HOW TO SOLVE CONSTRUCTION COMPANIES’ PROBLEMS BY USING

AN INTEGRATED IT SYSTEM – MICROSOFT DYNAMICS AX 2012?

„Problems” described in this brochure are related to service-providing companies that base their business on contracts (from companies subcontracting a certain stage of a construction process, e.g. installation companies, companies performing excavation work, walls, elevations, ceilings, roofs etc, to general contractors of construction works and investors). Below we present some of the most important problems that you may solve at your company in order to achieve success in management. The number of „industry-related problems” we solved exceeds 200. The purpose of this brochure is not to mention each and every one of them, but to familiarise you with the possibilities our solution brings.

FOR THE MANAGERIAL STAFF

+ Use an early warning system and get to know the problems occurring within the contract as soon as they appear, not only on settling the contract.

+ Compare the plan against the execution (budget vs. implementation) of particular contracts. + Quickly check project parameters, control the margin and costs.

+ Calculate the actual margin to within a single zloty, break down general costs with a cost distribution key (we will advise you on how to build effective keys). + Arrange the company in terms of processes. Get one source of data on all

elements of business. Unification of working methods of all persons involved in the execution of contracts.

+ Control over subcontractors. Analyse individual projects and their groups at the same time.

+ Draw conclusions from the past, thanks to a one common base of contracts with all contract details. Analyse the effectiveness of running individual contracts. Execute contracts in compliance with ISO or FIDIC.

Employing the abovementioned solutions brings the following benefits to the business:

Increased effectiveness of the enterprise (the so-called operating leverage, which allows generating more income with the same amount

of resources), which gives the possibility for the company to grow on the level exceeding the market average (on average, our clients grow 60% a year).

Optimisation of the company’s operation, having direct influence on the minimisation of operating costs.

Enabling the control of contracts executed on a day-to-day basis, which results in early reaction to problems the contract is facing that might constitute a threat to achieving the assumed margin.

Improved control over agreements with suppliers and investors, which results in faster

identification of mistakes committed by contracting parties that may influence the situation of our company.

FOR CONTRACT MANAGERS

+ Use one central „control panel” for your contracts. This screen will provide you with information on current settlements from the accounting department, costs of remuneration and equipment entered in the books for your project, as well as all other factors.

+ Forget about invoices getting lost on construction sites and in briefcases (eliminate “writing on the back of invoices”).

+ Monitor results of all works related to the contract executed in the company such as: work of the accounting department (what has been entered in the books for my project? What amount is given on invoices for concrete? etc.), HR department (what is the cost of work of people on my contract, who earned how much?), on a day-to-day basis.

+ Monitor settlements and the work of machines, people and equipment. + Monitor contractual provisions (agreements) automatically.

Let the system control the security release time.

+ Make use of access to any contract data from the moment of placing the first offer, through contract execution (until it is finished and settled), to the stage of contract’s warranty service (full history). + Achieve higher margins by means of better control of works and subcontractors.

+ Monitor schedules of works and payments.

+ Monitor guarantee deposits and other settlements related to securing contracts. Let the system prompt you necessary elements related to securities becoming outdated.

FOR PERSONS HANDLING ACCOUNTANCY AND FINANCES

+ Monitor current cash-flow of contracts, prepare for payments before the invoice reaches the accounting department. Monitor income and expenses on a day-to-day basis.

+ Make efficient use of mechanisms enabling automatic circulation of financial documents and automatic accounting solutions. Invoices do not get lost on construction sites and in the briefcases of contract managers anymore.

+ Be up-to-date with the situation of the project, eliminate the need to call project manager at the end of the month in order to obtain basic information. + Use automatic solutions that allow the calculation of the volume of the

so-called long-termcontracts (MSR 11). + Calculating works in progress.

+ Use automatic solutions that control clearing activities related to guarantee settlements (deposits), advance payments for subcontractors etc.

+ Use automatic cost distribution keys that allow breaking down any general costs into specific contracts (example of a sales key – costs accepted as part of the project is relative to the sales volume it generates in relation to other contracts).

+ Use a small chart of accounts that complies with best practices of management accounting, add new analytics without extending the chart of accounts (thanks to the so-called financial dimensions), which grants extraordinary flexibility e.g. when developing/changing company’s organisational structure. + Prepare correct reports for the stock exchange.

FOR CONTROLLING DEPARTMENTS

+ Use one integrated information on all aspects of contracts.

+ Having a central base of all facts concerning contracts results in having almost

unlimited analytical possibilities owing to a built-in On-Line Analytical Processing technology.

+ Compare materials and services between construction sites. Have you always been interested in the cost of a given material at one construction site and at another one? Was it possible at all?

+ Analyse costs using different dimensions, with the use of built-in mechanisms of additional analytics, called the financial dimensions.

+ Monitor the use of construction site equipment. + Analyse the quality of suppliers.

+ Adhere to the procedures related to purchases.
