Guidelines for School Self-Evalutions

Logistics
We have evaluated necessary power requirements for new devices.
(Two power outlets are required for a desktop and monitor, for rooms using a desktop computer with projector an extra power outlet is required for the splitters)
We understand that teachers’ desks need to be located near proper Ethernet connections, power
outlets, and projector wall plates for access to computers and additional equipment such as document
cameras and splitters.
We have evaluated necessary space requirements for new devices.
We realize that many BVSD buildings may contain asbestos in the ceilings, CMU, drywall, flooring, etc.
We understand that changes to a classroom must be reviewed by BVSD Environmental Services prior
to work being done.
We have evaluated the drops in each classroom and made sure we have proper Ethernet connections
in classrooms.
(Computers should be placed in close proximity to ethernet circuit; 14ft is maximum distance for a computer to ethernet jack)
We understand that prior to any additional circuit being added to even one classroom that IT will need
to evaluate the network closet(s) to ensure that the necessary equipment and space is available.
We have requested an evaluation of our wireless capacity to make sure we have enough coverage for
new wireless devices. If needed, we have planned to and have funds to purchase more wireless
arrays.
We have ordered the necessary cords for classroom teachers to connect to projectors. (This is
especially important if teachers are switching from laptops to desktops or vice versa.)

We have evaluated our monitors and will plan to move out our CRTs and replace them with flat panel
monitors.
We have identified a staging area where new equipment can be securely stored and unboxed for
deployment.
We have designed a professional development plan for our staff.
We have reviewed the IT support offerings and understand the differences in operating systems,
software differences, and instructional expectations for our new equipment.
We understand the differences in warranties for desktops, laptops, netbooks and Apple products.
We have tested our building level software for Windows 7 compatibility.

Details: A mounted interactive whiteboard (IWB) is a large interactive display that connects to a computer and projector. The user controls the computer using a pen, finger, stylus, or other device on the board's surface. Note: Requires extensive professional development.
Details: A document camera is essentially a camera that connects to a projector to display classroom materials. It is able to magnify and project common classroom items such as paper, manipulatives, science materials, student examples, art demonstrations, etc.

The following resources are available to BVSD staff for support with their BVSD Apple devices.
Devices include the MacBook, MacBook Pro, iMac, and iPad.
* Only Macs with the BVSD Mac image will be supported by IT. These will be prioritized as a
normal Service Request for support. However, users will be able to get real-time support from
the above resources.
iPods, iPhones, and personal Macs are not supported by IT, and we do not anticipate any future
support for these personal devices.

Coverage vs. Density (Abridged)

What’s the difference between coverage and density? Let’s think of our wireless network in terms of a pie.
Coverage: The area the pie covers.
Density: The number of slices you can take out of the pie. You can only take out a limited number of slices
before either the pie is gone or the slices are too thin to eat.
An average wireless array:
o Has the coverage area for about 6 classrooms
o Has the density for about 32 devices* per the coverage area
*A device is anything that accesses the wireless network, whether or not it is a piece of BVSD equipment: o Laptops
o Netbooks o Smart phones o iTouch o iPad
Other factors affect coverage and density:
o Building materials can block or slow radio transmissions o Radio intereference
o Type of information being transmitted, e.g. streaming video (which uses a lot of bandwidth)

Best practices for using the BVSD wireless network
• Limit wireless video streaming on multiple computers; use a projector whenever possible.
• Be aware that every personal device that accesses the wireless network uses a slice of the
pie, which affects how many other devices can connect, i.e. how much pie is left for
everyone else.

Instructions for Using the Calculator
Instructions for Using the 2013 IT Tech Refresh Calculator
1. Total Points Allocated shows you the number of points that have been allocated to your
school based on your October Student Count. Points are to be used to purchase the
technology equipment outlined in the Technology Catalog.
2. Number of End of Service Life Desktops that can be kept shows you the maximum
number of desktops your school may retain, based on 20% of your allocation. This
number only includes desktops and does not include laptops or CRT monitors. (These
desktops will be marked “End of Service Life – Not Supported.”)
3. Point Cost shows you the number of points each technology unit costs.
4. Quantity column is where you enter the quantity of each piece of equipment you wish
to purchase.
5. Remaining shows your total points balance after you have entered your technology
selections.

Ordering Process and Timeline, Year 4 (Purple) Schools
February 1, 2013
•
School principals are emailed the Tech Refresh Calculator for their school as well as the
Technology Catalog so that they may begin thinking about their technology needs
February 1, 2013 – March 15, 2013:
•
IT personnel will schedule a meeting with the school administrator(s) and tech contact
to discuss their needs and create an order. IT Personnel will include: IT Service Delivery
Manager, Tier II Technician, Tier I Technician.
•
Tier II Technicians will come equipped with a laptop to fill out the Tech Refresh
Calculator for the principal.
•
A hard copy of the finalized Calculator for the school will be printed and signed by the
principal granting final approval of the order.
Note: All orders must be submitted by the cutoff dates listed below.

Year 4 (

All orders received after the cutoff dates will not be processed immediately, but will instead
be held until they can be combined with other orders. These late orders will be placed
monthly, and equipment setup will be scheduled as time permits.
April 15, 2013 – April 19, 2013:

The first round of orders will be placed by IT. All orders will be received by IT and
delivered to those schools receiving their equipment during the summer.
•
Delivery and setup schedules will be handled on a first-come, first-served basis. All late
orders will be scheduled as time permits.
July 1, 2013:
•
The second round of orders will be placed by IT July 1st.
•
Delivery and setup schedules will be handled on a first-come, first-served basis. All late
