaborate with staff and faculty to problem solve and ensure that all instruction-related needs are met.

~3· Assist the Director in providing information to potential students and the public for the Nursing and Health Occupations programs.

~4. Assist with the preparation of forms for screening and interview processes for new classified, management, and faculty positions as assigned. Participate in screening and interview processes as assigned. Assist with processing of newly hired faculty as assigned. ~s. Assist the Director and Training Center Faculty in ensuring the proper administration,

coordination, and quality of AHA courses by providing administrative support for the Certified Training Center for the American Heart Association, a partner entity of the college. Duties assigned may include production and distribution of all AHA provider cards when course rosters are submittedi preparation of required reports and the bi-annual self-study for AHA review and accreditation visiti provide current, timely, and consistent National, Regional, and Training Center policies, procedures, course content, and course administration to the Director and instructors, and serve as quality control for all AHA instructors aligned with the Training Center.

~6. Perform other tasks as assigned by the Director of Nursing and Health Occupations or the Chief Academic Officer.

MARGINAL JOB FUNCTIONS

~. Function as Program liaison with Second Year Nursing Students in planning and coordinating the annual June Pinning Ceremony for graduating students.

2. Function as primary contact for Kaplan Testing Services for the Nursing Programi Proctor Kaplan testing, theory exams, and ProCalc testing as assigned.

3· Assist Simulation Coordinatori includes set up (turning on computers, cameras, SimMan, etc.), clean-up, ordering and stocking supplies, and maintaining equipment.

4· Monitor and update Nursing and Health Occupations information on college web pages.

5· Assist with student recruitment, marketing and follow-up activities as assigned.

6. Assist the Director in the preparation and delivery of program reports to the College Board of Directors and other College entities.

7· Support grant activities as directed.

8. Attend CGCC staff meetings and quarterly trainings.

EXPERIENCE

Minimum two years experience as an administrative assistant required, four years preferred. Health related occupations support preferred; educational setting background preferred.

EDUCATIONAL BACKGROUND

High school diploma or equivalent required, Associate's Degree preferred. Some college coursework

and demonstration of post-secondary reading and writing skills required. Office information systems course work and experience required. ·

REQUIRED KNOWLEDGE, SKILLS AND PERSONAL QUALIFICATIONS

1. Current knowledge of office systems and technology, including Group Wise and MicroSoft (Word, Excel, and Publisher).

2. Ability to plan, organize, and finish tasks in a timely manner. Current knowledge of webpage management.

Ability to work independently with minimal supervision.

Ability to respond positively to performance feedback from others in the organization.

6. Ability to work as a team member.

7· Problem-solving and decision-making ability. 8. Effective oral and written communication skills.

9· Ability to multi-task, prioritize, and follow through efficiently and thoroughly on a diverse and

complex workload.

10. Ability to research and procure needed items and equipment.

SUPERVISION RECEIVED

The Director of Nursing and Health Occupations is responsible for supervision and evaluation under procedures developed by the Chief Academic & Student Affairs Officer.
