Preparation:
• I need a set of files to work with. I will use the files in the File Management Homework.zip file. See Step 1 under the Homework Steps: section for files. I downloaded and unzipped the files to my flash drive, drive J. Your drive letter may be different.
• This tutorial will be very brief because I assume you have read the Managing Your Files tutorial, pages FM 1 – 18 in the Introduction to Office 2007 lab book. The book is written for Windows XP. The steps are very similar in Windows 7. There are only minor differences.
• Please note there are many ways to do these commands. Since I am writing this tutorial I will show you my way. ;-) I tend to use the right-click/shortcut menu method most of the time. I like it because I don’t have to memorize where on a menu or toolbar the command is located. And, typically this method works no matter what version of Windows I am using.
Navigating to My Flash Drive:
• I click the Windows Start Button, then click Computer:
• I see my two folders. The original .zip file (the one with the zipper) I downloaded and a duplicate folder (no zipper) which has the files that I unzipped.
• I double-click the File Management Folder that does NOT have a zipper.
• In this folder I will show you the file management commands. Creating File Folders:
• Click the New Folder button or in the right window pane: right-click to get the shortcut menu, select the New option, and then Folder.
• See the folder with the temporary name of “New Folder”?
Please note for your homework assignment you will need to repeat the above steps to create the Excel folder.
Changing the View, Sorting Folders and Files:
• I like my files to be organized and in the Details View.
• Click the drop-down View Button to change the view to Details.
• Click the column heading to sort by Name, Date modified, Type, and Size.
Moving Files:
• I want to move all of my Word files in to the Word folder.
• Select the 3 Word files using the Ctrl key and the mouse. Click the Cover Letter.doc file with the left mouse key. Hold down the Ctrl key. Click with the left mouse key the Research Paper.doc file. Hold down the Ctrl key. Click with the left mouse key the Resume.doc file. All 3 files should be selected.
• Right-click any of the 3 files, and drag them to the Word folder holding down the right mouse button, release the mouse button to get the shortcut menu, and then select the Move here option.
Click the drop-down arrow, and then select Details. Click the Name
I need to get back to the File Management Homework folder. I click the Back button to navigate back to the File Management Homework folder.
Please note for your homework assignment you will need to repeat the steps above for moving the Excel files in to the Excel folder.
Copying a file to a folder:
I will make a copy of the Coffee Bean.bmp file and put it in the Word folder.
• Again, I like to check my work. So I will verify that the Coffee Bean.bmp file was moved by double-clicking the Word folder:
• I then click the Back button to navigate back to the File Management Homework folder. Renaming a file:
Deleting a file:
Delete the File One.txt file.
• Right-click the file, select Delete from the shortcut menu.
Please note that if your files are on the hard drive then the message will be different. It will ask you if you want move the file to the Recycle Bin. Click the Yes button.
Copying a File in the Same Folder:
If you want to make a copy of a file and put it in the same folder it is a two-step process. You copy it and then rename it. Windows does not allow you to have the exact same filename for both files in the same folder. So it will give a new name and add “ – copy” to the end of the original file name.
• Right-click the file, select the Rename option from the shortcut menu, type/edit the new name (in this case English Term Paper), and then press the Enter key.
