Release Notes 4.1

The purpose of this Release Note is to confirm changes that have been made to the system in

version 4.1

1. Menu and Start Page Changes

Main Menu changes

The key has undergone a refresh of the main interface screens to improve the visual appearance of the

product.

The main menu options remain the same, but the look and feel has changed. Clicking on a menu item e.g. ‘Client’, ‘Admin’ etc. will take the user to the main screen for that section, and expand the menu to display all options. Selecting another menu item will take the user to the appropriate screen, expand all menu options for that section, and close the options displayed under the previous menu item.

This process means that multiple menus will not be ‘open’ at the same time. However, it is still possible to expand multiple menu items by clicking on the small triangle* next to the menu item label.

* The triangle is displayed as a ‘+’ or ‘-‘ in Windows XP, although the functionality remains the same.

Start Menu changes

The main Start Page of the screen has undergone a transformation to offer greater functionality and customisation to different Key users.

The primary change is the introduction of support for ‘Widgets’. These are self-contained ‘windows’ that will appear on the Start Page according to the customisation options selected by either the user, a firm or Sesame (see above for example screen shot).

By default, the widgets selected will reflect the data that was displayed on the Start Page prior to version 4.1. Detailed below are the main enhancements that have been made:

2. Sales Closure enhancements

A number of enhancements have been made to the Sales Closure process to make the process more efficient. The benefit of closing products and sales at the end of an advice process is that when a new sale is created the new Fact Find will contain correct details of the client’s position saving time in writing any new business. The new changes include:

1) the Status of any Closed Product can now be updated from the Product screen without having to reopen the product

2) A new Close Sale button is now located on the Client > Products screen as well as in the Client > Fact Find screen. This will make it easier to close sales without the need to navigate to another part of the system

3) When closing a sale the window that is displayed will now show existing plans as well as new business products created during the current sale. New Business products can be updated in the normal way by selecting the Edit button however the status of existing plans can be updated e.g. Current to Redeemed, without the need to open and edit the product.

4) When selecting the status of Research Only the user will now be prompted to Close the product avoiding the need to close the product via the Worklist tab

4. Mortgage Fact Find

Template Prompts

The Mortgage Fact Find has been improved to include additional prompts for completion of the supplementary questionnaires. The display of the buttons is largely conditioned on answers made to questions in the Fact Find although some buttons are permanent. The template prompts are as follows: • Fact Find Print – will print preview the relevant Fact Find based on the product selection at the top of

the screen

• DI Fact Find Print – will print preview the Core DI Fact Find and populate any common data that has been input as part of the mortgage fact find. Additional information will have to be manually input into the word document once created

• BTL Fact Find Print – will be displayed if Loan Purpose = Buy to Let. Will print preview the Buy to Let Fact Find and populate any common data that has been input as part of the mortgage fact find. Additional information will have to be manually input into the word document once created

• Into Retirement – will be displayed if the mortgage term is deemed to take the client into retirement based on their current age. Opens the Term Past Retirement Questionnaire for completion

• Proof of Income – enable Proof of Income documentation to be scanned or added from the Fact Find avoiding the need to navigate to the Client > Documents area

• Verify Identity – opens the standard Verification of Identity forms for completion • Customer Due Diligence - opens the standard CDD forms for completion

• Remortgage Comparison – will be displayed if Loan Purpose = Remortgage. Opens the Remortgage Comparison form for completion

NB: Once a button is clicked and the template opened, amended as appropriate and closed the red cross will change to a green tick. This will simply confirm that the button has been activated and does not signify compliant completion of the form. In addition where forms are required for each client the process should be followed for each client even though the button may have a green tick displayed.

Budget Planner

Two new questions have been into the mortgage fact find to ensure affordability is correctly calculated where existing rental commitments and mortgage payments are to continue following any new

recommendation

• On the Client Cont. tab a new question has been added “Are you leaving rental accommodation when the new mortgage completes?” Where Yes is selected the rental amount will be carried into the Budget Planner as an existing expense only and will be available within the Maximum Budget Available to spend on the future mortgage. Where No is selected the rental amount will be carried into the Budget Planner as an existing and future expense and will not be available within the Maximum Budget Available

• On the Current Mortgage tab a new question has been added “To be redeemed”. Where Yes is selected the Monthly Payment will be carried into the Budget Planner as an existing expense only and will be available within the Maximum Budget Available to spend on the future mortgage. Where No is selected the mortgage payment will be carried into the Budget Planner as an existing and future expense and will not be available within the Maximum Budget Available

5. Protection / GI Fact Find – Income Protection and PPI questions

The existing Income Protection question has been amended within the Cover Required tab and a new question added to reflect the different products that may be recommended depending on whether the client has a short or long term need. Previously the Income and Protection and PPI tabs were displayed in all cases.

Where a long term need is identified this will now display only the Income Protection tab, where a short term need is identified this will display the PPI tab. The two tabs can still be selected by answering Yes to both questions.

5. Lead Management Changes

Insurance Leads

The current leads functionality has been expanded to deliver the first phase of insurance lead recording. To facilitate this, when creating a Client as a Lead a new tab called Insurance Information will be displayed within the Lead Details tab. The existing Information tab has been renamed Mortgage

Information.

When the Lead is converted to a Client the Insurance lead information will be collated into a single note and will not pre-populate into the Cover required section of the Insurance Fact Find. Client contact details however will populate into the relevant section of the core fact find.

Sourcing From Leads

Mortgage sourcing can now be carried out from the Mortgage Information tab within Lead Details. This functionality is limited due to the status of the client as a lead and will allow a mortgage quote to be produced on an indicative basis however no data or documentation will be returned to The Key. A compliant quote should be obtained via the Mortgage Sourcing button within the Fact Find following conversion of the Lead to a Client

6. Other Changes

1. Trading Style option – a new Trading Style field has been created which allows Sesame to record a Trading Style against a firm name as well as the official “FSA” name. The Trading style name will be displayed instead of the FSA name on any relevant documentation e.g. Data Protection, Fact Find, Verification of Identityy.

2. Tracker Mortgage question – a new question has been added to the Preferences section of the mortgage fact find to record the clients need for a Tracker mortgage. The question reads “The interest rate on the mortgage moves in line with an external index such as the Bank of England base rate rather than the lender’s own variable rate (known as a ‘tracker’)

3. Document Category – A new Category column descriptor has been added to the Documents area to differentiate types of document stored. The Category has been added to any Templates stored centrally in the Key however where any templates have been created locally the Category can be set by amending the Template in Setup > Letters and selecting Document Settings. When adding any documents manually the Category can be selected as part of the process. Documents returned as part of an integration will be categorised as Integration Documents

4. Moving Documents - This new functionality enables documents currently associated with a particular product or sale to be moved to another product or sale. The functionality is accessed through the use of a new Move button in the Client and Product Documents area. Clicking on the

Move button will display the current association of the document, and using the dropdown options will

enable a different Product or Sale to be selected for the move. Once the new association for the document has been selected, click OK to confirm the move.

5. Commissions > Amount Due - The main change to the Commissions > Amounts Due area is the addition of a new tab called Renewal/Regular which collates all commission items where the

Renewal check box has been ticked in Product Details > Commission. The Renewal/Regular tab

works in the same way as the Outstanding tab where commission amounts will only be displayed when a Completed or Start Date have been entered against a product in the Product area.

6. PPI Sales Alerts - In response to new obligations relating to the selling of PPI (in particular when in association with a loan) an alert has been added to the Product area of the Key to highlight when the sale of a PPI contract may be in breach of regulations. The alert will make a check whenever an application date is entered against a PPI product and will display a warning if this date is within 7 days of the mortgage offer date (if one is present) or the illustration date (assumed to be the same date as when the product was created. The prompt will enable the user to continue with the product if required by selecting Yes and is intended as a prompt rather than an alert to prevent further action

New Reports - Two new reporting elements have been added within the Reports screen. Click on

The two reports (from Report Selection) are Business Overview and Provider Spread. Select the appropriate report and other parameters as required then Run Report.

Business Overview - displays a series of business figures covering both Mortgage and Insurance

data

Provider Spread - displays data of providers used for both Mortgage and Insurance cases in both a

tabular and graphical format

8. User Document Storage - Current Key functionality allows for documentation to be stored against any client record. This has been updated in order to allow documentation to be stored against a user profile as well. This has been achieved through the creation of a new tab in the User Details record called Documents.

9. Other enhancements

o Product Details – Added Product Transfer to the list of features on Product Details >

Mortgage Details > Main

o Email – it is now possible to email non client contacts, e.g. Introducers. When sending an email from the Documents area the recipient box has been expanded to include any Contacts which have an email address entered

o Client Search – The options available when customising the search results screen have been expanded to include the Introducer Branch

o Table Display - The display of tabular data (e.g. the client list) has been improved to provide alternate shading per row for increased clarity

o Multiple Status Selection in Pipeline - New functionality has been added to enable multiple statuses to be selected when filtering the Pipeline. The box will appear empty unless a Type is selected, upon which time the Status box will be populated with the status options according to the product type

o Review Screen Status Selection - A new Status Selection box has been introduced. By default, all products due for review will be shown but the list can now be filtered by status by ticking the appropriate options
