Introduction

Moving to cloud-based services is becoming more popular and acceptable. In its early stages, the cloud was more of a buzzword and not many organizations initially bought into it. But this has drastically changed in the past 18–24 months. Now, many organizations are reviewing the benefits of the cloud much more closely to see if the strategy lines up with their goals. While on-premise solutions will always have an important role in many organizations, identifying what applications can be migrated to the cloud is a worthwhile exercise.

Applications that are seeing a lot of movement to the cloud are email and collaboration services. Currently, most organizations use Microsoft Exchange or Lotus Domino for email, SharePoint or

WebSphere for collaboration, or one of many other email and collaboration options. A few reasons these applications are moving to the cloud include:

• Email and collaboration applications require a significant infrastructure on premise • Specialized engineers with hard-to-find skills are needed

• Applications need to be available 24–7–365 in many instances in today’s global marketplace • Constant need for information in real time

Moving email and collaboration services to the cloud is becoming more popular, because it solves many of the challenges noted above. There are a number of benefits as a result of moving to the cloud, including:

• Ease of deployment • Scalability

• Predictable costs • 24–7–365 support

• Skilled resources to manage the solution

With the growth of email over the past decade, many applications surrounding email and collaboration services have been developed to support this massive growth. For example, email archiving and discovery solutions like Enterprise Vault, Autonomy EAS and Email Extender. These applications have become mainstream over the past decade due to the benefits they provide –mainly storage savings due to compression and de-duplication as well as the ability to index archived data, retain it for pre-determined periods of time and expire it when ready. Email archiving and discovery applications also allow organizations to easily discover data when required and maintain compliance with regulations around electronic data.

When customers migrate their existing email and collaboration services to the cloud, they also need to move some of their supporting applications to the cloud as well. For example, archiving solutions have important data that needs to be migrated. Archiving and discovery solutions provide necessary functionality in the information management and discovery spaces, but it can be challenging when trying to migrate the data out of these solutions. This whitepaper discusses how Globanet’s Cloud Enablement Service can help migrate your existing on-premise solution to the cloud.

Getting Customer Archives to the Cloud

Globanet Cloud Enablement Service

Globanet’s Cloud Enablement Service gives organizations the confidence to migrate to the cloud. The company has been doing migrations into Symantec’s on-premise solution, Enterprise Vault, for more than 10 years. It has migrated hundreds of terabytes of data into Enterprise Vault and continues to do so. Globanet’s propriety migration technology offers a number of valuable benefits, including:

Globanet also helps customers with other key tasks that are not usually accounted for during the

migration process, such as mapping their existing on-premise configuration to the new cloud solution to ensure all of their requirements are met and translate properly. To help organizations make the seamless transition to the cloud, Globanet has developed the following five-step process:

1. Interrogate the existing archive solution 2. Map retention periods, policies and procedures to the cloud service 3. Configure the cloud service with the required policies

4. Migrate existing data to the cloud

5. Manage the cloud environment (optional)

Globanet’s Five-Step Migration Process

1. Interrogate

Understanding a customer’s current archiving strategy is a key factor in determining their migration strategy and the settings that need to be configured in the cloud prior to migration. Globanet uses specific programs and techniques to interrogate a customer’s existing archiving solution to understand all the necessary settings that will affect the

new solution, such as existing retention settings, discovery processes and procedures, current archiving strategies, etc.

2. Map

After the interrogation phase is complete, Globanet takes the findings from the customer environment and creates a customized mapping document that maps all the relevant configurations in the existing solution to the settings that need to be configured in the cloud to meet the customer’s requirements. This is also the perfect time to update any retention periods or policies in the new system. This allows Globanet to configure the environment to the customer’s exact specifications and ensures that the migration does not begin until that occurs.

3. Configure

Once the existing archiving solution settings and configurations have been updated, the customer requirements are taken into account. Globanet engineers configure Enterprise Vault.cloud to meet the customer’s goals before any data is migrated into it. This insures that the proper retention and settings are set before any archiving begins.

4. Migrate

After the configurations are complete, Globanet then begins the process of migrating data from the customer’s on-premise solution to Enterprise Vault.cloud.

Dedicated and certified archiving engineers help determine the best migration strategy on a customer-by-customer basis. There are several methods of migrating the data, including direct and indirect, and a determination is made with the customer before the migration begins.

5. Manage

Once Enterprise Vault.cloud is configured, the system needs to be managed on an ongoing basis. This is not a considerable effort in most situations, and customers can receive training on how to do so. However, many customers would prefer to have an outside vendor manage the system for them, and Globanet Managed Services provides this assistance.
