Introduction

This document is a supplement to the Cryoserver v6 User Guide and is intended for Cryoserver Administrators to transcribe the modifications in the v6.x.x releases.

Cryoserver is an email archive, storing in real time all the email in/out and around the organisation in a secure and tamper evident way.

Searching

There are now three search methods instead of two previously; Standard, Advanced and Outlook search.

All methods enable organisations to generate a list of emails that are ranked according to how closely they match the search criteria:

 Standard. Simple searches

Standard Searches

When you log in to Cryoserver, the Search tab is selected by default. Standard searches are used to retrieve email where you know any of these details:

 Who it was from

 Who it was addressed to

 Any words in the subject or body

 Approximate start and end dates when it was sent or received  File names of attachments

 Any words in the name or body of the attachments you are looking for  Search all correspondence to and from an address.

Use as many search criteria as possible to achieve the most accurate results. The more criteria you enter, the closer the results will match what you are looking for.

Search Results

When a search is made the results are now displayed using the whole page without wasted space at the top of the results. There is now a breadcrumb tab to return to the initial search criteria. A user can specify how many results are displayed on a single page rather than being restricted to 10 results per page, as well as specifying how much of the email preview is displayed under preferences.

When an email is displayed a user can quickly navigate using the the arrows to move to the next result via the Action Bar. Users can also reply to emails directly from the archive as well as re-injecting emails into their inbox.

Search History

Just like your web browser history, Cryoserver now offers a similar history facility of Cryoserver searches enabling to replay a search. Complex searches & regular searches can be reloaded.

An alternative interface is available to Active Directory/Basic Users where the search interface resembles an Outlook style interface. The UI aims to presents the archive results in a familiar Outlook style.

To the right of the preview screen there is an Action Bar:

= Full Search – Click on the Cryoserver Blue Box Logo, will open up the Cryoserver Standard Full Search interface in a pop up Window.

 - Navigate back one result  - Navigate forward one result

 - 2nd message of 36. To leap to the 33rd message, type in 33 and press Enter  - Reply to the email straight from the archive. This will restore a truncated message and

use your local default mail client to reply to the sender of the email.

 - Reply to all – this will restore a truncated message and use your local default mail client to reply to all of the senders & recipients of the email.

 - Show header – this will show/hide the header information of the email:

 - Convert the email to PDF

 - Download the email as an .EML file. If you are using Outlook 2010, this will open directly into your Outlook client.

Older Outlooks can open .EMLs

Clientless stubbing

Clientless stubbing

Cryoserver now offers clientless stubbing. Removing attachments from the original email and replacing a CryoLink to the Attachment direct in the archive. This functionality helps reduce the Exchange store size.

Business Continuity Mode

When the mail server has failed, Cryoserver can be enabled into Business Continuity Mode. This enables for users to Reply and Compose New Messages directly through Cryoserver.

When in Business Continuity mode, new Action icons appear which enables users to:  Compose New Message

Create Shortcut in Outlook

Once a search has been saved, you can now create a Shortcut in Outlook to this defined Saved Search Criteria. This functionality is considered to be similar to auto-filing emails. Please note this will only work with Outlook mail clients.

8. Whenever you click on Pizza, will shortcut to the search in Cryoserver:

The aim of this is to minimise the need for users to have to file emails into folders.

Please note: For this functionality to work smoothly, Single Sign On needs to be licensed and enabled

Privileged User Export

Privileged User Export

Privileged users can Bulk Export emails in two different formats:

Standard Email format – limited information is exported in reference to the header information

Enveloped Wrapped– full header information is exported including expanded distribution lists

Export Type:

 Backend – Backend exports can be completed much faster (x30) and should be used if exports are large, i.e. over 100MB

 Fronted – Frontend exports are reliant on the download speeds via a web browser and can be slow. Frontend exports should only be used if exports are a few MB.

Preserve Sort Order:

Maintain the order of the export to the order on the results list in the Cryoserver UI.

Using the Cryoserver PSTCreator, we can convert the zip files containing the .EMLs into a PST format. Requires the Cryoserver PSTCreator module to be licensed.

As new point releases are made available of Cryoserver, we will issue further release notes and amending the release notes table only in this document.
