SCHOOL’S OUT INFORMATION BROCHURE
Schools Out was formed in April 1994 after identifying a need for affordable childcare for school aged children.
We started up with a grant from Devon & Cornwall Playlines with the support of Whipton Campus Centre.
We are now part of Whipton Barton Junior School and are all employed by Devon County Council. We are an established out of school club providing quality childcare to all children.
The School’s Out Club aims to provide:- Quality affordable childcare
A safe and stimulating environment
Activities appropriate to children’s age and stage of development
The opportunity to enhance children’s learning and social skills through play An environment which reflects our equal opportunities policy
Children are individuals and have different needs. We value these differences and do our best to provide a wide range of play experiences to meet these needs.
The core staff are trained to NVQ Level 3 standard and attend other training opportunities on a regular basis.
School’s Out is regularly inspected by OFSTED who are happy with the standards within the club and have highlighted good practice in some areas.
ADMISSIONS POLICY
Schools’ Out is an out of school integrated playcare facility for local school children up to 12 years old.
OPENING TIMES
8am – 9am and 3pm until 5:30pm in term time only Exceptions to this are Bank Holidays and non-pupil days PAYMENT
School’s Out is a non-profit making County Council provision.
We cannot offer credit.
Payment for childcare will be in advance or at the end of each week. We accept childcare vouchers.
An invoice will be issued to all parents/carers
Failure to keep these payments will result in childcare being withdrawn for the following week Non payment of outstanding bills will be referred to Devon County Council Legal Department Late collection of children will result in a fee of £5.00
CANCELLATIONS
We require 48 hours notice if you wish to cancel your child’s session. We regret that failure to do this will result in having to pay for that session
There will be no charge if your child has been sent home from school or has to stay at home through illness
ILLNESS
If your child has been collected from school due to illness, would you please notify the club. This ensures that time is not wasted in searching for children who are not at school.
Children should not attend the club when they are ill. This prevents disease and infection being transferred to other children and staff.
If your child is suffering from diarrhoea and vomiting, please endure they do not attend the club for 48 hours.
ENCOURAGING POSITIVE BEHAVIOUR
All children coming to School’s Out have the right to play and enjoy the activities that we provide without fear of intimidation, harassment or verbal abuse. We try to promote behaviour which encourages respect for each individual and co-operation with everyone. We aim to provide a broad range of play activities within a safe and caring environment. We will challenge behaviour that is racist, sexist or stereotypical as this not acceptable in Schools’ Out. We will praise and reward children for good behaviour.
In order to do this, play workers and children have made a set of rules which we have put into a Code of Conduct.
CHILDREN’S CODE OF CONDUCT
Be polite and considerate to others and respect their property Look after toys, equipment and the play environment
No fighting, swearing or shouting Anyone can join in the games / activities
Any toys brought from home will be shared and you must be responsible for it Do not go into other rooms or a cupboard without asking first
Do not run or play ball games inside, unless it is an organised activity
IF THE CODE OF CONDUCT IS NOT FOLLOWED
The child will be reminded of the rules and given the choice to amend their behaviour
If the behaviour is not modified, the child will be asked to sit with a worker and play a quiet game (time out)
When the child has settled they will then be encouraged to join in another activity of their choice We ask children not to bring in their won toys as this van lead to difficulties with sharing with other children and toys can get damaged.
SANCTIONS
If we do have a problem with unwanted behaviour we will endeavour to deal with this in School’s Out.
If this is not possible we will discuss the problem with the child’s parents / carers and try to work out a solution
If the situation still continues, we will invite the child and parents / carers to talk over the problem together.
In extreme cases, however, we will reserve the right to temporarily or permanently exclude children form School’s Out.
Your co-operation will help the play workers make School’s Out a really good club.
CLOTHES
We feel every child should be able to take part in all activities offered, if they wish. As some of these activities may be messy, you might wish to provide your child with a change of clothes or an apron.

The School’s Out Team
The Governing Body of Whipton Barton Junior School has a management responsibility for School’s Out and provides a link with Devon County Council.
Veronica Brown and Ann Clements are Play Leaders and have a responsibility for the co-ordination of School’s Out.
Tina Chalmers and Melanie Mills are our regular play workers.
These workers are responsible for the running of the club and day to day planning of activities and will assist you with any enquiries.
Administration: Whipton Barton Junior School – 01392 466072. The office will take your calls and answer any enquiries when the School’s Out Team are not available.
All workers are police checked: School’s Out is regulated by the Early Years Directorate within the Office for Standards in Education (OFSTED)
Insurance: School’s Out is covered by Devon County Council’s Liability Insurance

FEES
The club understands that the cost of registered childcare may seem expensive to a parent/carer. However, providing a high quality, safe and stimulating service for children is not cheap and to ensure the continued high standards and sustainability of the club, it must ask parents/carers respect its policy in respect of fees.
The level of fees will be set by the Registered Person and reviewed annually in the light of the Club’s financial position, its future is strategic plans and any other broader economic or social consideration deemed relevant.
Payment of fees should be made weekly or monthly, on an agreed day prior to the start of the week or month in question. Individual payment arrangements will be negotiated between the manager and parents/carers.
The club will be sympathetic to requests for daily payment. Parents/Carers wishing to negotiate this or any other alteration to the standard fees policy should arrange a meeting with the manager at the earliest possible opportunity.
The manager has the right to issue a formal warning to the parent/carer and inform them that continued late payment will result in their child’s place at the club being forfeited.
If fees are paid consistently late or not at all with no explanation the club will be forced to
terminate that child’s place. Under exceptional circumstances, the manager may agree to allow the child to continue attending the club for the remainder of that week.
Parents/carers are encouraged to speak to a member of staff or the manager if they have any query about the fees or policy, or if, for any reason, they are likely to have difficulty in making a payment on time. Parents/carers are strongly advised to arrange a meeting at the earliest possible opportunity, to avoid jeopardising their child’s place at the club.

Due to the nature of some activities your child’s clothes may get messy. This is all part of the enjoyment.

The Data Protection Act 1998 and Images
There may be occasions when our school may wish to take and use images of children for educational and promotional purposes. We may use these images in printed publications that we produce as well as on our website or on display boards. We may also make video or webcam recordings. In addition the media may take photographs or recordings at school events which may subsequently appear in newspapers or on television.
Under the Data Protection Act, images of living identifiable individuals are classed a personal data. This means that individuals have rights over how their image is used, and they have the right to give or refuse permission for their image to be used. Any unauthorised or misuse of images is a breach of the Act.
To comply with the Act, School’s Out requires your permission to take, use and store images of your child.

Appendix 4 POLICY FOR SETTLING INTO SCHOOL’S OUT
All children are unique and the amount of time that a child takes to settle into School’s Out Club can vary enormously. Therefore, children will be given time to settle in at their own pace, so as to make them feel welcome, safe and confident in a new environment.
School’s Out strongly encourages parents/carers to visit the premises with their child/children during the week before they are due to start. During this week, the club requires that the parents/carers concerned, both complete and return the Registration form.
Children new to the club will be greeted in a warm and friendly manner. They will be introduced to all members of staff and told about other regular visitors to the club.
It is important that both child and parent/carer understand the code of conduct and routines are explained.
It is advised this is part of the induction process. This will include the club’s routines and the programme of activities. They will be shown around and boundaries explained and have both registration and signing out procedures made clear. The child will be told about the fire evacuation procedure and the locations of all fire exits, according to the provisions of the Fire Safety procedure. The child will be encouraged to ask questions and raise any concerns. Parents/Carers are offered the opportunity to stay with their child/children for a period of time during their week.
On their first day, children will be introduced to the other children. The child will be allocated a ‘buddy’
who, under supervision of a member of staff, will show them around Schools’ Out and introduce them to the other children. The child will then be encouraged to get to know the other children and settle into the group.
All staff will supervise children new to the club to ensure that they are happy in their new surroundings.
The appropriate level of such supervision will be judged according to the child’s age, maturity and previous experiences.
Staff will ask on a regular basis how a child is feeling, what activities they enjoy and if they are unhappy about anything. At the end of the first, second and third weeks, the Manager will find time to talk to the child about how they are settling in.
If it seems that a child is taking a long time to settle in this will be discussed with their parents/carers at the earliest opportunity. If a parent/carer feels that there is a problem during the settling in period, they should raise this with a member of staff.
Staff will always be available to discuss any concerns or other issues with parents/carers regarding their child and their attendance at the Club. If parents/carers wish to meet with the Manager, they should make an appointment to come in for a chat
Appendix 5 POLICY FOR ADMISSIONS TO SCHOOL’ S OUT
Our Club is committed to providing a fair and open admission system that offers a competitively priced and good value service. As a provider of registered childcare, we both encourage and actively support eligible parents/carers claiming and taking up the childcare element of Working Tax Credit.
Admissions
When a parent/carer contacts the Club enquiring about a place for their child, they will be given all the relevant information they require including details of the Admissions and Fees policy and informed of whether there is currently a suitable place available for their child.
If a suitable place is available the parent/carer and, where possible, the child will be invited to visit the Club and speak to members of staff. If the parent/carer agrees to abide by all the terms and conditions of admission, including the level of fees and arrangements for payment, they will be asked to compete and sign the Admissions Form (see Appendix 4) to confirm their child’s place.
Parents/Carers should complete and sign the Emergency Medical Treatment Form.
Once the admission is secure, the Manager, or a designated member of staff, will contact the parent/carer concerned to arrange a date for the child’s first session at the Club. At this stage, the provision of the Settling In policy will come into operation.
Waiting List
To ensure that admissions to the Club are offered on a fair and transparent basis, the following procedure will apply to the management of waiting lists:
If, on making an enquiry about a place for their child, a parent/carer is informed that there is not currently a suitable one available, the Club’s waiting list procedure will be explained and then activated on the parent/carer’s behalf.
Parents/Carers will be encouraged to submit their request for a place for their child to the Club in writing. The details of this request will be placed on the waiting list, in the order they are received.
The waiting list will be kept and used on a ‘first come, first served’ basis. The club will advise the parent/carer of how long they are likely to have to wait before a suitable place becomes available.
This information can only be an estimate and will not constitute a binding guarantee from the Club.
When a vacancy at the club becomes available, the Manager will contact the parent/carer whose child is suitable for the place and highest up on the waiting list.
If that parent/carer still wishes to take up the place for their child, they will be asked to complete the Admissions Form and follow the remaining steps of the admissions procedure outlined above.
If the parent/carer concerned no longer wishes to take up a place, the parent/carer of the next suitable child on the list will be contacted.
