Trade Show Invitation

The Australian Brahman Breeders Association Limited is inviting exhibitors to take part in the 18th World

Brahman Congress Trade Show.

The Trade Show will be held at the Rockhampton Showgrounds from May 19-21, 2016 and will be an

important part of the Congress.

It will coincide with the conference in the Schwarten Pavilion on Thursday May 19 and the Stud Cattle Show

judging on Friday and Saturday, May 20 & 21.

Brahman genetics are the foundation of the northern beef industry. Research has indicated 70% of the bulls

working north of the Tropic of Capricorn are Brahmans.

Brahman cattle play a major role in the supply chain of Australia’s domestic and premium beef export market

to Japan, and the European Union and are the breed of choice for Australia’s live export markets to feedlots

in Asia.

Our World Congress is expected to attract wide interest from cattle producers across Northern Australia as

well as Brahman breeders from North and South America, South Africa and throughout Asia.

The Australian Brahman Breeders Assoc with over 1000 stud members is the largest beef cattle association

by membership in Australia. With about 20,000 new animals recorded in our pedigree and performance

database annually we are among the leading beef cattle associations in Australia and enjoy a similar position

among Brahman associations throughout the world.

Participation in the Trade Show will give exhibitors an opportunity to link with a successful high profi le event in

the Northern Beef industry and exposure to a large and infl uential market of Australian and international beef

cattle producers.

Both indoor and outdoor Trade Show sites will be available and site numbers have been limited to ensure only

areas which receive high traffi c fl ow will be utilised.

Terms and Conditions

1. The exhibitor must submit to Australian Brahman Breeders Association Ltd (ABBA) (the Company), hereafter referred to as “The World Brahman Congress” (the Event), a completed Trade Fair Application, herein referred to as “the agreement”, together with an application fee of 25% of the total site fee.

2. The exhibitor shall pay the remaining 75% of the total site fee no later than 26/2/2016. The exhibitor shall pay for all site materials and additional accreditation by 1/4/2016. ABBA reserves the right to terminate this agreement should the exhibitor fail to comply with this payment schedule.

3. If the exhibitor should request that this agreement be terminated before 26/2/2016, the ABBA may do so on the condition that it retains the 25% application fee.

4. NO REFUNDS will be given after 26/2/2016.

5. The site set-up must be completed and the display open for business and manned at all times during the Trade Show opening hours. The exhibitor shall not dismantle, remove or pull-down the site or any part of it before close of business on the fi nal day of the Trade Show.

6. Vehicles involved in the set-up of Trade Show sites must be removed from the Trade Show area by 8.00am Thursday May 19. Vehicles will not be permitted entry to the Trade Show area after 7.30am on Friday and Saturday and must be removed by 8.00am. 7. Vehicles involved in the dismantling of exhibits will not be permitted entry to the grounds before the close of the Trade Show on the

fi nal day May 21.

8. The exhibitor shall not share, assign, transfer, sublet, set over or part with possession of their site or any part of it or enter into any agreement so to, unless written authorisation from the ABBA is obtained prior.

9. It is the responsibility of the exhibitor to maintain a clean, tidy and waste free site at all times. The exhibitor shall make no alterations to any fl oors, walls or roofs and the site must be returned to the same condition as that of when the exhibitor took possession. 10. The exhibitor shall cover their public risk liability and indemnify ABBA, its employees and agents from all claims, demands, losses,

damages, actions, costs and expenses resulting from the use of the site. The exhibitor must provide a Certifi cate of Currency, as proof of Public Liability Insurance coverage with ABBA noted as an interested party, to ABBA no later than 1st April 2016. Exhibitors must have a minimum liability limit of $20 Million.

11. ABBA shall not be liable for any theft, loss or damage to the exhibitor’s property during the event.

12. ABBA will use its best endeavours to ensure the supply of services to the site but it shall not be liable for any theft, loss, damage or expenses incurred by the exhibitor resulting from any cause beyond the control of ABBA.

13. If ABBA shall fi nd it necessary, expedient or desirable to postpone the World Congress Trade Show or cancel or suspend the operation of the Trade Show site agreement, then this agreement shall cease to operate or be suspended upon notice to the desired effect being served upon the exhibitor by handing it to the exhibitor personally or by mailing it to the exhibitor at the postal or email address given on the site application, or at the option of ABBA or it’s authorized agent handing it to or offering it to any person who appears to be an employee, agent or partner of the exhibitor. ABBA shall not be liable to the exhibitor for any compensation, whether in respect to loss of profi t or otherwise, as a result of such cancellation or postponement. ABBA may at its sole discretion decide whether to refund any monies paid by the exhibitor.

14. ABBA reserves the right to reallocate or relocate any trade fair site to enable a better showing of exhibits and to amend or alter the exact location of the site. The exhibitor agrees to be bound by such alteration or relocation.

15. Exhibits, displays and demonstrations shall remain in keeping with the dignity and atmosphere of the World Congress Trade Show and ABBA reserves the right to reject any display or demonstration, which does not achieve this objective.

16. ABBA or its authorised agents may enter upon the site at any time to remove any article, sign, picture or printed matter, which in his/her opinion is not eligible for display or may cause offence.

17. The exhibitor shall not erect or display any form of signage, promotional or advertising material on or around the grounds outside the boundaries of the trade fair site leased under this agreement.

18. The exhibitor shall not conduct any leafl et dropping, questionnaires, surveys or offer to the public any free products and/or materials on or around the grounds outside the boundaries of the trade fair site leased under this agreement.

19. The exhibitor shall not conduct, permit or suffer any lottery, raffl e, guessing competition, game of chance, sideshow or sale by auction or tender on the grounds without the prior written permission of the ABBA & the applicable permit/license from the relevant governing body.

20. Microphones, sound amplifi ers and machine demonstrations will be permitted only as long as they cause no annoyance to neighbouring exhibitors or the visiting public.

21. Only tractable cattle will be allowed on Trade Show sites.

22. Any persons intending to use animals for show, display or demonstrations at the World Brahman Congress must be aware of and abide by the regulations under the Animal Care and Protection Act (2001). Every person in charge of an animal has a legal “Duty of Care” to that animal, which means they must take all reasonable steps to meet the needs of that animal through the provision of water and appropriate diet. Appropriate accommodation. Rapid diagnosis and treatment of any disease. Handling and management that does not cause the animal unnecessary fear and suffering.

23. All cattle must be visibly free of ticks and must remain so for the duration of the event. ABBA reserves the right to remove any infested or disruptive animals at the exhibitor’s expense.

24. If any breach or infringement of any conditions of this agreement and/or if the exhibitor does not occupy its site for the full period of the Trade Fair, ABBA shall have the right to cancel this agreement, retain any monies paid and relet the site.

Food & Beverage

The retail sale of unpackaged food, meals

and beverages for immediate consumption

from Trade Show sites requires the

approval of ABBA.

The sale of such food and beverage if

approved shall comply with relevant

license and food standard and

hygiene regulations.

Indoor Trade Sites

The booth dimensions are 3m x 3m x 2.4m

high. Panels are frontrunner covered and

Velcro compatible. Each booth is carpeted

and will have access to power, 2 lights

and 2 power points and named facia.

The Schwarten Pavilion will be the focal

point for social functions and catering

activities as well as the venue for the

Congress Conference sessions.

Trade Show exhibitors in this area would

have the option of being open during the

extended period of social functions.

The number of Trade Show sites are limited

in this pavilion.

The Stud Cattle Show judging will be

held in the eastern (open) end of the

Schwarten Pavilion.

Agricultural

Pavilion

22 x 3mx3m @ $1500 each

The Agricultural Pavilion is an older style

pavilion in close proximity to the

Schwarten Pavilion.

It provides fl ow through access to the

outdoor trade sites.

Kele Pavilion

36 x 3mx3m sites @ $1500 each

The Kele Pavilion is a newer pavilion

with fl ow through access to the outdoor

trade site area and adjacent to the

Rockhampton Cattle Club.

Pavilion

47 x 3mx3m sites @ $1500 each

The Exhibition Pavilion is the largest of

the indoor trade show pavilions and is

located centrally in the World Congress

Trade Show area.

Outdoor

Trade Sites

These sites are sold on a “space only”

basis and does not include fi xtures

or fi ttings. Power boxes are located

throughout the Trade Show area and

have multiple outlet points.

It is the responsibility of the exhibitor to

outfi t these sites in a safe and visually

appealing manner.
