Job Description

Phakama is a youth arts organisation that engages the heart, head and hands of people on the edges of society. We believe in the power of any one

We bring together young people and communities, who otherwise would not have the opportunity to connect, and provide a platform from which to

express, grow and perform.

Phakama means Rise Up and empower yourself. Since its inception in 1996 it has pioneered a process for creating theatre that transcends age,

experience and background. It’s practice of cultural exchange unites

communities across difference and diversity through a trailblazing process of Give and Gain, that is non-hierarchical and life-affirming.

Phakama celebrates participation in, rather than mastery of, the world and creates shared spaces where the seemingly impossible becomes possible. Producing excellent art on unconventional national and international stages, young people explore and test issues that are relevant to them. High standards of learning and performance create life-changing experiences for artists and audiences alike that are raw, emotionally powerful and utterly indelible.

Phakama is an Arts Council England funded NPO and have been an Arts Organisation-in-Residence at Queen Mary, University London since 2009. Phakama is currently undertaking a period of organisational restructuring, with the departure of our current Executive Director after eight years with the organisation. The newly created role of Development and Relationship Manager joins the Artistic Director and the Administrative Assistant at a time of great change and exciting new steps for Phakama.

About You

The Development and Relationship Manager will implement the vision for Phakama to ensure we achieve our mission of creating trail-blazing

performances with young people and communities in London and around the world.

We are looking for an excellent communicator from any background who has relationship building abilities with partners, funders and young people; who has skills in making new strategic and business connections; and is able to implement organisational structures.

Exceptionally organised, task driven and highly motivated, our ideal candidate will have a passion for participatory arts and the desire to immerse fully into Phakama’s ethos of Give and Gain driving the company forward.

The Development and Relationship Manager will take overall responsibility for the successful direction of Phakama’s fundraising, business development and organisational management driven by our three year Business Plan 2015-18 You will work jointly with the Artistic Director (AD) to ensure Phakama

operates as a successful and sustainable company, sharing responsibility for finances, communications, HR, and legal compliance.

DEVELOPMENT AND RELATIONSHIP MANAGER Principle objectives:

• To lead fundraising activities and writing applications for artistic projects.

• To identify and develop relationships with new venues, commissioners, festivals, funders, government bodies and partner organisations in the Education, Health and Housing sectors.

• To contribute to the financial and strategic stability of the organisation (within the first 6 months set an agreed annual target for fundraising with the AD).

• To work in partnership with the AD to set and maintain annual budgets in line with the business plan strategy, ensuring costs are rigorously controlled and income targets achieved.

• To contribute to the smooth running of the organisation by managing, setting up, maintaining and improving administrative systems and processes including financial, filing and archiving systems.

• To meet regularly with the AD and Administrative Assistant to monitor budgets and cash flow.

• To be responsible for managing all finances of the company (including quarterly managed accounts, annual budgets and financial

projections). Presenting budgets and financial projections to the Board. • To liaise with the bookkeeper and accountants to prepare annual

audited accounts and submit annual returns to the Charity Commission and Companies House

• To create and submit financial reporting to grant making bodies as required

• To oversee the Administrative Assistant’s management of Petty Cash • To ensure all insurance policies are up to date and suitable for the

• To work with the AD to deliver and refine Phakama’s Audience Development Strategy

• To contribute to the company’s Marketing and Communications strategy in collaboration with the AD

• To oversee the IT requirements of the organisation.

• To ensure that the organisation’s service delivery is truly accessible and to identify ways of addressing any inadvertent discrimination (e.g. providing information about alternative formats, using accessible buildings and spaces).

• To create and manage company’s policies and procedures with

particular reference to Child Protection, Equal Opportunities and Health and Safety in collaboration with the AD

• To co-ordinate the recruitment of staff, student placements, participants and freelance artist facilitators when required.

• To be responsible for writing contracts for freelance artists and co‐ ordinate appraisals when required.

• To oversee and manage the implementation of International exchange projects and local medium and large scale community projects in collaboration with the AD

• To pursue an active and continuing programme of personal and professional development and training.

Phakama is committed to a process of Give and Gain at all levels of the organisation. We would expect the Development and Relationship Manager

to identify, with the Artistic Director, your own personal targets for areas in which you would like to Give and Gain within the company.

Reporting to: The Artistic Director and Phakama Board Managing: Administrative Assistant.

Start Date: From June 2015

Contract: Permanent, full-time (part time considered for exceptional candidates)

Probationary Period: 3 months

Hours: 40 hours per week (Evening/Weekends as required) Salary: £28,000-£32,000 (pro rata) dependent on skills and experience

KEY RESPONSIBILITIES:

1. Relationship building and development:

• To build strong relationships with funders, business partners, arts organisations and community networks that further the work of the company and enable us to achieve our mission

• To identify new funding opportunities and income generation that aligns with our 3 year business plan

• To assist and support the AD and the Board in the maintenance of partnerships with existing external agencies and networks.

2. Compliance and financial management:

• To input data and maintain financial and information systems,

understanding desk-based research and producing reports as required. • To oversee the Company’s global and projects’ budgets.

• To prepare and present financial reports to the Board.

• To liaise closely with the bookkeeper to maintain the company’s financial stability

• To prepare accounts for external audit.

3. Representation:

• To support the director in developing and implementing

effective documentation and dissemination of the organisation’s work. • To (in partnership with the AD) ensure that project’s final reports are

written and delivered to funders, creative partners and the wider audience.

• To contribute to the development and maintenance of Phakama website.

• To represent the organisation externally as required.

4. Team activities:

• To work collaboratively with team members and other colleagues. • To line-manage part-time, casual or temporary staff.

• To participate in the recruitment and training of staff.

• To undertake an agreed programme of training (When funding is available).

• To carry out all duties within parameters agreed with the line manager and in accordance with appropriate internal and statutory procedures.

5. General requirements

• To contribute to the development of a professional working and learning environment within the organisation.

• To contribute to the organisation’s understanding of diversity and its implications for the arts and to ensure that this understanding informs all the organisation’s activities with special focus on youth arts.

• To work in a flexible manner in line with the organisation’s objectives and role and to be willing to undertake other duties as reasonably requested.

• To provide excellent customer care in dealings with the public. • To work in the best interests of young people, artists, other

organisations Project Phakama works with and audiences throughout the country and abroad.

PERSON SPECIFICATION Essential

• Experience of Project Management at an advanced level

• Proven track-record of business and entrepreneurial skills, (winning contracts/commissions or securing funding from Trusts/Foundations) • Experience of managing budgets and delivering projects to schedule • Strong financial acumen, delivering on agreed targets and experience

of financial reporting

• Excellent organisational skills

• Exceptional numerical and literacy skills

• An interest in Phakama’s methodology and a desire to help us achieve our mission

• A collaborative outlook

• Self-motivated and ability to work independently using own initiative • Ability to learn quickly and adapt

• A positive attitude, have good rapport with others and able to work calmly under pressure

• A passion for making arts that is accessible to all and a belief in the power of the arts to transform lives and communities

Desirable

• An understanding of youth arts programmes and current participatory arts practice

• A knowledge/experience of working internationally within the arts/community sectors

• The ability to think strategically whilst managing daily organisational structures

• A commitment to growing within the company and contributing to the long-term vision of the company
