Online Application - Step by Step

Dear applicant,

We have prepared these instructions to assist you with your application at Schaeffler Group. Step by step, we will show you how to store your data and documents as quickly as possible in our system so that the HR department can review them immediately and thoroughly.

1. How to Search for and Find a Suitable Job

1.1

Job Search

You can access the job search directly from our Careers pages. Start the search by selecting the criteria that the job should fulfill (a) or by entering keywords in the full text search (b). You can

select multiple criteria by pressing and holding the “Ctrl” key.

Candidate Portal

Enter your name and e-mail address (a) in the next window and confirm that you have read the

Data Privacy Statement (b). To access the Data Privacy Statement, click on the Data Privacy

Statement link.

If this is the first time you are using our Candidate Portal, please read the statement carefully. You cannot use the system without accepting our Data Privacy Statement.

You can now save your data and continue with the application assistant that will help you with the preparation of your application. At the same time, you will receive a confirmation of your

registration that you will need for editing your candidate profile later. If you have already

registered in our Candidate Portal, you can directly go to your profile using the “Login” button (c). If you do not wish to complete your application directly afterwards, you can request a password by using the following link and entering your e-mail address in order to complete the application later: Password request

How to Create Your Application

The application assistant guides you through up to ten steps during which you can enter various data. Mandatory fields are marked with a red asterisk (*). If you would like to enter data in individual tabs that are not displayed in the application assistant, you can do this in your Candidate Profile. Instructions are provided under chapter 3.1 “Candidate Profile”.

2.1

Personal Data

Here you can edit your personal data. The e-mail address and name fields are automatically filled with the data from your registration. Your address is not mandatory since we will communicate with you by e-mail. Click on the next tab or the button with the name of the

Education/Training

Here you can enter your vocational training, university degrees, training courses and/or advanced training with various details. This information will help HR department to completely assess your specialist background. You can make as many entries as you like. Please note, that your entries are saved only after clicking the “Transfer” button.

Work Experience

Here you can document the different phases of your professional career in the system. You can make as many entries as you like. Please note that your entries are saved only after clicking the “Transfer” button.

2.4

Expectations

Here you can describe what you are looking for in more detail, e.g. by stating your salary expectation or your willingness to travel or relocate.

Attachments

You can upload a total of 5 MB in the following file formats: doc, docx, ppt, pptx, pdf, bmp, tif, jpg. Your data is encoded using HTTPS during transfer, which means it is protected from unauthorized access. All the information in your personal Candidate Portal is available for

any applications you make in the future. All uploaded attachments are saved in your profile,

which means that they are also displayed in all future applications. If you would like to create a cover letter for a specific position only, please enter the text in the relevant application assistant in the free text field under the “Cover Letter” tab (see chapter 2.8 “Cover Letter”).

Please note that your entries are saved only after clicking the “Transfer” button.

To edit existing entries, select the line by clicking on the gray field to the left of the entry (see arrow) and click on the then activated “Edit” button.

Qualifications

You can add further details to your profile by entering your qualifications. You must state the proficiency level of every qualification you select (see “Proficiency” column). HR department can then find your profile, if they search for specific qualifications.

Please note that your entries are saved only after clicking the “Transfer” button.

Cover Letter

Please explain your motivation for applying for the job. You can do so by entering or copying the relevant information about your motivation into the free text field. You can also provide some more information about yourself (e.g. hobbies, goals, publications, etc.).

Sending your application

Here you can once again check the data you have entered and block or release your profile

for the Schaeffler Candidate Pool (a). Released profile means that your profile can also be

considered for other suitable jobs irrespective of your application for a specific job. If you block your profile, HR department cannot find your profile in the Schaeffler Candidate Pool. You are then considered only for the specific job you have applied for.

Your application is sent only after clicking on the “Send Application” button (b).

2.10 Application completed

A message is displayed on the screen if your application has been sent successfully.

The Schaeffler Candidate Portal

You can use an individual candidate profile after registering in the Schaeffler Group during your first application. Your application data is stored in this Candidate Profile so that you can use it for future applications. It provides additional functions such as an overview of the status of all applications, automatic notifications and various job search options.

You can release your profile for the Schaeffler Candidate Pool. HR department can then access your profile and consider it for vacant positions. The HR department in the Schaeffler Group can find your profile if it matches the specific criteria of their search. The better you update your released candidate profile, the higher the chance that it will be considered for vacant positions. Of course, you can always block your profile. Employees of Schaeffler Group HR department will then not have access to your data. You can release your data again at any time.

Your data is always available online in your candidate profile once you have stored it. In

the candidate profile you can edit and release your profile for our Schaeffler Candidate Pool and use additional functions.

To access your Candidate Profile, enter your user name and password. Click on the following link to go to the Candidate Portal: Log-on

3.1.2 Personal Settings

Under “Personal Settings”, you can select the display format of the job postings in the data overviews. We recommend selecting the PDF format. You can also select in which language you would like to receive correspondence.

3.1.3 Change User Name

You can change your user name here.

3.1.4 Delete Registration

Here you can delete your registration and all your profile data. Active applications are then withdrawn automatically. If you would like to apply again later, you have to register new and enter your data again.

3.2

Employment Opportunities

After registering, you can use various additional functions of our system under “Employment Opportunities”.

3.2.1 Job Search

You can also select the language and the maximum number of hits in the search settings. In the “General Search Settings” bar (in the bottom section of the screen), click on the icon and change your search settings for the search results:

3.2.3 My Favorites

After a job search, you can mark interesting jobs in the result list as favorites. These favorites can easily be accessed, viewed and applied for under “Favorites”.

Mark the relevant job by clicking on the gray field to the left of the job posting (1) and click on the “Add Favorite” button (2). A system message is displayed when the favorite has been successfully added (3).

3.2.4 My Applications

You can view all your applications under “My Applications”. The status and date of each application are displayed.

3.2.4.1 Status of my application

Information about the current status of the application:

Draft: You have not yet completed your application. You can access and complete it at any time.

Please check whether the job posting is still active (job posting can still be accessed via the link; displayed in green). If the job posting is expired (job posting can no longer be accessed; displayed in black) the application can not be finished. As long as your application is in “Draft” status, employees of HR department have no access to your uncompleted application. You will then not be considered for this job. Refer to the chapter 3.2.4.2 “Completing a draft application” for instructions on how to complete draft applications.

In Process: Your application is being processed by the HR department or has been forwarded

to the relevant department for review.

Withdrawn: You have withdrawn your application. We will no longer consider it for the job. To Be Hired: Your application was successful and we would like to hire you. We will send you

an employment contract.

Rejected: Unfortunately, we could not consider you for this position. You will be informed about

it in a rejection letter.

3.2.4.2 Completing a draft application

The following steps are required to complete your draft application:

a) Log on to the Candidate Portal

You can request a password by indicating your e-mail address via the following link: Password request

c) Select the relevant application

(1) Select the corresponding line of the application status “Draft” (by clicking on the gray square to the left of the job title).

(2) Click on the “Apply” button.

d) Send your application

(1) Select the “Send Application” tab.

(2) Click on the “Send Application” button to complete your application.

e) End of application process

The system confirms that your application has been sent and you will receive a confirmation of your application by e-mail.

4.1

Data protection

Your personal data will be treated confidentially in accordance with legal regulations. Your data is protected from unauthorized access during the electronic transmission. Click on the following link to read the Data Privacy Statement: Data Privacy Statement

4.2

What information do you need for your application?

For your application you need, of course, the most important facts about yourself (incl. certificates, etc.), your background (vocational training, studies and professional career) and your special qualifications. You should explain your motivation for applying for the job in the free text field under “Cover Letter”. Of course, you can attach additional documents to your online application.

4.3

How long does the application process take?

Approx. 10-20 minutes are required for entering all your data when applying for the first time. Once your data is saved, applying for a job usually takes only a few minutes since most of the data is transferred from the online profile.

4.4

Pop-up blocker

If you use an Internet toolbar with a up blocker, the up blocker settings must allow pop-up windows of SAP websites.
