Data Reporting Resources and Tools
There are a number of different resources and tools that can be used to simplify the Financial Call data reporting process.
These resources are designed to give data providers a basic understanding of Financial Calls and their reporting requirements. In addition to this module, data providers are recommended to begin with the following:
• Financial Data Reporting Web Page
• Reporting Guidebook for the Annual Calls for Experience (annual January distribution)
• Financial Data Call Packet (annual October/November distribution) • NCCI’s Annual Data Reporting Workshop (conducted in January)
The following tools were developed to help data providers report, view, edit, correct, submit, and evaluate the timeliness of Financial Call data:
• Financial Calls Online and Financial Calls Online Product Training • Financial Calls on Diskette® software
Financial Data Reporting Web Page
Data providers should access the Financial Data Web Page at ncci.com for information and tools
necessary to report Financial Calls data timely and accurately. This page is designed to help prepare for the current Financial Call reporting season by providing links to:
• The most current Financial Call circulars and FYI Plus announcements • Reporting Guidebook for the Annual Calls for Experience
• Financial Data Calls and due dates
• Financial Data Frequently Asked Questions (FAQs) • Electronic Transmission User’s Guide
• Financial Calls Online and Financial Calls Online product training
By setting preferences at ncci.com, data providers can automatically be notified of new and updated information, including data reporting manuals, circulars and FYI Plus releases. Data providers will
receive an email notification or a home page alert regarding new financial data reporting information that has been posted online.
Reporting Guidebook for the Annual Calls for Experience
The Reporting Guidebook for the Annual Calls for Experience provides comprehensive Financial Call data reporting requirements information. This manual provides the necessary requirements and instructions for data providers to report Financial Call data accurately and includes the following information:
• General information that includes a background on workers compensation data gathering and ratemaking
• How Financial Call data is generated, processed, and used to create loss costs and rates • Financial Call data filing requirements
• Instructions and sample forms for each of the Financial Calls • Edit descriptions and Edit Matrix (downloadable)
• Tax and Assessment guide
• Designated Statistical Reporting (DSR) levels
• Information on the Aggregate Data Quality Incentive Program (ADQIP) • Glossary of financial terms
The online version of the Reporting Guidebook for the Annual Calls for Experience, located at ncci.com, has the most up-to-date financial data information.
Annual Calls for Experience - Call Packet
During the fourth quarter of each calendar year, a call packet is mailed out to Financial Call data
reporters. This call packet contains transmittal and hardcopy reporting forms that can be used to assist in processing calls in a timely manner. Each call within the packet provides specific reporting due date information.
The instructions for completing the Financial Calls, as well as other pertinent information needed to complete these forms accurately, are contained in Reporting Guidebook for the Annual Calls for Experience.
NCCI’s Annual Data Reporting Workshop
NCCI conducts an annual Data Reporting Workshop in January that includes a general session on Financial Data Reporting and Financial Calls Online, providing the information that is necessary to report Financial Call data.
Reporting Methods
Most calls will be submitted electronically to NCCI. Currently, the Supplement to Ratemaking Calls can only be reported hardcopy. Reporting requirements and available media are found in the Reporting Guidebook for the Annual Calls for Experience.
When available, electronic submissions are recommended to ensure data quality and timeliness. NCCI encourages data providers to submit data electronically rather than hard copy, in order to maintain accuracy and to be able to take advantage of online data tools and efficient data reporting processes. Reporting electronically gives data providers more flexibility and the convenience of using electronic options for accessing, viewing, updating, validating, and transmitting data quickly. In addition, with electronic reporting there are no costs, errors, or delays associated with hard copy keying.
Financial Calls Online
Financial Calls Online is a Web-based application that allows data providers to enter, pre-edit, validate, correct, view, and submit Financial Calls to NCCI.
Financial Calls Online makes the reporting process more efficient by:
• Allowing data providers to bring the prior year’s data into the application quickly and easily
• Utilize new edits, revisions to current edits, and refinements to editing tolerances. The result is that your pre-editing is now synchronized and consistent with the editing performed by NCCI on your Financial Call data.
• Reducing the time it takes to exchange data with NCCI.
• Providing immediate, accurate feedback on the quality of data submissions. • Eliminating charges associated with hard copy conversion.
• Conduct an online status check for all Financial Calls being worked on. • Assign staff to work on calls in a more flexible manner.
• Correct and explain submitted Financial Call data online. • Access additional online resources.
Financial Calls on Diskette® Software
Financial Calls on Diskette® software is a PC-based system that serves as the alternative electronic transmission method for reporting Financial Call data. It provides functions for importing, entering, correcting, editing, and exporting Financial Call data as well as printing reports.
Financial Call data can be electronically submitted through Data Transfer via the Internet after it is exported out of Financial Calls on Diskette® software. Data Transfer via the Internet allows the exchange of data using an Internet Browser. Financial Call data can also be exported out of Financial Calls on Diskette® software onto a diskette and mailed to NCCI.
Specific record layouts and formats are required when reporting Financial Call data through Financial Calls on Diskette® software. These record layouts and formats can be found in the Financial Calls on Diskette® software instruction manual.
Although Financial Calls on Diskette® software is still an option for reporting Financial Call data, it does not include the most current NCCI edits. Financial Calls Online provides the most extensive editing to validate Financial Call data, and is the recommended tool for Financial Call data reporting.
Track the Timeliness of Financial Call Data
The Quality Incentive System is a Web-based tool that allows data providers to view their Financial Call data reporting timeliness results. These results are based on the required due dates established by the Aggregate Data Quality Incentive Program. Online timeliness results will include:
• Financial Calls used in the ADQIP
• Calculation of any applicable ADQIP fines for Financial Calls received after their due date
• Up-to-date listing of all expected Financial Calls along with the due date, state market share, and actual received date
