Version 8: The Dispatch Schedule

What Is the Purpose of the Dispatch

Schedule?

There are different schedule scopes in

SP-EXPERT: The shift schedule and the

schedul-ing durschedul-ing the day on the basis of up-to-date

deviations. The dispatch schedule allows

the user to balance scheduled assignments

without editing the shift schedule. Absences

(such as “sick”) and shifts can additionally be

entered and remarked.

The shift and the dispatch schedule base on

the same schedule data but they differ in the

way they display it. Whereas the shifts of

the scheduled employees are displayed in the

shift schedule, the dispatch schedule

dis-plays the number of hours that are scheduled

within an attendance shift for employees of

a specific scheduling group. If the personnel

requirements fluctuate noticeably during a

day – as due to a rush order in the produc

-tion department, a higher call volume in a

call center, or a delay in the flight plan – the

personnel scheduler can lengthen (or

respec-tively shorten) the employees’ shifts with

the dispatch schedule to meet the staffing

requirements of the scheduling group.

Thus, the dispatch schedule can be used

– similar to the work location schedule in

SP-EXPERT – to correct shift schedule data

in finer precision and with relation to the

actual situation on the respective day. In

addition to the option to shorten or lengthen

the periods of the shift plan’s schedule data,

there is the possibility to enter or delete shifts

as well as to change function assignments.

These corrections can be entered via an input

window, the context menu, or directly in the

schedule – according to the philosophy of the

version 8 to increase the user-friendliness of

SP-EXPERT. Users confirm that the version 8

features sophisticated functionalities as well

as a modern, appealing interface.

The current version 8 of the approved personnel scheduling system SP-EXPERT presents

itself with a number of new features and improvements. The innovative Dispatch

Sched-ule modSched-ule is one of the milestones in the new program version. This documentation

describes the functional options the dispatch schedule provides and the resulting benefit

for SP-EXPERT users.

Application Example and Benefit

The SP-EXPERT dispatch schedule is used in

a printing company for the detailed correction

of personnel requirements during the day.

The company works with a four-shift model

with the option to use variable hours. Thus,

it is possible to respectively draw on

vari-able hour parts in addition to a fix scheduled

shift for the day. With help of these variable

hours, absence times (such as vacation, sick

-ness) of other employees can be balanced.

This facilitates the operational process in the

daily personnel scheduling enormously due

to the high flexibility. Actually, the personnel

are scheduled between the (fix) shifts as the

scheduler can balance arisen understaffings

by clever lengthening of the fix shifts.

Furthermore, this flexibility positively influ

-ences the required number of employees

since so-called stand-ins (such as for sick or

vacation replacement) are no longer neces

-sary. Thus, unnecessary personnel overhead

will be avoided. The clear display of the

scheduled hours and the rule checks of the

dispatch schedule support the scheduler at

his/her work and ensure that the work time

rules will not be violated at any time.

Of course, the dispatch schedule can also be

used easily in other branches – especially in

sectors with frequent fluctuations during the

day which make it difficult to forecast the

requirements situation but where the

aris-ing work cannot be rescheduled, such as in

hospitals (on days with many emergencies),

in call centers, in police departments, security

services, or in the aviation industry.
