We know that what’s right for one business isn’t necessarily the best for another. This is why we offer three levels of implementation, allowing you to choose the approach that best suits your needs.

However large or small, each project follows four key phases, based on a methodology which is designed to ensure a clear understanding of the scope, timescales, responsibilities and objectives of any project.

Post-implementation support We look to develop long-term relationships with you to ensure we continue to understand your organisation’s needs as they change. Following your implementation, we will assign an Account Manager who will help you make the most of your new solution and advise you of new developments and help you with project suggestions, licencing, training and consultancy.

Helpdesk support

General assistance and technical support is provided by highly experienced people who understand your needs. Support is provided by telephone, email or through remote access.

Upgrades

SelectHR

By providing tools not only for your HR team but also

for your applicants, employees and decision-makers, we

aim to streamline the communication, collection and

Entirely browser-based, this .NET solution provides

powerful functionality including: workflow, self-service

and learning & development and will fit with your own

processes and ways of working.

However you use SelectHR, we’re confident you’ll be

met with flexible and powerful systems that will make

your HR operations more efficient.

SelectHR will support you through every aspect of the

SelectHR enables you to hold all employee information in one place. This ensures that it can be accessed quickly and that you can report on any aspect of it. For example, you can report on the following:

• Personal details (including diversity, work permits, employment checks)

• Job and salary history (including multiple jobs, salary scales, bands)

• Employment details (including exit interviews and terms & conditions)

• Disciplinary and grievance (including stage tracking and documents)

• Skills and competencies (linked with training and appraisals)

• Absence and holidays (including work patterns, LOS, part-time calculations)

New starters

Optional integration with SelectPay further simplifies the administrative process. For example, on receiving instructions from HR for a new starter, the employees’ details are transferred and their previous pay information (P45, P46) entered as part of a process

by your payroll team. Updating details

Your HR department can also update employee details (for example, names, addresses, bank details and salary changes) from within SelectHR. For security, new employee data and update requests are automatically placed into a ‘holding pen’ for authorisation by your payroll team. If these changes are rejected for any reason, then your HR team will receive automatic notification so that they can make the required amendments.

Vacancies can be requested, authorised and created with ease using workflows to guide users through your processes. Should you choose to maximise the technology, vacancies can be

automatically uploaded to your website so applicants can apply online, thereby saving you time, money and resource. Smooth transition for successful candidates is achieved through pre-employment checks, reminders and notifications. Terms and conditions, salary and job details, pre-calculated holiday entitlement and any other information can be used to

HR systems no longer have to be standalone storage areas for

information that can only be accessed by HR staff. Today’s technology enables us to re-engineer our HR processes and share information across our organisations. With staff able to provide their personal data online, access their own documents, payslips, P60s,

request leave and training and prepare for their appraisals, HR are left with the time and information to influence strategic change.

Self-service also helps with learning and development, enabling your staff to check courses that are on offer, request attendance, log their own training activities and CPD. Personalised view

As SelectHR is browser based, you can choose to give access to anyone in your organisation, 24-7. Security

options enable you to specify what you want them to be able to see and do. SelectHR can be personalised to give each type of user the information and options that are relevant to them.

For example, managers accessing self-service can see key performance indicators relating to their department’s turnover, sickness, headcount or budget spend, while employees can see how much holiday they have remaining, record absence, request training; it’s up to you! Workflow

SelectHR’s workflow tools allow you to build processes into the system to cater for activities such as adding new employees, booking and approving holiday etc. Many of these workflows are provided as standard, however, you have the flexibility to tailor them to reflect your own processes and to create additional workflows where required.

Based upon the new WWF (Windows Workflow Foundation) standard, workflows are quick to visualise and utilise ‘drag and drop’ technology for maximum ease of use. Workflow is an excellent way of streamlining many of the HR-related processes in your organisation, reducing paper flow and informing staff across the

organisation of events relevant to them. Some of the standard workflows we offer include:

• Holiday requests

• Training requests

• Vacancy creation requests

• Self certification

• New employee processes

• Online appraisals.

Document management

The document management features in SelectHR allow you to upload and store documents against employees or any other part of the system.

Documents can be searched for using a number of different criteria or located based on their content. Some of the search facilities we offer include:

• Search CVs by keywords (applicants and employees)

• Search for documents by category

• Search by author, date range – or any other meta data

• Locate documents for an individual

• Locate documents by content

• Hold non-employee specific documents such as policies and job descriptions.

Business intelligence

One of the key drivers in the design of our HR software has been t0 deliver timely, relevant information directly to those who need it.

In addition to the extensive suite of standard reports, such as turnover, headcount, absence analysis, training needs and recruitment analysis, we provide the ability to create dashboards and for these to be made available to relevant users. Dashboards can include charts, gauges, listings and slideshows, as well as information from external sources on the web (for example, RSS feeds).

Ad-hoc reports

Integration with Crystal Reports also provides you with a user-friendly report writer, enabling you to create ad-hoc reports on any area of the system as you need them. This ensures further flexibility in case you need information that is not provided in one of the many standard reports.

System configurability

SelectHR is fully configurable, allowing you to choose how information is presented to specific groups of users and which

information they have access to. You can control the content of menus, screens etc, using the tools available in the Administrator module.

Even the Administrator itself can be configured for individual users. For example, HR users may be able to produce graphs and reports and publish these for other staff to use, while system administrators may also be allowed to create and modify workflows or menus.

Many highly configurable systems are effectively just ‘tool kits’ with which clients have to effectively build their own system. However, we include a huge array of standard functionality which means you can be up and running very quickly, yet still have the ability to expand the system as your needs change and evolve.

Business intelligence:configurable web-based dashboards provide decision-makers with immediate views on information held anywhere in the system.

Providing straightforward integration with SelectHR

and other software in the Access portfolio, SelectPay

enables you to operate a highly flexible payroll system,

sharing common data in line with your requirements.

Powerful functionality means you can handle the most

complex payrolls, and being Microsoft SQL-based,

supports any number of employees and provides

secure access to information.

Featuring a host of optional functionality including

secure online payslips and CIS, this fully

HMRC-approved solution will bring efficiency, ease of use and

peace of mind whatever your business or sector.

SelectPay simplifies the process of managing peoples’

pay and provides the analysis you need to align this

with your strategic objectives.

13 Paytypes & deductions

SelectPay provides a comprehensive selection of the most commonly used paytypes and frequencies, as standard. You can create and amend these as required, making it easy to handle fluctuations in staffing levels, for example.

Multiple payments and allowances, such as bonuses, can be easily accounted for, and expressed as a weekly or monthly value. Salary increases and deductions are calculated automatically and you can preview the effect any calculation has on net pay at any time.

Non-payable paytypes, such as holiday, can be linked to any deductions, quickly showing you the outstanding value of deductions against time accrued. Deductions

Multiple deductions, such as season ticket loans, can be activated for specific periods, shut down when the balance is paid and easily reactivated. Payments such as benefits in kind (for example, gift vouchers) can be applied company-wide.

Statutory requirements

As you’d expect, SelectPay covers all your statutory requirements and to make your job more straightforward, calculations, such as Directors’ Pay, National Insurance (NI) and Student Loans, are handled automatically. Pensions

Pensions can be entered as a fixed sum or as a percentage of salary, and AVCs made at any time. COMP and COSR pensions can also be specified and PAYE, NIC and SSP tables are formatted in line with HMRC conventions.

A monthly report shows all payments due for PAYE and NI, so you never fall behind on your commitments. P11D processing

SelectPay handles all the calculations and reports connected with taxable benefits. For flexibility and ease of use, P11D submissions can be made

via the internet as well as traditional printed reports.

SelectPay includes a wide range of electronic forms as standard, helping you meet HMRC guidelines on electronic submission and to qualify for cash incentives where applicable. Items you can send include: P11D, P14,

P35,P45(1&3) and P46(car).

E-payslips & P60s

Using paperless technology, payslips and P60s can be delivered

electronically to users around your organisation, in line with your specific routines.

The Self-service facility in SelectHR gives employees the freedom to view and print their historical pay

information from a secure online portal, further saving time within the payroll department.

Construction Industry Scheme (CIS) SelectPay enables further efficiency gains within your payroll department by reducing the manual

administration associated with handling sub-contractor payments. Utilising powerful automation technology, calculations, Year End returns and voucher production are carried out automatically and CIS300

reports can be submitted online.

Integrated timesheets

Dedicated timesheet functionality is provided within SelectHR’s Self-service facility. This web-based module provides a very easy way to collect timely, accurate information from across your whole organisation, without duplication of data or effort. Our web-based FocalPoint solution also enables timesheet data to be collected on a self-service basis. Authorised information is sent to SelectPay where salary calculations are carried out automatically. Import of pay data

Powerful integration tools mean that information generated in other areas of your business can flow into SelectPay without duplication. So if you currently collect timesheet data via Microsoft Excel or clocking-on systems for example, then you can continue to protect your existing investments while increasing efficiency in payroll processing. Job Costing

Optional integration with the Access Dimensions Costing module means NI contributions calculated in SelectPay can update the relevant projects, making it even easier to accurately apportion costs against each job.

Reporting & analysis

SelectPay provides a comprehensive range of reports as standard. Exception reports help you validate your payroll before it’s finalised, giving you confidence in your payroll processing.

The system retains full details of all payments made, enabling the preparation of comprehensive management reports. Monthly reports, statutory declarations and Year End requirements can all be output to print, screen, spreadsheet or fax for ease of distribution. Update to nominal ledger Weekly and monthly payroll information can be updated to the nominal ledger in full detail or at summary level. This data is easily analysed by department, division and employee, with a full breakdown of pay types and deducti ons if required.

Employee records

Setting up and maintaining employee records is easy. If not integrating with SelectHR, user-friendly wizards guide you through the process of adding new starters, while tab-style record cards allow you to quickly build up comprehensive employee information. Just some of the data you can add includes: employment history and

qualifications, holiday tracking and individual pay components. You can also add a photograph for quick identification of employees. Link to HR

Integration with SelectHR enables you and your HR team to stay in sync when maintaining employee

information. For example, HR can provide details of new starters, or request changes to employee records. On submission by HR, data is automatically sent to SelectPay for you to review. You can then choose to either approve or reject this

information, ensuring you have full control at all times. HR receive instant notification of any rejections, while approved submissions update SelectPay automatically.

All in sync:...having received and authorised the new employee details from SelectHR, SelectPay is automatically updated. This process eliminates errors and the need to enter employee information twice.
