Commission-free online bookings for all your

The Online Booking Engine is an optional module of Clock EVO. You can include it in your package of features and boost your profit with direct online reservations that are completely free of any commissions. As an alternative, web booking engines provided by CRS or WBE vendors would generally charge you not less than 3-5% commission for booking coming from your own hotel's web site. Other reservation channels will also deduct a significant amount from the revenue they generate for you.

So it is worth trying to redirect maximum traffic through your own website, without bothering for extra commissions. For example, you may encourage all your corporate clients, agents and loyal guests to check availabilities, send requests or directly book at their negotiated rates on your site. Or, you may try to convert present GDS or travel portal bookers into direct customers - fully free of any booking charges.

As a result, you may benefit from new sales opportunities, eliminate commissions over partner site reservations, provide faster and more convenient ways for your customers to interact with you and save time and efforts on processing reservations.

Online booking capabilities for regular guests, agents

The Online Booking Engine provides everything you need to interact with your regular customers, agents and corporate clients. You can easily grant them online access to their negotiated rates or special conditions.

Profiles.

All existing profiles in Clock EVO can be registered as users of your website. All you need to do is to define an access password in the profile details and provide it to the respective customer.

Group bookings.

The Web booking engine allows selecting more than one room in a booking. These rooms can be of different types, different boards and accommodate different numbers of adults and children. In this way the engine easily satisfies the needs of agents and companies.

Negotiated rates.

By logging into your website, your regular and corporate clients can see their negotiated fares and book at them directly. Special prices and conditions are password protected at the highest level of security. You can create exclusive preferential offers and be sure that the information will be visible only to the selected profiles.

Special guarantee policies.

Your negotiated fares can be linked to special guarantee policies, where the deposit is calculated differently or no payment is required.

Guarantee.

You can choose among several guarantee methods for your online bookings: bank transfer, providing credit card details or online credit card payment. The amount of the guarantee deposit is calculated automatically. You can link certain rates to certain guarantee policies. This allows requiring one-night deposit for regular prices, but full advance payment for discounted rates, for example.

Easy implementation.

To start benefiting from your own website reservations, you just have to add a single line to one of the web pages. Yet another line allows you to add an availability calendar on the home or some other page. The calendar gives real time information about sold out and bookable dates and your customers know in advance for which days to check prices and offers.

Availability management.

You have one common availability for online and offline sales that is managed entirely by the hotel software according to the preset parameters. For each room type or rate you can specify a minimum number of available rooms or an occupancy level at which internet sales should be terminated. The Online Booking Engine can sell using the rates already set in your property management software. Just select one of the existing rates and indicate that you want to offer it on your website as well. All rate restrictions like sales period, arrival period, number of guests etc. apply to the online sales automatically.

Bookings.

Visitors of your hotel website get information about the rooms available at the hotel and the rates and packages offered with them. They can select one or more rooms and choose among the available boards to make an online booking. They can also cancel their booking if the rate allows such action.

Automatic response.

Customers receive automatically created confirmation or cancellation messages to their e-mail addresses. These letters are also customisable and will appear in your colour scheme, with your logo and footer.

Multi-language capabilities.

Integration.

Organising an event has never been this easy.

If the amenities in your hotel allow you to offer extra services or organise events, Clock EVO is your ultimate solution. The Event management module smooths the process of creating the offer and booking the resources needed. On a single screen you manage the whole event, whether it is a two-hour presentation or a week-long conference. The software also facilitates the booking of extra services for hotel guests or external customers.

Event Management

All facility halls and available equipments are visible on the resource occupancy display that shows their availability by hours, days and months. The whole process of preparing the offer occurs on a single screen, divided in sections for each service group. Each section contains a Memo cell that is used for providing instructions to the responsible staff or for other organisational purposes. Through live connection to the POS you can withdraw menus or single items from the restaurant assortment with their actual prices. If accommodation is needed as well, rooms are booked without switching to another module and the event planner automatically calculates and adds their price to the total amount of the offer. You can also add different special conditions or link the event proposal to an existing reservation. The progress of each offer is indicated by a status - Tentative, Confirmed or Cancelled. You can print full copies including all Memos and notes for internal purposes, or customer copies without this information. With the Event Management module of Clock Evo you reach all departments involved, gather information from their databases and quickly assemble event proposals ready to be sent to your customers for approval.

Additional resources

The additional resources management module includes all supplementary facilities offered by the hotel. They are grouped in resource types, such as spa centres, beauty parlours, conference facilities, etc.

Clock EVO allows you to register various types of additional resources, to set working hours for them and to create schedules and bookings. Your resource planning becomes easier and faster with the availability calendar where you have a clear overview of all your facilities and their occupancy. The system also allows the creating of so-called virtualresources. Instead of looking for free resources at the moment of creating the booking, a virtual resource is booked. Later, the booking is transferred to a suitable physical resource. You can also register packages - sets ofservices to be sold together on a special price. All manipulations

and operations concerning additional resources are allowed to users with the proper rights granted.

On the occupancy calendar all bookings and resources are displayed in different colours reflecting their status: outside working hours, booked, posted, etc. If there is a note entered in the details of the booking, it is displayed as a tooltip in the schedule. By this you can easily decide to switch equipment or move events in order to accommodate another request.

Quick reservation process

The reservation system of Clock EVO provides plenty of features to speed up and simplify the booking process and all related operations.

Profile integration

The database with guest, agent, tour operator and company profiles is always linked to your active screen. When a profile is selected, all available information is loaded - contacts, rates, guarantee policies, payment routing instructions, invoicing details, room, view or special maintenance preferences, marketing and segmentation profiles etc. This data will also be transferred to the newly created booking.

A few clicks reservation

In the case of an urgent call for example, you can complete a booking with minimum parameters like name and contact. Further details can be introduced later when the guest provides them or arrives at the hotel.

Manual or automatic room allocation

In certain cases you may need to book a specific room upon the customer’s request. Other bookings will be handled by the automated allocator. If a guest arrives at an unusual time, the hotel system will take that info into account when assigning rooms to the bookings and will protect late arrivals from being cancelled as no-show.

Different boards If needed, different boards can be set for each day of stay or for each guest in a booking.

Room preferences Any guest requirements to the room, like low floor or view for example, are saved and

taken into account automatically when assigning rooms to the bookings.

VIP service

For any external services you would like to provide to your guests, like ensuring transportation, purchasing event tickets etc., you can create a Task and link it to the booking. At the precise moment you will get a reminder to help you organize the procedure on time and appoint the responsible people. If the customer has requested any special in-room amenities, like bottle of champagne or non-allergenic towels, the system automatically includes these remarks in the housekeeping instructions sheets, so the responsible personnel is duly informed.

Room Sharing

This function is very useful when you have two guests that share the same room, but their length of stay, board or invoicing details are completely different. In this case, the booking can be easily split. All common details will remain and you can update only the distinctive parameters.

Complementary bookings

Guests may be granted free nights or extra services as a compliment, compensation or bonus to the negotiated fare. These services can be assigned to a special profile, which helps you to analyse and improve your strategy.

Deposits and advance invoicing

The system is capable of calculating deposits received as guarantee payments by deducing the provided services from them and recalculating the final amount. Invoicing of such advance payments is also available.

Room allocation

Manual room allocation In the manual selection process you may take into consideration any kind of guest preference details and access the Interactive room status monitor to pick up the most suitable room. Clock EVO will help you to identify all available rooms that match your search criteria.

Automatic room allocation If you don’t need to assign a particular room, let the automatic allocator do the job for you. The software will take into consideration present occupancy (vacant, occupied) and housekeeping status (clean, dirty) of all rooms and may also apply room optimization rules, such as:

• Equal distribution, where EVO applies room rotation to ensure that all rooms serve approximately equal volume of nights and respectively suffer similar wearing.

• Maximum consistency, where the system suggests the first room that is freed, regardless of its number or occupancy ratio. This is extremely useful for hotels with high occupancy rate that operate close to their maximum capacity.

Check-in

Checking in a guest could happen in as little as 30 seconds.

Single click checkin Check in a single booking or an entire group with just one click. Registration cards. Print pre-filled registration cards for confirmation and signing by the guests.

Room allocation Assign rooms in advance or on check in. Various optimisation algorithms support the process, ensuring optimal occupancy.

Room upgrades Check in guests in higher category rooms at the price of the room type initially booked.

Late/Early arrivals The information about late, early and group arrivals helps you to better organise the check-in procedures and avoid incorrect no-show cancellations.

First package meal In case of irregular arrivals you can change the first meal of the package to be consumed. E.g. if a guest is checked in in the evening, you can change the first meal to dinner instead of lunch.

No-show In case of non-arrival, bookings get the respective status. You can decide whether to cancel them manually or to leave it to the system.

Deposit processing Unused deposit amounts are automatically suggested for consumption or refund.

Invoicing Issue individual or group invoices. Invoice details are offered automatically from the profile details of the guest or the arranger.

City ledger/Credit accounts Set group accounts as “credit accounts”, which enables you to postpone the invoicing of the room charges and to only issue invoices for extra services on check out of each room. Operations with credit accounts are restricted by access level rights.

Express check out If there is a suitable interactive TV system, guests can register their own check out without any intervention from the reception desk.

Messages, wake-up calls, locators

Notes Notes can be added to bookings and set to appear on check in, check out, on editing or posting of services.

Wake-up calls Wake-up calls can be managed by the system through reminders. If there is a connection to a phone exchange, wake-up calls can be automated.

Messages Like wake-up calls, messages for guests can be managed by the system through reminders or through connection to a phone exchange. If such connection exists, a light on the phone indicates that there is a message waiting.

Staff tasks Various guest servicing related tasks can be tracked in the system, assigned to the responsible employees or set deadlines for and distributed in task sheets.

Guest and Company Profiles

The profile database saves the time and efforts of all of your staff, from the reservation agent to the sales manager

While basic customer profiles can contain only a few details that can save you some time, in the company profiles you can store as much information as you can imagine. The more details you record in the database, the easier it will be to work with that contractor later on.

Information.

The profiles contain all the necessary information about your customers - contact details, invoicing instruction, payment method and routing - everything that would help you provide the best service should be written here. You can specify room preferences, special requirements, exclusive housekeeping instructions, even things like food allergies or favourite wine. The available information is automatically filled in in address cards and invoices.

Profile details

Negotiated rates & contractual conditions.

You may have hundreds of contracted rates but you don’t have to remember them by heart. The pricing information gets automatically transferred to every new booking once the profile is selected. When assigning the respective rates you can also make some or all of them available for online sales through password protected access to your website. Besides the prices, you can also store different modifiers like discounts, surcharges, packages (e.g. 10=14), “Early birds” etc. and they will be automatically calculated and posted.

Custom rate for a specific arrival.

If, for any reason, a custom price or service (e.g. upgrade) is negotiated for a specific arrival, this can be indicated directly in the booking and will be posted automatically on the account of the guest/company.

Deposits processing, credit status and limit.

If a contract includes advanced deposit made by the client that is consumed with each arrival, the system tracks the updates on this deposit. If a credit limit is set for an account and the outstanding postings reach that limit, the software blocks the account until a payment or a deposit is received. No further postings are allowed and each attempt to add one results in a special notification. Profile accounts can also be set not to accept postings from the POS or other interfaces. A “credit account” status allows postponed invoicing for room charges (e.g. tour operator contract) and informs your staff to issue an invoice only for the extra services on check out. Operations with credit accounts are restricted by access level rights.

Payment instructions and routing.

Setting checkout and payment policies for a profile provides your staff with information about how to issue the documents and process the payment. For example, invoice for the room charges to be issued to the company and extra services to be paid directly by the guest. This also helps your front desk to prepare the check-out procedures in advance and then finalise them within seconds. Profiles may also be assigned special invoice formats, optimized for groups and for comparison with the partner's rooming lists.

Processing and access restrictions to profile and account information.

The access to process certain profile accounts may be restricted to specific users. If such limitation is assigned to a profile, users without the respective rights will not be able to see or modify postings and prices. This functionality is designed to provide price confidentiality on special accounts.

Allotments, cut-off periods and booking positions.

Another features to be defined in tour operator profiles are the contracted allotments and release periods. You can also register the booking positions sent by the operator. Using this information, the system calculates the occupancy forecast for the hotel. Clock EVO hotel software also tracks the allotments and release periods and alerts the user in case of overbooking or term violation.

Profile history and statistics.

Last but not least, the profile database is a source of information for your sales department. They can search through all profiles to generate distribution lists for marketing campaigns, based on different criteria -turnover, number of nights, revenue. The results of such researches can be exported to MS Office / OpenOffice documents and the files sent to the customers can be linked to the profiles for prompt activity overview. The detailed statistics and history of each profile help your sales team to evaluate the effect of a contract and adjust the prices and conditions offered. Statistics are enabled for number of nights, turnover,

receivables by customers and ageing or list all of them chronologically. This helps you to quickly identify the delayed payers and take the appropriate actions immediately.

To activate the AR functionality, you just need to specify which invoice payment types have to be recognised and tracked as receivables. Once this has been done, all invoices with such form of payment get automatically transferred to the AR journal with their full details.

Each payment you receive can be associated to specific invoice, no matter if it covers it in full or just partially. You can also split a single payment between several invoices.

The AR functionality supports multi-currency settling, meaning that you are able to track and manage documents and payments issued in different currencies. Once a document is fully paid, it will no longer appear in the AR journal.

Your receivables collection and management are supported by different summaries. They show information about the customer, invoice date and number, due date, amount and notes for each record. You can filter and manipulate receivables, add or edit payments and filter the data by several criteria. The detailed balance report enables you to analyse even past periods and behaviours and adjust your collection policy if necessary.

Prices are calculated per person for a more precise audit and maximum clarity in the communications with your partners. With more than 75 parameters available, you can define accurate rates for any possible occasion.

Seasons Each rate can have different levels for high and low seasons.

Number of guests Prices can depend on the number of guests in a room, e.g. single occupancy of double rooms, extra bed prices etc.

Adults and children Different prices for adults, children and combinations of both. Different rates for first, second and next child. Customizable age definitions for child and infant for each rate.

Other services included in the package

Additional services may be be posted separately or be included in the total package price. You can also create packages of extra services, like Spa or Ski and automatically add them to the booking when choosing the rate.

Discounts A powerful system for automatic calculation of even most complex discounts: early booking, еxtras, last minute, child discounts, promotions, weekend prices, long stay etc. Discounts can be calculated on various bases - night, meal, other services - as a percentage or fixed amount to be deducted. Once the contract is introduced, all that you need to do is to select a contract profile which to associate with the respective rooming list - no manual rate/package postings or adjustments are needed at all. Users introducing rooming lists or performing check-in may not even be aware of the specifics of the contract. Upon check-in, the correct prices are automatically posted and the invoice is ready to be printed in the agreed format or with the required specification breakdown - practically without any operator intervention. The issued invoice is then automatically transferred to the AR (accounts receivables) log, where you may track its collection and ageing.

Rental Management Software

Your assistant in contract management, result calculation and communication organisation

The Rental Management module of Clock EVO is developed to support the interactions between property managers and owners. After registration of each contract, the software enables transparent and efficient property management, regular reporting to the owner via internet access, statistics and scenarios for better assessment of agreed conditions.

The financial relations between the owners and the managing organisation are based on commissions and services. Each rental property owner has a profile and the conditions for using each property are defined in contracts. The postings for the use of the property are made in the hotel module and then imported in the Rental Management module, where commissions and services are calculated and distributed among the respective accounts with consideration of the conditions in the contracts.
