RECRUITMENT: PROGRAMME COORDINATOR
KEY ROLE:
To co-ordinate the delivery of a portfolio of programmes, projects and associated duties, from inception to completion; to provide administrative and logistics support to the Programme Managers to ensure that programmes are delivered to the satisfaction of the client and to the GIBS standard. The incumbent will report to the Programme Managers.MAIN RESPONSIBILITIES
Responsibilities and requirements include but are not limited to:
Administrative Coordination of PAL programmes, projects, forums, online platforms and other events, from pre-administration to post programme.
Pre-programme administration and co-ordination – venue booking; function sheets; delegate accommodation; putting together delegate booklets; creating evaluation forms; name tags; liaising with faculty in respect of course outlines and pre-readings; compiling course packs; ensuring printing and distribution; finalising course schedules; etc.
Programme administration and co-ordination – registration of delegates; event management (e.g.
booking venues, catering, attendance at evening and other experiential events); delegate interface (e.g. dealing with queries and requests)
Post programme administration – scan evaluations and send, client liaison, and reports, certificates, database capture and recons, following up on debtors.
Delegate assessment – co-ordinating, tracking, ensure marking and capture results. Handling enquiries about programmes and providing delegates with quotes
Support Programme Manager - preparation of presentations, documents and proposals
Relationships - Develop and maintain relationships with delegates and the relevant client company stakeholders; faculty; internal and external service providers
Assisting with liaising with faculty in respect of course outlines, pre-readings and travel arrangements, contracting, updating of faculty CV’s.
Maintenance of CRM Systems, programme administration – registration of delegates (including receipt of applications, provision of invoices and collection of course fees); tracking assignments and exams (where relevant); releasing of results; arranging and managing graduation and social events for programmes and administration of cancellations and transfers
This includes attendance during programmes breaks, cocktails and start of programmes, and maintaining ‘high impact’ relationships with the delegates.
May be required to travel in and around Johannesburg and outside of Johannesburg to assist the programme manager
May be required to assist with marketing and website material/ maintenance.
Assisting with developing programmes and workshops for clients in conjunction with the client, Programme Managers, Business Development manager and member of faculty to the satisfaction of the client.
Programme Coordinator: Personal and Applied Learning Centre
Support to the Programme Managers in respect to the PAL faculty group, including, coordinating selection, training/ briefing sessions, speakers events,, graduates and alumni events, and continued development seminars/ forums/colloquia for GIBS PA’s and coaches, as well as general liaison with coaches.
Support to the Programme Managers in respect of the PAL school services, including Standard Operating Procedures, coach referrals, reports to business.
Other responsibilities as arising and as determined by the function.
EDUCATIONAL AND EXPERIENCE REQUIREMENTS
Ideal Profile:
Business Diploma
Undergraduate degree in human/ social sciences an advantage: eg BSocSci, BPsyc
One to three years of Programme Administration experience or experience working as an administrator or co-ordinator in HR, education, training environment, or events company
Experience running projects independently
Client liaison experience
