Congratulations on making the smart move to EPB for communications solutions

that help you do business even better. This quick start guide will help you get the

most from your EPB Hosted Phone Solution. If you require additional assistance,

Note: ✪ Features with this symbol () can be managed online by logging in to the Com-

mportal from via web browser. For ease of use, make sure your web browser is set to allow

pop-ups for the Commportal site.

How to make and receive calls from your desk phone PLACE a Call

1. Lift handset or press SPEAKER/HEADSET.

2. Press a LINE key.

3. Dial phone number from keypad.

ANSWER a Call

1. Lift handset or press SPEAKER/HEADSET.

2. Press line/call appearance button for incoming call.

END a Call

1. Replace handset in receiver or press GOODBYE key.

HOLD a Call

Placing a call on hold allows you to pause a call then pick the call back up on the same phone.

1. Answer call.

2. Press HOLD to place the call on hold so that it can be picked up again on the same phone.

PARK a Call

Parking a call allows you to place a call on hold so that it can be picked up at any phone.

1. Answer call.

2. Press PARK to hold the call so that it can be picked up from any phone.

TRANSFER a Call

1. Press XFER to put current call on hold.

2. Dial the number/extension where you wish to transfer the call.

3. Press XFER again and hang up while the new line is ringing or wait until the new line has been an- swered, then press XFER.

CONFERENCE CALL (3-WAY CALLING)

3-way calling allows you to bring a third caller into any phone conversation.

1. Press CONF key while on the first call.

2. Dial the number/extension you wish to add to the call.

3. When the new number/extension is answered, press CONF to merge the calls.

IGNORE or REJECT a Call

If you do not wish to answer an incoming call, press IGNORE or REJECT the call to either end the call or to send the call directly to voicemail if you are a voicemail subscriber.

DIRECTORY

The DIRECTORY button shows you a global directory list of names and phone numbers/extensions within your business. The business-wide directory on your phone is automatically updated every night (once every 24 hours).

You may add personal contacts to your phone’s directory manually in addition to those in your global business directory. These contacts will be saved in your phone only. Your phone will store up to 200 con- tacts*.

Add/Remove Contacts in Directory

Adding a personal contact to your directory is very similar to adding a contact to your mobile phone:

1. To add a contact, press DIRECTORY then follow the prompts to ADD a contact.

2. Follow the same procedure and follow the prompts to edit contact information or remove a contact.

Add/Remove Contacts in Business-Wide Directory

If you wish to add or remove a contact to your business-wide directory, you may do so using via Hosted Phone administrator Commportal using the administrator credentials. If you are not the administrator, you will need to ask your administrator to make the change.

*Additional contacts may be stored and managed via Commportal. See the Com- mportal quick start for more information.

Access Voicemail

When you have one or more messages, your phone will display a flashing light in the upper right corner, and an envelope icon will appear on your screen.

You can access and manage your voicemail messages from your desk phone, by dialing your desk phone number from another phone, by direct-dialing your voicemail from any phone, or via the online Commportal. See VOICEMAIL QUICK START FOR MORE INFORMATION.

From your desk phone:

• Dial *98

• Enter your PIN # when prompted.

• Follow the prompts to listen to, save or delete voicemail messages.

From another phone:

• Dial your desk phone number.

• Press * to skip your voicemail greeting.

• Enter your PIN # when prompted.

• Follow the prompts to listen to, save or delete voicemail messages.

Direct dial from any phone:

• Dial 423-648-MAIL (6245) from any phone.

• Enter your 10-digit desk phone number.

• Enter your PIN # when prompted.

• Follow the prompts to listen to, save or delete voicemail messages.

✪Via Commportal

:

• Go to phone.epbfi.com from any web browser.

• Login using your desk phone number and PIN #

• Use the Commportal to listen to, save or delete voicemail messages.

* You may also use the Commportal to manage other voicemail settings (see Commportal section & Commportal Quick Start).

Manage Voicemail Greetings and Out of Office Greeting

Manage your voicemail greetings, including recording custom greetings or setting an out of office greeting, by accessing voicemail from your phone or via the Commportal. See the Voicemail Quick Start guide for instructions on managing your voicemail greetings.

Call Forwarding 

Call forwarding allows you to forward your calls to another number. To enable or disable call forwarding online, login to the Commportal and choose the Call Manager tab.

Enable/Disable Call Forwarding From Your Business Phone

1. To enable call forwarding from your desk phone, dial *72 followed by the number you wish to forward calls to.

2. To disable call forwarding, dial *73.

Enable/Disable Call Forwarding Remotely

You may also activate call forwarding from your mobile phone or any other phone.

1. Call 423-531-1237.

2. Enter your PIN: This is the last 4 digits of your business number (i.e. the number to be for- warded). If you have trouble accessing your PIN, call Customer Service at 423-648-1500.

3. Enter the 10-digit phone number you wish to forward calls to, then follow the prompts to activate or deactivate forwarding to that phone number.

Enable/Disable Call Forwarding Online Via Commportal 

Manage call forwarding online by logging in to phone.epbfi.com and choosing the Forward option under Settings on the Dashboard. (See the Commportal quick start guide for more details).

Speed Dial 

Speed dial allows you to call up to 30 of your most frequently dialed numbers using two-digit short- cut codes instead of dialing the entire number.

Add Speed Dial Codes from you phone

1. Dial *75 plus the speed dial code you’d like to assign (you may choose any two-dig- it code between 20 and 49 for each phone number on your speed dial list).

2. Dial the phone number you wish to attach to that speed dial code. You will hear a tone confirming the number has been stored.

Change a Speed Dial Code from your phone

1. Dial *75 plus the speed dial code you’d like to change.

2. Dial the new phone number you wish to assign to that speed dial code. You will hear a tone confirming the number has been stored.

Add a Speed Dial Code via Commportal  1. Login to your Commportal at phone.epbfi.com.

2. Go to the Contacts tab.

3. Choose Speed Dials.

4. In the right column, use the drop-down menu to se- lect the 2-digit speed dial code you wish to assign.

In the number box, enter the phone number you wish to attach to the speed dial code.

5. Press Apply.

Remove or change a Speed Dial Code via Commportal 

1. Login to your Commportal at phone.epbfi.com.

2. Go to the Contacts tab.

3. Choose Speed Dials.

4. In the left column, click the X to the right of the speed dial code and number you wish to delete. Once you have removed a speed dial code, you can re-assign that 2-digit code to a new number. You may delete all speed dial codes at once by click- ing the Clear List button in the lower left corner.

Place a Call Using Speed Dial

1. Life handset or press SPEAKER/HEADSET.

2. Press a line key.

3. Dial the two-digit speed dial code for the number you wish to call, then press #.

4. Your call will be connected after a short pause.

Simring/Find Me/Follow Me

SimRing (simultaneous ring) gives you the option of having a call to your phone ring multiple other phones at the same time until the call is answered or voicemail picks up.

Find Me/Follow Me forwards a call to your desk phone to a series of other phones in the se- quence you specify until the call is answered or voicemail picks up (for instance, you may use Find Me/Follow Me to have calls to your desk phone forwarded to your mobile phone then to your home phone if it is not answered within the number of rings you specify).

You will have either SimRing or Find Me/Follow Me depending upon your level of service. Only one of these features may be used at one time. You can manage either feature from your desk phone or online via the Commportal.

Enable/Disable SimRing or Find Me/Follow Me From Your Business Phone

• To enable dial *312# then follow the voice prompts to add a list of numbers to call.

Each number is called in order until one of them is answered or the call list is exhausted.

• To disable dial *313#.

Enable/Disable SimRing or Find Me/Follow Me VIa Commportal

1. Login to your Commportal at phone.epbfi.com.

2. Choose SimRing or Find Me/Follow Me in Settings box in the lower right corner.

3. Activate SimRing or Find Me/Follow Me by checking the box in the upper left corner of the window, then follow the prompts in the window to add or delete the phone numbers that will also ring when your number is called.

4. Deactivate SimRing or Find Me/Follow Me by unchecking the box in the upper left corner.
