How to Use YouPay – an online shopping cart system

About YouPay

YouPay is an online Shopping Cart system developed by the UIS Office of Web Services (OWS) in the fall of 2009.

YouPay works with the University of Illinois iPay system and allows you to process online credit card transactions on your website.

• We developed YouPay in a template form, so it is very easy for us to create new instances for new users.

How YouPay Works

• In order for your department to process online credit card transactions, you need to submit an application for an account in iPay, the University of Illinois credit card processing system managed by OBFS.

• Also, you will need a fiscal account where the payments will be received.

• Once your accounts are set up, the OBFS department will give OWS the necessary processing-related information to create a YouPay shopping cart for your department website.

What Do You Have to Do?

1. First you need to complete an application with OBFS to be authorized to accept online credit card payments. Here is a link to the application form:

2. You will also need an authorized account where the payments will be deposited. Your fiscal officer can do this. Give this URL to your fiscal officer for more information: http://www.obfs.uillinois.edu/manual/central_p/sec5-11.html

3. Once your application is approved, OBFS will give OWS the information we need to set up your instance of the YouPay shopping cart.

4. Once OWS receives the information, it should take less than 3 days to get the cart up and running.

5. You will also need to give OWS the details regarding the data you need to collect from the user and other info (i.e., pricing) that we will use to set up the cart.

6. Once we set up your shopping cart, we will place a button on your website that takes users to the cart.

7. We will also give you access to an Administration Panel, where you can monitor transactions. You will use this panel to fix any issues related to a customer complaint. You can also copy and save address, email and phone info from customers for your mailing and contact lists.

Our Clients

To date, OWS has created three online shopping carts:

• Two separate conference registration carts for the BAM Center for Business and Regulation.

• A registration cart for the Illinois Issues Gove dinner. FAQ

Q: Do the application questions pertain only to the account that we are setting up for this event? A: If possible, we recommend that you set up an account for "Registration Fees and

Services." Then you can use it again in the future for similar events. Check with your fiscal officer to be sure.

Q: In the application, under sales information - percentage of credit card sales – how do we answer the question about whether we have current cash sales?

A: If you are only accepting credit card payments, enter “no” in the cash sales section. But, if you will also accept cash sales, enter “yes” and complete the information.

Q: Do we have to complete part two of the form. A: In most cases you may skip part two of the form.

Q: Does the shopping cart have to be live on our website before people respond to the invitation? A: If your shopping cart will not be available yet and you are distributing registration info or invitations, tell people to "RSVP via the website: http://www.uis.edu/department" Then, on your website, add put a blurb about the event and say: "Online Registration will be available shortly." Tell people to call you at a certain number to reserve their spot for now.

On the phone, if they are comfortable with it, you can take their credit card number and hold on to it. Then when the registration is ready, you can manually enter the data (we will show you how to do that.) Of course you must be very careful with personal credit card information. Q: Once our accounts are set up, how long will it take to create the shopping cart on our website? A: After OWS receives all the info we need from OBFS, it will take up to 3 days to finalize the Shopping Cart.

3. This is the same screen as in #2 above, but shows the drop down menu for different registration options (content depends on each unique use).

4. This is the first section of the YouPay Admin Panel (we have blurred out the actual account info and names). You will have access to this panel to help administer your YouPay Shopping Cart.

5. This is the second section of the YouPay Admin Panel. Note the columns for Payment Date and multiple Names on one order.

6. This is the third section of the YouPay Admin Panel. Note the columns for address, phone, and email for each customer.
