1. INTRODUCTION

This document introduces and reviews the MP W5100 and 7140 Wide Format Mid / High end devices.

1.1

Value Proposition

The MP W 5100 / 7140 will be targeting the typical Computer Aided Design (CAD) marketplace with high productivity and durability that will support an increased Total Document Volume than previously offered via Ricoh.

Ricoh have made radical strides in the Wide / Large format arena since 2001 and now commands a strong place in the traditional CAD market with unique aesthetics and robust production capabilities. The Ricoh wide format range offers a concise footprint and a range of print controllers to meet a varying demand of Centralised or Decentralised production.

With the addition of the MP W5100 / 7140, the Ricoh portfolio comfortably delivers benefits such as:

2. Key Product Features

The MP W 5100 / 7140 delivers all the above benefits by a rich product feature list that aids the drive in being the most attractive mono range in the CAD wide format market for operation and Total Cost of Ownership.

Showing a consistent design approach across the range, the 5100 / 7140 retains the market leading features of the MP W2400 / 3600 and adds significant additional tools that have resulted from subsequent R&D, centred around a lengthy primary and secondary research project within the EMEA region in 2006/07.

2.3

New Operation Panel

A new colour wide VGA LCD panel is used with the 5100 / 7140, giving greater usability and accessibility and conforms to the generic Ricoh range of office and production devices.

2.3.1 Simplified Display

The minimal function keys with larger font simplifies the display and allows users, especially visual impaired, to use the machine to maximum effect.

2.3.2 Animated Guidance

In the situation, when a basic service situation arises, such as a paper jam or toner end, the Animated Guidance display will be offered to help user resolution.

The 5100 / 7140 benefits from a front operation installation but in addition to this, the end user can vary the output trays depending on final location and volume, for example.

2.3.4 Stacking Capability

In a Central Reprographics (CRD) or Pay for Print situation, end users typically have a limited area. To address this plus an enhanced production feature, the 5100 / 7140 will be able to be equipped with a variety of stackers that will aid input and output collection.

2.3.6 Colour Scanner

The 5100 / 7140 are the first devices in the Ricoh range to have an embedded colour scanning technology. There is a significant market demand (at the time of print) in the UK for colour scanning to meet the following needs:

• Archiving

– Document Management for current projects – Records Management for legacy documents

• Advanced document distribution to sub contractors

• Reduction in distribution costs and time

• Scan from Ricoh device to a separate colour inkjet device

2.3.6 Folding

Folding has become an important topic area in the wide format arena with the advancement of digital devices and expectations from end users. Folding can be a significant consideration in the workflow of both centralised and de centralised operations due to the possibilities of speed and accuracy of fold. Historically this has been a wholly manual process to meet international or local specific requirements. Online and offline folders must maintain these exacting standards, and increasingly suppliers of equipment have adopted a growing portfolio of folders to meet this demand. The two types of fold are understood as Fan and Cross.

Fan folding is the semi-automated scenario where the end user is still expected to

‘cross’ the already fan folded document manually.

Cross folding is the wholly automated situation where the document is finished in a

form known as a ‘packet’. A typical example would be an A1 original folded down into a A4 ‘packet’ for effective distribution in the post or in a tender document.

All folds should have the option on the controller to have a ‘margin’. This finishes the document with a small (adjustable) margin on the long edge for hole punching or binding. Not every fold will require this, so the user should be able to select either.

2.3.7 Improved one dot line

The MP W5100 / 7140 will have line accuracy improvement up to 105% due to the advancement of the developer units.

2.3.8 Improved Productivity

The MP W5100 / 7140 have been launched to address the high productivity and durability markets. To support this, the fuser rollers have undergone a significant upgrade.

For the 5100, the control heater parts have been refined to account for varying paper sizes, which would typically be found in a pay-for-print environment.

For the 7140, the heating pipe has been manufactured as one which accounts for a more predictable paper size, typically found in the InPlant AEC marketplace i.e. Car Manufacturers.

2.4 Controllers

The 5100 / 7140 will be able to cater for both the Decentralised and Centralised scenarios with two proficient print / scan controllers. Both these controllers are not recommended to be installed together, as they address the two different workflow requirements.

2.4.1 Ricoh Embedded Controller

First launched with the MP W2400 / 3600, the embedded controller drove the dominance of the two devices with the ease of use, familiarity and cost flexibility in using advanced file formats.

The 5100 / 7100 will also benefit from this proposition and is perfectly suited to a departmental situation, such as Architects, Engineering, Construction or Public Sector that tend to have wide format devices that are free from a dedicated operator(s). The benefits are also supported by a ‘one touch’ philosophy of scan to email / folder, including the large document server. These end users create CAD drawings, print the CAD data and scan legacy documents for archival.

2.4.2 Ratio External Controller

The Ratio controller has been ever present in the Ricoh wide format range and provides a professional option for centralised operations that tend to have dedicated personnel managing the production. In terms of wide format production, CAD drawings are still printed, but as work can be ad-hoc, the Ratio controller can process not only standard CAD file formats, but non standard also, allowing the centralised user to be as flexible as possible.

Another difference compared to the de-centralised arena is the need to check scans on the fly, at the point of scan itself and not in a batch file on a network drive, at a later stage. This is supported by the need to edit the scans on the fly on behalf of internal or external customers. An emerging demand is to not only scan hardcopy to PDF, but also CAD files themselves, such as DXF and DWG.

The Ratio also offers the capability to use a Web Interface that effectively acts as a dedicated Web to Print facility allowing clients to submit jobs remotely to the print provider.

With these needs in mind, the Ratio Print / Scan controller offers the facilities to meet the demands of an advanced workflow.

When using the Ratio controller, a dedicated PC is required to connect to the MP W5100 / 7140. Please see the minimum specifications to understand the local requirements.

2.4.6 HDI Driver

The HDI Driver should be used when AutoCAD (later than 2000) is installed at the user site. It will give the best possible line quality and speed when printing.

2.4.7 Web Printing Tool

This allows users to print HP-GL, HP-GL2(HP-RTL), and TIFF(CALS) files formats directly through a web browser. It also provides a default setting availability either through the Web Printing Tool or through the main frame operation panel.

• Users enter the multiple files as a ‘job’, set the print settings and then submit directly thorough the web utility to the device.

2.4.8 PostScript (PS) Driver

The PS driver is installed on client PCs and it is the driver that sends print data with PostScript command/printing language to a printer device.

2.4.9 RPCS Driver

The 5100 / 7140 can utilise the unique Ricoh Printing Command Stream (RPCS) driver for printing from Windows environments.

2.5 Connectivity

The 5100 / 7140 have in built standard 10/100BaseT Network Interface Board (NIB) and USB2.0.

In addition, there are two slots for a Wireless LAN Interface (IEEE802.11b, WPA support), Gigabit Ethernet, Gigabit Interface for Ratio controller and a USB Host interface is available for third party vender IC CARD Authentication, such as Equitrac.

2.5.1 @Remote

The MPW 5100 / 7140 are fully compatible with the @Remote suite of services.

These functions are excellent for general decentralised operations and reflect standard Ricoh facilities.

2.5.2 Locked Print

If the customer wishes to protect a document when printing, then a password protection can be enforced. The file will be released only after entering the correct password of the file and then the file will be deleted from the Document Server after printing.

2.5.3 Hold Print

The hold print is ideal if users wish to:

• Reduce outputs left on the output tray.

• Store the print files temporarily, which are sent to the machine at different times but will collect at a later stage

• Have their own “tray” to avoid confusion when printing.

• Refrain from using any passwords for outputs and do not want the files to be stored after printing-out from the machine.

2.5.4 Stored Print / Store and Print

This is ideal when users wish to print files repeatedly with a specific setting. When using the ‘Store and Print’ feature, users will see the benefits of storing the data on the HDD and simultaneously printing out.

2.5.5 Sample Print

This is used to avoid wasting paper and toner if the print layout or print setting does not meet the requirements. The machineprints one set of a sample copy automatically for checking. If the print output result is acceptable, then the remaining print set can be released manually or the user can change the number of sets.

2.5.6 Windows Vista

Vista compatible drivers are available for these devices

2.5.7 Wireless LAN

To meet the current trend of Wireless LAN, IEEE802.11a and IEEE802.11g standards are supported from these models as Wireless LAN options in addition to IEEE802.11b.

2.5.8 PDF Direct Print

PDF direct print enables users to print PDF files without a printer driver. By using PDF Direct Print, total throughput time will be faster compared to using a printer driver and the network traffic (load transmission) will be reduced and productivity will be increased.

2.5.9 Security

This model supports the following security standards:

• IEEE 802.11 WEP

• WPA/ WPA2 (IEEE 802.11i) Enterprise Mode

2.5.10 What is WPA / WPA 2

WPA/WPA2 (Wi-Fi Protected Access) is an interoperable Wi-Fi security specification introduced by Wi-Fi Alliance.

WPA/WPA2 addresses all known vulnerabilities in WEP. WPA/WPA2 also provides user authentication to complement lacking authentication in WEP. Designed to secure IEEE 802.11 devices, WPA/WPA2 is a subset of the IEEE 802.11i specification.

When correctly installed, WPA/WPA2 provides a high level of assurance to enterprises and small businesses, therefore their data will remain protected and only authorised users are able to access their networks.

For enterprises that have already deployed IEEE 802.1X authentication, WPA/WPA2 offers the advantage in leveraging existing authentication databases and infrastructure.

2.5.11 Authentication

The MP W 5100 / 7140 has the following as standard:

• Kerberos authentication

• HDD data encryption

• S/MIME (Scan to e-mail)

• IPsec communication

2.5.12 Administrator Authentication

This function enables assignment of an administrator by its role such as:

Machine Management

Admin can mainly manage the machine’s default settings

Network Management

• Admin can manage the network settings

File management

• Admin can manage the access authorisation of the stored files in the machine.

User Management

• Admin can manage the registration and users’ personal information in the address book.

Supervisor:

• Admin can delete an administrator’s password and specify a new one in the machine. The supervisor cannot specify machine settings or use any of the unauthorised functions. However, if any of the administrators forgets their password and cannot access the machine, the supervisor shall provide support. This can prevent unauthorised person change the machine setting.

Important Notice

• Administrator Authentication MUST be enabled when User authentication enabled.

• Administrator’s login name MUST be different from user accounts in the directory server.

• Supervisor’s login name and password should be managed by users’ responsibility. In case user forget its password. There is no way to restore any information.

2.5.13 User Authentication

This restricts the ability to use functions at the device. There are four types of authentication used:

2.5.14 Data Overwrite Security (DOS)

This function can overwrite copy, print and scan data that is stored on the internal hard drive by writing over the latent image with random sequences of 1’s and 0’s.

This prevents reconstruction of stored data.

2.5.15 HDD Encryption

This function can encrypt HDD data for data theft. Even if the HDD is stolen, data will not be disclosed.

2.5.16 S/MINE for Scan to E-Mail

S/MIME (Secure / Multipurpose Internet Mail Extensions) is a standard for public key encryption and signing of e-mail encapsulated in MIME. (MIME: Multipurpose Internet Mail Extensions is an Internet Standard that extends the format of e-mail to support text in character sets other than US-ASCII, non-text attachments, multi-part message bodies, and header information in non-ASCII character sets.)

This function can encrypt confidential data transmitted by scan to e-mail for data protection against wiretapping.

2.5.17 IPSec

IPsec (IP security) is a suite of protocols for securing Internet Protocol (IP) communications by authenticating and/or encrypting each IP packet in a data stream. IPsec also includes protocols for cryptographic key establishment.

Organisations that require high levels of security have networks with IPsec for data protection. Those organisations require printing devices with IPsec.

2.5.18 Locked Print Password Encryption

There is vulnerability in locked print as the password is in clear text.

With password encryption, the password is encrypted at this MFP and strengthens the security level for data transmission.

2.5.19 Encrypt Address Book

This function can encrypt the users’ data which is registered in the machine’s address book. This protects the address book data even if the built in HDD is removed, disposed or stolen.

2.5.20 SSL Communication

This function can establish encrypted communication by SSL to protect data from interception, analysis and tampering with:

• SSL printing (IPP over SSL)

• Connecting with MFP via Web Image Monitor

• Connecting with MFP by Scan Router/Smart Device Monitor for Admin/Desk Top Binder.

2.5.21 SNMPv3

This function can establish an encrypted communication environment via SNMPv3 when making machine settings by Smart Device Monitor for Admin.

2.5.22 Network Protocol On/Off

This function can close the specific network protocol such as SNMP and FTP through the mainframe or device management utilities (WebImageMonitor /

SmartDeviceMonitor) to prevent the following the threats;

• Destruction, corruption, and modification of the file system

• Possibility of acting as a server for relaying viruses

• Possibility of successful DoS (Denial of Service) Attack

• Theft of user name or password

2.5.23 Restriction of Destination Use

This function can restrict the direct entry of E-mail address to prevent from sending documents to destinations not registered in the address book.

2.6

Scanner

The scanning function is rapidly becoming critical in the wide format arena. The MP W 5100 / 7140 brings an advanced selection of ‘Scan-to’ functions to the market such as:

• Scan to Email

• Scan to Folder

• Scan to URL

• Network TWAIN scan

To support this, Ricoh will incorporate the following specifications of the embedded controller.

2.6.1 Preview Transmission

Previewing scanned documents before transmission will be provided with superb usability and improvement in data input accuracy. Confidential documents should be treated with special care when users send via scan to function and so the preview with the W VGA LCD will assist customers’ perform a final check before the transmission.

2.6.2 PDF Encryption

When transmitting files on the network, users are always facing a danger of spying or wiretapping. In recent years, the leakage of all kind of information has a possibility to give serious damage for company data integrity. As a solution for the protection of confidential information, the MP W5100 / 7140 can offer an “Encrypted PDF transmission” function.

Documents are scanned securely via PDF data with encryption, so that on distribution, the data is completely protected.

Users can send PDF data safety through the below actions:

• Data encryption and set password to open file

• Set master password to manage the permissions for the file

2.6.3 Automatic File Naming & Number Setting

This function enables users to set 4digit / 8digit # and attach into a scanned file name. When multiple pages are scanned, the reference # will be automatically attached. When the reference starts #, sequential file # are attached to the scanned page order.

• Digits 4digit (can change the digits via UP mode)

• File format Single Page TIFF/JPEG/PDF

• Valid Application Scan to E-mail/Scan to Folder

2.6.4 Scan to URL

Ricoh offers an efficient transmission workflow by utilising the HDD of MFP.

Instead of attaching the scanned document file with an e-mail, the MFP will store the scanned digital data in the HDD and send only the URL address of the data as E-mail attachment. Recipients shall view and download only the document(s) they need via a Web browser.

2.6.5 Scan to NCP

The 5100 / 7140 can scan in Netware environments via NCP.

2.6.6 Enhanced Scanning

The MP W 5100 / 7140 is targeted to be compatible with the latest version of Global Scan and eCopy ScanStation Suite (at the time of launch).

2.6.7 Improved Image Quality

To support the colour scanning facility, the two devices have been equipped with a one line colour sensor. This is to reduce the risk of image blur, uneven colour and

2.7.1 Web Image Monitor

Web Image Monitor is a Ricoh application that is bundled with all supported devices. It provides excellent remote device diagnostics in addition to:

• Search Document Server

• Re-Print

• View / Edit print jobs

• Check configuration

• Obtain device data

• Administration management

2.7.2 DeskTopBinder Lite

This product is a client software that enables users to easily distribute, manage, and retrieve documents from Ricoh’s MFPs, Laser Printers, Scanners, Faxes, Digital Cameras and Document Management Servers.

Furthermore, users can combine documents created by different applications and print them out as a single document. Additional functions include the ability to monitor the status of devices, parallel printing, and print notification.

If the end user wishes to convert documents into PDF or converting scanned

documents into searchable text files then they must consider the Professional version.

2.7.3 Web SmartDevice Monitor (WSDM)

Every print job should pass through server PC to the MP W5100/7140. The server PC must have PLOTBASE and the server software installed.

PLOTBASE is server software which handles all print jobs, monitor job status & printer status, edit and re-print jobs.

PLOTBASE has an “Auto mode” which passes print job automatically to the device and “Manual Mode” which holds the job at the server awaiting the user to submit to the engine.

4.1.2 Client

PLOTCLIENT WIN:

This is the main client software which enables users to print files without application software in which the files were designed. This client is designed to collect print files with different characteristics to appear as one job at PLOTBASE.

4.1.3 WINPRINT:

This is the Windows printer driver which is used to print through windows applications.

4.1.4 PLOTCLIENT HDI/ADI:

The AutoCAD printer driver which enables users to print directly from AutoCAD.

It is also possible to print from the HDI/ADI driver to PLOTCLIENT WIN to collect the files within one job.

Walk Up

This segment is categorised with a low and mid volume / speed need whereby such devices are either the main machine in the office space or they can be a convenience device on site open for all to access. Users in this decentralised environment are key decision makers in the wide format market and the typical trends that are seen here involve the outsourcing of the print / copy work, a greater demand for the benefits digital technology can bring (especially regarding line accuracy) and those situations that already have an inkjet plotter but also need to supplement this with a more productive and cost effective mono device.

The most effective device for this scenario is the MP W2400.

For the Mid end of the segment, trends have been towards a scaling down from a heavier duty device to a smaller, more compact solution that is more cost effective. With the improvement of embedded controllers and scanning techniques, the MP W3600 lends itself perfectly to this, supplemented by the MP W5100 / 7140 that can act as a very solid replacement device for those customers who are not looking to downsize or still require the longevity and colour scanning they offer.

CRD / Pay for Print

This centralised environment will traditionally have other high volume devices installed as part of a workflow. Demands of this arena are such that submission should be made simple, yet sophisticated, enough to account for abnormal formats, productivity should be fast and maintained over a significant volume and scanning (with editing) must be catered for.

The MP W 5100 and 7140 are ideally suited to this environment, where value added options such as online folding and colour scanning are sought.

10.1 Competition

Ricoh compete in the Mono Wide Format arena with Oce, Xerox and KIP.

Oce

Oce have boasted a domination of the Wide Format market since the late 1980’s and 1990’s. With a robust and strong brand / portfolio, Oce continue to show significant presence in the Wide Format areas (CAD and Graphics).

Oce, albeit, strong with branding and customer awareness, have failed to keep pace with the technical development, led by Ricoh. The proposition of having a separate unit for scanning and printing / plotting has proven unpopular in the decentralised environments within the UK. Now showing concentration in the colour sphere, Oce are moving further into the Graphic marketplace following a significant launch at DRUPA 2008 with the ColourWave product.

KIP

KIP are seen as Wide Format specialists in the manufacturing supply chain and have been very successful with their wide range spanning over two decades. The large portfolio has evolved to become very popular with the decentralised environments (KIP 3000) and still retain a strong presence in the Pay for Print / InPlant marketplace with the KIP 7000.

With embedded colour scanning and an all in one footprint, the KIP models are continuing to grow in popularity. Although when directly compared to the Ricoh engine, the KIP does fall down, the overall package is attractive from CPP through to toner efficiency. Now KIP are also attacking the Colour CAD / Graphic marketplace with the introduction of the KIP 80, which is a high end colour production device, launched in EMEA at DRUPA 2008.

Xerox

Traditionally very strong in the Wide Format arena, Xerox has rebuilt the portfolio since 2006 to reinvigorate the proposition. Spearheaded by the low volume 6204, the Xerox popularity has grown once again, based on the dominance held during the 1980’s. With a portfolio than spans the mono and colour marketplace, Xerox devices also benefit from an all in one footprint (as with Ricoh) with an appealing range of finishing options.
