1. Overview

The following is a detailed brief on how to install the Clock Link Utility for use with [email protected]. This guide explains the process on installing the Clock Link Utility, and setting up your time clock to begin downloading punches to the TimeForce system.

2. Configuring the Time Clock

Depending on the type of time clock that you have, the instructions in this section may be different. The instructions refer to the Velocity 800 and Velocity 850 time clocks.

The Velocity 800 clock uses Ethernet settings, an ID and a Password for

communication. The Ethernet settings include an IP Address, Subnet Mask, and

Gateway. These settings are comparable to giving the clock an “address” at which it can be found over the network. Consult your Network Administrator about acquiring these settings. The clock must be given a static IP address.

Instructions:

1. From the clock keypad, press the <MENU> button and select 1 for “ADMIN”.

2. Enter an administrator ID (or Card #) and press the <ENTER>key. The default administrator ID is “8888”.

3. Enter the password (or PIN) for the specified administrator ID and press the

<ENTER> key. The default password for the admin ID is “1111”.

4. Press 3 for “Clock Setup”.

5. Press 1 for “Communication”. The “Ethernet” menu opens.

6. This screen allows you access to each of the Ethernet settings that you must specify, press 2 for “IP Address”, press 3 for “Subnet Mask”, and press 4 for “Gateway”.

7. The current settings will be displayed, and the clock will prompt you to enter the new setting.

8. Enter the new setting at the keypad (remember to use the Period key), and press

<ENTER>.

IMPORTANT: The Ethernet Settings are specific to your Local Area Network. It is highly recommended that you change the default settings. MPAY can not supply these

settings.

2.1 IP Address Setup

From the Ethernet menu, press 2 for “IP Address”. The following prompt will then appear:

SET NEW IP ADDRESS:

NOW:

ENTER NEW IP:

The “NOW” field displays the current IP address. To change the clock IP address, type in the new address at the clock keypad and press <ENTER>.

2.2 Subnet Mask Setup

From the Ethernet menu, press 3 for “Subnet Mask”. The following prompt appears:

SET NEW SUBNET MASK:

NOW:

ENTER NEW MASK:

The “NOW” field shows the current Subnet Mask. To change the mask, type in the new setting at the clock keypad and press <ENTER>.

2.3 Gateway Setup

From the Ethernet menu, select 4 for “Set Gateway”. The following prompt appears:

SET NEW GATEWAY:

NOW:

ENTER NEW GATEWAY:

The “NOW” field shows the current Gateway. To change the Gateway, type in the new setting at the clock keypad and press <ENTER>.

3. Setting the Time Clock up in TimeForce

Before the time clock, TimeForce, and Clock Link can be connected, the time clock must be setup in the TimeForce system. The instructions for setting up the time clock are listed below:

Instructions:

1. Login as an Admin user to TimeForce.

2. Select the main Admin tab.

3. From the menu on the left hand side of the screen select “Clock Settings”

4. After selecting “Clock Settings”, the Clock Setup screen will appear. When this screen appears, select “Add Clock”.

5. When the “Add Clock” link is selected the Clock Info screen will appear on the right hand side of the screen. This screen will have some of the items defaulted in. The Clock ID should remain at “1”. Select the model of the time clock from the drop down menu.

Enter a Description for the time clock to differentiate from the rest of the time clocks.

Group Name can be left as No Group. The password should be type of clock (ex. if the clock is a V850, the password should be V850). The connection type should be Ethernet Clock. The IP Address should be the same as what was entered into the time clock.

After the IP Address has been entered, select the “Add” button as the remaining information is optional.

4. Installing Clock Link

To begin the installation process, download the Clock Link.exe file to the computer or server that Clock Link will be setup on. Once the file has been downloaded, you can begin installing Clock Link.

Instructions:

1. Double Click the .exe file to run the program.

2. After executing the file the following screen will appear:

3. From this screen, select the “Run” button to begin running the software.

4. When run is selected it will start Install Shield Wizard for Clock Link.

5. When this screen appears, select the “Next” button to begin going through the Wizard.

6. After selecting “Next”, it will show the default directory that Clock Link will be placed into. If this needs to be changed, select the “Change” button and enter the new directory.

Select “Next”.

7. After selecting “Next”, a screen will appear to show the current settings for the install.

Select “Install”.

8. After selecting “Install”, the Configure TimeForce Database Access screen will appear.

9. This will default to the Direct SQL Server Connection. This setting needs to be changed. To change simply select the radio button beside Advanced TimeForce Server Connection. Select “Configure”.

10. After selecting “Configure”, the Configure Advanced TimeForce Server Connection will appear.

11. In the Advanced TimeForce Server text box enter: time.payentry.com Then select the “Test” button to test the connection.

12. The following screen should then appear.

13. Select “Ok” to return to the Configure Advanced TimeForce Server Connection screen. From this screen select the “Apply” button to have the address entered applied.

Then select “Close”.

14. After selecting the “Close” button the following screen appears:

15. To complete the Clock Link Install select the “Finish” button. After selecting “Finish”

the Clock Link Utility should automatically come up on the screen and your time clock should appear in the time clocks section.

5. Connecting the Time Clock

Once the time clock has been configured, the time clock has been setup in TimeForce, and Clock Link has been installed, they are all ready to be connected. Begin by opening up Clock Link and selecting the clock that needs to be connected. Then select the

“Connect” link. This may take a few moments to complete. Once the system has completed the connection, the right hand side of the screen will be populated.

6. Create Scheduled Pull from the Time Clock

To begin creating the schedule upon which the punches will be pulled from Clock Link to TimeForce, select the “Create Schedules” link from the top right hand side of the screen.

Once the “Create Schedules” link has been selected, the Clock Link Schedules screen will appear.

6.1 Continuous Pull Schedule

Select the “New” button from the top right hand corner of the screen. This will bring up the New Clock Link Schedules screen.

Begin by entering the title for the Schedule. Next select the check box beside Download punches. That is the only box that should be checked for this schedule.

day. Check the check box beside Repeat Every, and enter after how many minutes Clock Link should send the punches to TimeForce. Then enter 1440 in the minutes. This number equals the total amount of minutes in one day. The schedule type should remain as daily. The schedule now stats that it will download punches from Clock Link to

TimeForce beginning at --:-- on the following Start Date, and it will repeat every – minutes for 1440 minutes on a Daily basis. Once this is complete select the “Ok” button from the top right hand corner.

6.2 Upload all TimeForce Data to Time Clock

Select the “New” button from the top right hand corner of the screen. This will bring up the New Clock Link Schedules screen.

Begin by entering the title for the Schedule. Next select the check box beside Upload All TimeForce Data to Time Clock. Once this box is checked, all of the boxes below will also become checked.

Now in the Execution Time, make this time state 2:00AM. This pull of data will need to occur in the middle of the night as to not disrupt any punch transfers. Check the Start Date check box and move the date to the previous day. Leave the check box beside repeat every unchecked. This pull of data should only occur once per day. The schedule type should remain as daily. The schedule now stats that it will upload all TimeForce data from TimeForce to Clock Link at 02:00AM on the following Start Date on a Daily basis. Once this is complete select the “Ok” button from the top right hand corner.
