ASE’s Approach

ASE’s Fleet Assessment Deployment Approach:

ASE’s print management consultants and technical staff will shepherd your agency’s IT staff through the entire fleet assessment implementation and deployment process. This document outlines a timeline, implementation and introduction of our best practice experiences how we approach a successful fleet assessment agency wide.

The Data Collection Agent (DCA) is a software tool designed to capture device population, location, meter reads, service alerts, error codes, etc. We normally like to monitor for a minimum of 30 days via the Data Collection Agent.

At this time we can obtain a preliminary analysis of devices that are being monitored by the DCA. This is a printer fleet assessment, not a review of IT Infrastructure. The DCA software is HIPPA compliant, non-intrusive and presenting no security risks.

We view this process as one of collaboration with your IT department where we can understand each sites current knowledge of the print environment, obtain any existing volume, location or populations reports and identify high value department or specialized devices prior to the physical on-site walk through.

ASE supports and “hand holds” the agency through the entire fleet assessment, implementation and deployment phases by taking the following steps:

I. On-Site Kick off Meeting a. Q&A

b. Establish milestone dates

c. Designate proper agency key POCs II. Phase I: Device Discovery

a. Days 1 to 29: Start Date

i. Install ASE’s Print2Green DCA internally as soon as possible for about 30 days. ii. Provide IT Technical support on DCA configuration and help desk trouble shooting.

iii. This will allow the IT to become familiar with the software. It will also raise their comfort level about installing Print2Green at a facility site.

iv. Physical walk through office environments b. Days 30 to 59: Deploy DCA to Facility Sites

i. If agency requires enterprise wide fleet assessment

III. Phase II: Cost and / or Energy Baseline Recommendations a. Days 60 to 90: Begin to use Analytics to Implement Suggestions

i. Set another meeting with resources assigned. This is a long meeting where the minutia is discussed.

IV. Phase III: Fleet Optimization and Right-Sizing

a. 90 Plus Days: Agency has Complete Control of Printing Environment

i. This is where Print2Green reporting and analysis is used extensively with the agency facilities and delivered with a comprehensive report of findings. Providing cost savings identified, print volume and recommendations to reduce TCO (Total Cost Ownership).

(9)

ASE’s Approach

How it works?

A Data Collector Agent (DCA) software application is installed on a non-dedicated server at the client location. The DCA collects critical printing device data on a predetermined basis and sends the information to the ASE’s centralized database. Users can log into ASE’s web interface to view and analyze the data, or set up automated service alerts, reports, maintenance flags, and meter exports.

Installation/Network Requirements

Installation Requirements

The DCA should be installed on an existing networked operations or print server to collect and transmit device data. If no server is available, the DCA can be installed on a single networked computer that will remain powered 24 hours a day, 7

days a week. Data Collection will stop during times when the system is powered off resulting in an interruption of

historical data. The following requirements must be met before installing the Print Fleet Data Collector Agent (DCA).

Network Requirements:

H TCP/IP configured

H Port 443 (HTTPS), port 80 (HTTP), or port 21/20 (FTP) must be open for automatic transmission of collected data

System Requirements

Each workstation on which you install Local Print Agent must have the following:

H Windows operating system (XP and higher supported)

H Microsoft .Net Framework 2.0 SP1 (or higher)

H Ports 35/UDP and 35/TCP must not be used by any other applications

In addition, if you are installing Local Print Agent using push technology, each workstation must have one of the following enabled and accessible:

H Windows Management Instrumentation (WMI)

H Remote Registry services

Print2Green Security

Data Collection Process

The Print2Green Data Collector Agent (DCA) is a software application that collects printer and copier metrics from a client’s network. The DCA is installed on a networked computer running Windows 2000/ XP or higher. It does not require a dedicated com-puter. The DCA runs as a Windows service, allowing it to operate 24 hours a day, 7 days a week. You can customize the transmission interval to determine how often the DCA will perform a device discovery. After each discovery, the collected data will be sent to the Print2Green web server via port 443, port 80 or port 21, using one-way communication only. Once the data is transmitted, it is made available to designated users via the Print2Green secure website.

Security

The DCA uses standard network protocols including SNMP (Simple Network Management Protocol), ICMP (Internet Control Message Protocol), and optionally PJL (Printer Job Language) to collect printer metrics at regular intervals from printers, copiers, fax machines, and multi-function devices on the clients network. No personal or user data is collected with the DCA. Only device metrics are collected, such as page counts, device description and device status. It will never re-port what has been printed to the device or who has on the user’s network. Each subnet scanned results single web page.

Health Care Compliancy

The use of Print2Green software applications will not have an impact on compliance with the Health Insur-ance Portability & Accountability Act (HIPAA) for covered entities. This is because the applications do not collect, house, or transmit any information regarding the content of print jobs, and thus have no way for accessing, hous-ing, or transmitting electronic protected health informa-to obtain appropriate authorization according informa-to your client’s HIPAA compliance policies to gain access to a client site to install a Print2Green Data Collector Agent, or to perform any other business, particularly if you are using a workstation or an area that has the capability of accessing ePHI. You should inquire about what authoriza-tion you will need, if any, beforehand.

Financial Compliancy

The use of Print2Green software applications will not have an impact on Sarbanes-Oxley compliance as it is not intended to be used as part of an internal control struc-ture as outlined in section 404: Management Assessment of Internal Controls and will not interfere with these controls. Under this Act, corporate executives become re-sponsible for establishing, evaluating, and monitoring the

these objectives. Print2Green software is not designed as an IT control system and will not interfere or put at risk other systems that are intended for that purpose. NP

A summary of the ASE Recycling Program, the details, and overall implementation strategy

are provided below within the Flyer that will accompany each order placed under BPA:

Each shipping container & cartridge box has a label on one of the long sides, that states,

“IMPORTANT: SAVE THIS BOX AND ALL INTERNAL PACKAGING FOR RETURN OF

THE EMPTY CARTRIDGE.”

ASE Direct will recycle each end-of-life toner cartridge & will provide GSA with individual

agency purchase/return rates, details, and statistics of the recycling program in a semi-monthly

report that includes manifests, confirmation of the proper disposal of remaining toner cartridges,

and disposal of packing material used.

(18)

ASE Direct will arrange to have Large/Bulk quantities of cartridges picked up from the

agency(s) facility & returned to our recycling center. When Bulk Pick-Ups are not warranted,

ASE Direct will provide Recycling Bins per location, per individual department, or per

individual Agency to facilitate the return of empty/used toner cartridges for proper recycling.

ASE Direct will ensure that all remaining toner in used cartridges is recycled or disposed of in a

manner that complies with all environmental and human health and safety laws.

Returns using the recycling bins will be tracked by location & reports can be run at anytime

showing the total number of cartridges returned by Agency, and FSSI-wide.
