Changing  your  Password  

IMPORTANT  !    Please  make  sure  you  have  reviewed  these  instructions  before  proceeding  with  your  

password  change.  The  goal  of  this  document  is  to  guide  you  through  changing  your  password  and  updating   it  on  all  of  your  devices.  This  process  will  take  about  15  -­‐  35  minutes  depending  on  how  many  devices  you   use.  Please  set  aside  enough  time  to  complete  the  process  from  start  to  finish.  The  steps  will  involve   restarting  your  computer  and  changing  settings  on  your  devices.

Password  Guidelines  

• Passwords  are  case-­‐sensitive  

• Must  be  eight  (8)  characters  long  and  non-­‐trivial  (not  easy  to  guess)  

• Must  contain  at  least  one  (1)  upper  case  letter,  one  (1)  lower  case  letter  and  one  (1)  numerical  digit   • Must  NOT  be  equal  to  a  user’s  first  name  or  last  name  

• Must  NOT  contain  a  portion  of  the  UNIX/user  ID  longer  than  four  (4)  characters   • Must  NOT  contain  the  same  character  consecutively  more  than  four  (4)  times  

• Must  NOT  contain  the  words  “Roche”,  “Chugai”,  “Genentech”  or  the  name  of  any  other  Roche-­‐owned  legal   entity  

• Must  NOT  contain  Roche,  Chugai  or  Genentech  product  names  or  generic  names   • Must  be  different  from  your  previous  5  passwords  

• Must  NOT  contain  special  characters  like  *,  &,  %,  #,  ^,  $,  @  etc.   • Password  lifetime  is  a  maximum  of  one  (1)  year

Step  1  -­‐  Prep  work  

Gather Devices

• Gather  all  of  your  Genentech/Roche  devices  

• This  includes  your  Desktop  computer,  Laptop,  iPhone,  iPad,  etc.  

Prepare Mobile Devices - iPhone/iPad

• Unlock  your  device  so  you  can  see  the  home  screen  

• Verify  you  have  internet  access  (Connect  to  WiFi  or  cellular)  

Prepare Computer – Windows / Mac

• Log  out  of  any  shared  computers  you  may  use  (Lab  systems,  Remote  Desktop  sessions,  etc.)   • If  you’re  on  campus,  we  recommended  that  you  connect  to  the  network  via  an  Ethernet  cable  if  

possible  

• Remote  employees  should  connect  to  gConnect  

• Close  all  programs  and  applications  except  for  a  single  web  browser  window.  This  includes  any  other   tabs  you  may  have  open  within  that  window  -­‐  email,  calendar,  or  application  sites.  

 

Step  2  –  Change  your  Password  

1. Launch  a  web  browser  on  your  computer  and  go  to  pwcw.gene.com    

2.  You  will  be  directed  to  the  Quick  Access  Sign  On  screen  shown  below.  Enter  your  User  Name  and   current  password,  then  select  the  Log  In  button.  If  you’re  unable  to  log  in,  please  verify  you  are  using   the  correct  User  Name  and  current  password,  wait  15  minutes,  and  try  again.  If  you  are  still  unable  to   log  in,  your  password  may  have  expired.

3. You  will  then  be  directed  to  a  SIMS-­‐like  website  to  change  your  password.    Pay  special  attention  to  the   Password  Guidelines.    If  the  new  password  you’ve  chosen  is  not  being  accepted,  please  review  all  of   the  rules  and  try  again  with  a  unique  and  entirely  different  password.  Changing  a  single  character   within  the  last  password  you  attempted  will  not  work,  so  please  try  a  completely  new  password.  

  4. Please  note  that  you  will  need  to  read  the  Electronic  Signature  Policy  and  check  the  box  verifying  that   you  have  read  it.  Once  you’ve  checked  the  box,  click  Submit.  Do  not  click  Submit  more  than  once  as  it   may  take  a  few  minutes  for  the  change  to  complete.  

 

5. Once  your  password  change  is  completed,  a  notification  window  will  appear  informing  you  that  “your   password  has  been  successfully  changed”.

6. You  have  now  changed  your  password.  Please  make  sure  you  commit  it  to  memory,  but  do  not  share  it   with  others  or  write  it  down.  

 

Step  3  –  Synchronizing  your  Password  

These  steps  only  apply  to  Genentech/Roche  issued  and  managed  equipment.  

Mobile Devices – iPhone/iPad

Your  new  password  will  be  sent  to  your  device  automatically.    This  can  take  up  to  5  minutes.    Have  your  device   powered  on,  unlocked  (not  at  passcode  screen)  and  online  (WiFi  or  Cellular).  

• Make  a  quick  change  to  your  email  account       • Tap  on  the  Settings  icon      

• Tap  on  Mail,  Contacts,  Calendars      

• Locate  and  select  the  "GMail  via  IMAP"  section       • Make  sure  you  toggle  Mail  OFF  

• Press  the  Home  button  and  open  Mail   • Confirm  you  are  receiving  new  mail

Windows Computers

This  procedure  is  only  for  corporate  computers  issued  to  individuals.  This  does  not  apply  to  shared  computers,   personal  computers  or  some  lab  computers    

• If  you’re  on  campus,  make  sure  your  computer  is  connected  to  the  corporate  network       • If  you’re  offsite,  log  into  gConnect    

1. Press  Control+Alt+Delete  on  your  keyboard  and  select  "Lock  this  computer"       2. Then  select  Unlock  and  enter  your  NEW  password      

3. Your  new  password  is  now  updated  on  your  computer   4. Click  the  Start  button  and  choose  Reboot      

5. Once  your  computer  has  finished  rebooting,  log  in  with  your  UNIX/user  ID  and  NEW  password  

 

Macintosh computers

This  procedure  is  only  for  corporate  computers  issued  to  individuals.  This  does  not  apply  to  shared  computers,   personal  computers  or  some  lab  computers.  

• PasswordUtility,  a  program  designed  by  Genentech/Roche,  will  assist  you  with  synchronizing  your   locally  cached  Mac  password  and  updating  your  password  within  some  of  your  applications.    

1. Click  on  the  Spotlight  icon  (the  magnifying  glass  in  the  upper  right  hand  corner  of  your  desktop).  Type  

“Password  Utility”  into  the  search  box.  

 

2. Enter  your  UNIX/user  ID  and  previous  password.  After  clicking  OK,  the  PasswordUtility  should  launch.   Note:  If  your  previous  password  does  not  work,  try  using  your  new  password  for  this  step.

3. Enter  your  UNIX/user  ID  again  and  click  Continue  

 

4. You  will  then  be  prompted  to  enter  your  OLD  password  in  the  pop-­‐up  window  shown  below.    Note:    

You  can  hide  your  password  on  the  screen  by  unchecking  the  “Show  Password”  option.    Click  Continue.

6. Upon  completion,  you’ll  encounter  a  confirmation  window.    If  an  issue  occurred  during  any  step  of  this  

process,  you  will  see  red  warnings  instead  of  green  checkmarks.    Click  OK  when  complete.  

     

 

You  have  completed  the  password  change  process.    

 

Step  4  –  Troubleshooting  

At  this  point  it  is  recommended  that  you  test  your  new  password  by  taking  the  following  actions:   • Log  into  the  core  applications  you  use  on  a  day-­‐to-­‐day  basis  

• Access  your  department  share  via  \\dnafiles1   • Log  into  CHRIS

• If  you  cannot  log  in,  try  the  following  steps:  

 

1. Click  the  here  link,  which  will  redirect  you  to  the  Genentech-­‐Roche  Password  Synchronization  Form  

  2. Log  in  with  your  UNIX/user  ID  and  “new”  password

4. Click  Submit  

5. Try  logging  back  in  to  CHRIS
