Apartment Association Summary View
To view your associations summary, choose the “New! Apartment Association” button once you’ve logged in.
Once logged in, you can always go to this page by clicking on the “Change Territory” button at the top left of every page, and then choosing the “New! Apartment Association” button.

Active Listings: Actively being updated properties. Live data. 25 workday cycle update
Condo or Individually Owned: Townhomes, Duplexes, Condo for sale or lease, and sometimes junk Less than 50 units: Properties which contain less than 50 units
Senior or Disabled Assisted: Assisted living or government disabled which include food plans, etc within rent
Rent based on Income: HUD, as well as, rent based on income
Refuse to Update: Verbally asked us not to call; however, we will try other methods to update.
Onsite Student Housing: Dorms owned and managed by the university. Not multifamily student housing
Military Housing: Long term management leases (30 years) thru the US government. Add them as we find them
Property Closed: Demolished, bankrupt, etc. Include temporary lease-downs and closings, but identified to be torn down

Search Database
Click the Contacts icon to search for Regionals, Executives, et. in your association area
Click the Properties icon to search for properties or Property Managers in your association area Click the Management Companies icon to look for Management Companies in your association area Click the Owners icon to see Owners of properties in your association area
Choosing Contacts, Properties or Management Companies allows you to filter your
search to have both members and non-members show up in your restuls, or just
members or just non-members.

Choose New Construction to view what’s in the pipeline for your association area
Filter New Construction by: currently planned, on hold, in research, under construction, under construction but leasing, and lease-ups
Management Company Acitivty shows you Management Companies in your association area, including gains and losses of properties from their portfolios
Territory Changes shows you changes ALN has made to our database over the last day. week. two weeks, and 30 days to Managers (on-site), Area Supervisors, Properties that changes Management Companies, Property Names changes and Ownership changes. You can also opt in to receive these changes every Monday morning via email!

Membership and Non-Membership
The Affiliate Program allows you to change Properties and Management Companies
to members or non-members of your association. When you search Properties or
Management Companies either by only members or both members AND
non-members, you’ll notice that there are green plus signs next to some of the records.
To change someone from a non-member to a member, simply click the
green plus sign
to ADD them
. The listing will turn bold blue and you will see the minus sign. Clicking
the
red minus sign
turns it back to a green plus.
Tip:
Adding a Management Company as a member will automatically add their
Contacts and Properties as members, allowing you to find Contacts by membership!
Tip:
If you search non-members only and change a Property or Management Company
to a member by clicking the green plus, it will disappear from your list because it is
now a member (and you searched only non-members)
Export to Excel
• Search Contacts, Properties or Management Companies, using the membership status filter at the bottom of the search page as seen in the below screenshot
• Click the Export to Excel button at the top of your results
• Import your Excel list into any customer relationship management system or email blasting service
Email Blasts - What You Should Know
• If you are not using a Bulk Email provider (SendGrid, SalesForce, Mail Chimp, etc.) and wish to BCC the emails you’ve exported, please note that BCC’ing large amounts of emails is not recommended. If you have 1-10 emails this may not cause an issue, but it is recommended that you use a company capable of sending bulk emails
• When you send bulk emails you may get bounces from your email list. Some company’s ISP (Internet Service Providers) block messages that it considers to be spam based on many different criteria, including detecting a bulk email message, “spam words,” and “spam phrases.”
• ALN highly recommends you utilize any Bulk Email provider or CRM (Customer Relationship Management) program capable of sending large quantities of emails

Searching Contacts
• Try searching with less. For example, for the company name search for Lincoln instead of Lincoln Property Company
• Search for a person by last name if their first name can be spelled multiple ways • Mix and Match! Search a company name and a specific job title to shorten your search • Click just a job title to see all contacts who have that title
• If you click on an individual contact then you’ll see their contact page. On this page you’ll see an icon to the right of their general contact info. Clicking this icon will bring up their V-Card, which you can then save to your email provider contact list
Like to connect with people? If you download an individual’s V-Card and have Outlook 2007, 2010, or 2013, there’s a plugin called Outlook Social Connector (FREE!) which will search their email address for a LinkedIn or
Facebook account associated with that address (you must connect your Facebook/LinkedIn account)

Searching Properties
• Try Searching with less. For example, search for Gramercy instead of Gramercy Oaks
• Other Search Options - Stremline your search by entering the Number of Units range, Year Built, or an Occupancy range in the right column
• Additionally, properties can be searched using the Membership filter, allowing you to target members for announcements or non-members for prospecting
• You can further narrow down your search by choosing a specific ALN Market (Atlanta, for example) or any state, city, zip code, county, or Management Company included in your association area
• Be aware of the time stamp of last update noted on reports. 1/10/1970 represents a property found and newly entered into database by our research teams
Include in Results Only These Types Exclude in Results
Includes all research listings, which may include duplicates and some listings that are not apartment communities
(excluded by default)

Searching Management Companies
• Your Management Company search begins by choosing criteria for your results. This can be by an ALN Market, a company, a property address, property city, the state, zip, county, and narrowed down by number of properties, units, average number of units, or Membership status.
• Choose to search Member and member management companies, only Members or only Non-Members
• Reminder: All geographical searches will be limited to your association area

Territory Changes
• Changes reported in our database are tabbed into five sections: Manager, Area Supervisor, Management Company, Property Name, and Ownership
• By default you’ll see Manager Changes over the last seven days
• Each tab can be filtered by the past 24 hours, seven days, fourteen days, or thirty days • You can export the changes into Excel by clicking the Excel icon at the top right
• The Date Reported on the far right column reflects the date the information was changed in ALN’s data-base, not necessarily the date the change actually happened

By default the New Construction Report is sorted alphabetically by city, but you can filter,

You can change any Property or Management Company to be marked as a member or as a non-member.

Properties Management Companies
I need to send a message to all Property Managers and Area Supervisors who are members about upcoming classes. How do I do that?
These are Contacts, so begin by clicking on the Contacts icon from the home page. In Contact search, choose the Job Title(s) you want to target and then choose the “Members Only” option before clicking on “Search.” From these results you can export the information into Excel by clicking the “Export to Excel” button at the top of the results page.

Membership Drive is here! I need to contact all properties who are not members and
export them into Excel. How do I do that?
Click on Properties from the home page. Then choose the “Non-Members Only” button at the bottom of the search page (see screenshot). After you have your results click on the “Export to Excel” button at the top left of the results page.

A:Q: The list of properties or Management Companies incorrectly says some are Members when they are not. How do I update Membership status?
A: On any Property or Management Company that shows up in your search restuls you’ll see a green plus sign or a rend minus sign. Click the green plus sign to ADD as a Member, or click the red minus sign to REMOVE as a Member.
