Login Instructions

URL Direct Login: https://solution.medvirginia.com/login Supported Browser: Google Chrome

The user will be prompted to change password upon initial login. Password requirements:

• Passwords must contain at least 8 characters

• Password must contain three (3) of the following four (4): o Lower case characters (e.g., a-z)

o Upper case characters (e.g., A-Z) o Numbers-digits (e.g. 0-9)

o Special characters: (!@#$%^&*()_+|~-=\`{}[]:";'<>?,./) • Password History:

o Cannot use the current password as the new password.

o User will be prompted to change their password every 180 days.

Upon initial login the user will need to accept the “End User License Agreement” by reading and clicking accept.

**Note: Under HIPAA, a user is not allowed to access their patient information. They are permitted to follow-up with their provider of care directly to request the information as a patient. Please see the online end user agreement for reference or check with the user practice administrator if the user has questions.

Navigation Tool Bar

• The Navigation Toolbar displays the Clareto Logo and the four icons. The user can hover over the icon for the description.

• The Home icon will route the user to the Home page.

• The Help icon will route the user to the Help page.

• The Announcement icon will route the user to the Announcements page.

• The Logout icon will log the user out of the Clareto Portal.

Announcements

• The Announcements page will be used to communicate system information to the user community. Look for the red icon on the top navigation bar and select it to read the latest information. The icon number indicates the number of announcements.

Viewing Patient Authorized Data Requests

To access the Authorized Requests page, click the applicable link on the home page.

▪ Requests that have not been completed will appear at the top of the screen in the Queued section.

▪ Completed requests will appear at the bottom of the screen in the Completed section. ▪ Requests will remain in the Queued section for up to 72 hours – any requests for which action

has not been taken in 72 hours will expire and be moved to the Completed section. ▪ Completed requests will appear as read-only for up to 7 days and then be removed.

To process requests in the Queued section, click on a patient’s name to open and manage the data request on the Authorized Request Review page.

Managing Patient Authorized Data Requests

Click the linked Authorization Form to view the uploaded authorization and letter of representation, which is appended to the authorization request form.

To approve the authorization, click the corresponding status button. You may click the Authorized Requests button at the top left of the screen at any time to return to the list of Queued and Completed requests.

To deny the authorization, click the corresponding status button. Enter a Denied reason in the box where it states Enter Reason for the denial and then click complete.

Clareto – MedVirginia Revised 07/03/2018 Page 7 If the patient does not exist in your system, or if no documents are available for the patient, simply indicate the appropriate selection, and then click Complete to remove the data request from your Queue.

If clinical documents are available, you may upload them in PDF and XML format*. Click Complete when done or click Save to save your progress without

closing the request.

*Please upload clinical data as Continuity of Care Documents (CCDs) in XML and PDF formats.

Viewing Authorization History

To access the Authorized History page, click the applicable link on the home page.

• Date Range will default to the last 30 days, but can be changed to the user’s preference • Resource ID is the unique ID sent in the SAML assertion of the Patient Discovery request

Viewing Authorization History Search Results Page

• To view the Authorization click on the hyperlink “View” under the Authorization column • The Name, SSN, and DOB will be redacted for transactions that are > 30 days
