Thank you for your interest in the Spring English as an Additional Language program- Explore at the University of Prince Edward Island. Please read the enclosed information carefully and follow the instructions.

You will find one Application Form and three Code of Conduct forms, a Roommate Questionnaire, and a list of Optional Activities. Each form should be completed, signed, and returned to us May 1, 2017.

Your application must be accompanied by the $275 (CAD) registration fee. This fee i s non- refundable after May 8th, 2017 if you decide to withdraw from the program. If you decide to withdraw, the registration fees will only be refunded upon receipt of a written request prior to the dates above.

The program fees outlined on the following page include the cost of tuition, accommodation, most meals, and some evening and weekend activities. We also offer optional activities (including a trip out of province), at an additional charge. An Optional Activities list has been included in this package.

Students will be housed at Blanchard Hall, an apartment-style residence at the south end of campus. Most meals will be at the Wanda Wyatt Dining Hall. Some meals during the program take place off campus during the Program.

We ask that students arrive after 12 pm on Monday, May 29th. On Tuesday, May 30th students will write a placement test to be placed in the appropriate learning level.

The following rules ensure a quality program. They are for your protection and our peace of mind.

Residence

 Quiet hours are in effect between 11:00pm and 7:00am, Sundays through Thursdays, and between midnight and 7:00am on Fridays and Saturdays.

 There is no smoking in residence.

 Pets are not permitted in university buildings, including the residences.

 Cooking is permitted in residence rooms but meals will be provided at the Dining Hall.

 The use of drugs during the program is prohibited. Students caught under the influence of and/or in possession of drugs will be automatically dismissed from the program. In addition, he/she may be subject to legal proceedings.

 The University is not responsible for accidents, injuries to guests, loss of money, jewellery, or valuables of any kind by fire, theft or water damage.

 The University of Prince Edward Island takes great pride in its buildings and grounds and it endeavours to provide its users with the highest possible standards of service. To maintain these standards, the University must hold groups responsible for the behaviour of their members and guests, and may hold groups accountable for charges relating to damage, theft, and excessive clean-up resulting from their occupation or use of its dining, accommodations and other facilities.

Academic Regulations

 Attendance at and participation in classes are mandatory. Students who miss five classes, or parts thereof, will be considered to have not completed the program, and will be asked to leave.

 Due to the nature of the program, no reread will be available for marks. The final mark will be based on the following: 80% for actual academic work and 20% for participation in cultural and extracurricular activities as well as the constant use English.

 Students are fully expected to arrive in class on time and wide awake. Teachers will be recording and reporting to the Academic Coordinator any occurrences of lateness and absenteeism. Repeated lateness and/or absenteeism are considered to be breaches of the contract.

Social Activities

 Participation in social, cultural and recreational activities is required of all students and is compulsory. Any absence will result in an Incident Report, and habitual absences will result in a warning.

Language Regulations

 The Explore Program is based upon the principle of total immersion. Therefore students are required to use English at all times.

 Students who are found speaking a language other than English will receive an Incident Report, and possibly a warning, under the discipline system. Three warnings will result in dismissal from the program.

Administration

 No refund of the registration fee ($275 CDN) will be made to students who fail to cancel their registration in writing before the final registration date of May 8th, 2017.

 Students are responsible for any fees, etc. incurred during their stay at UPEI.

Discipline and Dismissal

Students with unsatisfactory attendance or those behaving in an unacceptable manner will be dismissed from the Explore Program.

When a student chooses not to abide by this code of conduct, staff will fill out an Incident Report.

After meeting with the Program Coordinator, the Incident Report will become a warning.

Infractions are classified as either major or minor. Major infractions include, but are not limited to, drug use, harassment or violence, unauthorized absence from the program, theft, any illegal activity and inappropriate behaviour. Minor infractions include, but are not limited to, speaking a language other than English, not respecting curfew, and absence from activities and classes.

For a first minor infraction, the student must meet with the Program Coordinator, plus any other individuals the Program Coordinator deems necessary, to discuss the incident.

 For a second minor infraction, the student must meet with the Program Coordinator, plus any other individuals the Program Coordinator deems necessary, to discuss the incident.

Following a third minor infraction, the student must meet with the Program Coordinator, plus any other individuals the Program Coordinator deems necessary, to discuss the incident.

At this time, the decision may be made to dismiss the student from the program.

For any major infraction, the student must meet with the Program Coordinator, plus any other individuals the Program Coordinator deems necessary, to discuss the incident. At this time, the decision may be made to dismiss the student from the program.

Students will be informed of times to meet with the Program Coordinator. Any student who does not appear at an assigned meeting is considered to have forfeited his/her right to discuss the incident, and a decision will be made in his/her absence.

 Following the dismissal meeting, the student has 24 hours in which to make travel

arrangements to return home at his/her own expense. After this 24-hour period, the student is no longer the responsibility of the Explore Program. The Explore Program reserves the right to provide alternate accommodation for the student during this 24-hour period.
