DRM User Guide – Project Management

(3)

DRM Project Management Principles:

-

Usage of the DRM is NOT limited to one account or one project. Once you license the DRM, you can create your

own accounts and set up as many projects as you like. For DRM pricing questions, please contact

[email protected]

-

A DRM project is centered around one or more documents you want to make available to your users via the online

portal. For most DRM users the central document will be a data file, but this is not an absolute necessity.

-

If you publish a datafile in the DRM with the intention of it being explored via the online cross tabulation software, this

file MUST HAVE the Intellex .ddf extension. NO other data formats can be used. You can convert existing data

formats like SPSS SAV or TRIPPLE S with the help of the offline DataDynamic Reporter. If you don’t have the

Reporter, please contact [email protected]

-

Besides datafiles, you can upload documentation of any other format as ‘background documentation’. These could

be MS Office files, data files, video clips or sound bites. These documents will be made available for download via

the portal.

-

Within each project, you can create different “views”. Each “view” can contain a different combination of documents

and/or different access levels to the data file.

1) From the Project Overview, Open the Project

(5)

1) Use the [Add] icon to add a new project

2) Give the new project a name

3) The new project will appear in the list shown on the page 4) Select the new (or an

existing) project and use the [Edit] icon to open the project

(6)

1) You can edit the

project name

2) You can provide the project with a [short description]. This will appear on the Project Overview screen underneath the Project Name in the project list on the left-hand side of the screen.

3) You can provide the project with a [long description]. This will appear on the Project Overview screen in first position of the information panel that varies from project to project

5) You can add an [icon] to the project overview screen. The icon must be in jpeg format and can be uploaded from your hard disc. The icon will appear on the Project Overview screen next to the [long description]

6) Save Changes

6) NOTE: in order for a project to be publishable, it must be ACTIVE. If this tick box is NOT ticked, you won’t be able to publish the project

4) If you have different types of documents loaded within one project, this tick box will add the document type to the overview (data file, PP, Report etc.)

(7)

What is a View?

Within one project, based on one data file, you can create different [views]. Every [view] you create can contain different sets of documentation, but also allow access to different parts of the project data file. By creating different [views] you can provide different user groups what they want when they want it, without having to setup multiple projects in the system.

2) Here you must first create a [view]. There is always one standard [view] named Default. You can create more [views] by

clicking the green

1) When you have completed the Project Information, click on the

[project files] tab.

3) Add new documents to your [view]

4) Delete existing documents from your

[view]

5) Editing options specifically for DATA

FILES. This options allows you to add an “access filter” to the

view. SEE SLIDE 8

(8)

Edit your data access

If you have selected a ddf data file as one of your documents, you can use the [edit] functionality visible on the previous slide to set [access levels] for the [view].

In the first box, you can set filter restrictions. It is NOT possible to choose the necessary setting from the data file, so you have to KNOW the required filter setting, e.g. [country=1]. A filter restriction will limit the access of the [view] to the indicated filter (e.g. UK based management can ONLY see UK data)

In the second box, you can indicated which variables should NOT be part of the [view]. Make sure you SAVE your settings before leaving the page.

(9)

1) Added Documents will be listed separately for each view

2) When you [add] new documents to your [view(s)], you can chose from all documentation available on the server. Select the relevant document and click [select].

3) If the relevant document is NOT yet on the server, you can upload a document by clicking the [add] icon available in the selection pup-up. Select your document with the browser and it will be uploaded to the server and made available in the list.

4) If you want to replace an existing document for a new one, use the [load new version] icon. The icon can only be used after you have selected the document you want to replace

(10)

Publish

When your views have been created and all relevant project documentation is loaded for each view, you can publish each individual [view] to a specific user, selection of users or company. The [publish] icon will open a popup that gives you an overview of the accounts you have created.

Select the relevant user and/or company for each view and click [select]. Your View(s) are now published and visible to the selected users.
