Overview
At the Handover stage of construction projects, both Contractors and Facilities Managers are in a race against time to collect comprehensive asset information for every piece of equipment in the building.
The Excel spreadsheet is the typical format for importing that information into Computer-Aided Facilities Management Systems (e.g. Maximo, Archibus FM, Planon, etc.)
However, in readiness for importing that data, the process of collecting completed spreadsheets from every suppliers and then checking and merging them is not unlike trying to herd cats!
The COBie Data Updater simplifies this process in two ways.
1. Instead of distributing spreadsheets that list the basic information for the assets in each supplier’s work package, every asset is listed in a centralised, searchable SharePoint List.
That centralised List can be created from a basic Excel spreadsheet

3 2. As a mobile app, the COBie Data Updater provides easy-to-use remote access to the
SharePoint List for suppliers to update it with manufacturer, installation and warranty information. The information can be quickly filtered by a particular building level (Ground Floor, First floor, etc.) and room number.
The COBie Advantage
Through Building Information Modelling (or BIM), designers and contractors develop detailed 3D models, which depict the key elements/components that make up the built asset.
Through BIM, building owners can ensure that suppliers provide a comprehensive, searchable schedule (in Excel format) containing room-by-room lists of asset information for every piece of maintainable equipment.
The globally recognised standard for this asset information is ISO-19650.
Training Guide – Purpose
This document should be read in conjunction with the COBie Data Updater Installation Guide.
The purpose of this training guide is to provide step-by-step training on the following processes:
1. Set up COBie Data Updater on your mobile device 2. Find asset records by Level and Space
3. View an asset record 4. Update an asset record
5. Confirm / Cancel changes made to an asset record 6. Review SharePoint List to verify changes

1. Set up COBie Data Updater on your mobile device
Once a user is set up, they will receive an email inviting them to access the app:
5 Users will also receive an email notifying that the app has been shared with them. By clicking on Open the app >, they can download and install the app
Once Power Apps has been downloaded to your mobile device, you can click on the new icon:
From the Home Screen, select COBie Data Updater 2:
6 The ‘browse screen’ opens. At the top, there are two dropdowns for selecting the required Level and Space.
2. Find asset records by Level and Space
Click on the Level dropdown and select a level. This restricts your search through the asset records to a specific floor:
Now, click on Space dropdown and select a particular space (i.e. room), as per the floor plans. The search result provides a list of assets corresponding to the selected space.

3. View details of an asset record
On the right-hand side of each asset record, there is an arrow:
By clicking on this arrow, you can view the full details of the asset record:
4. Update an asset record
To update an asset record, click on the pencil icon (located at the top-left of the previous screen)
As you scroll through the next screen, there are different ways to amend COBie properties.
These include:
• Dropdown selection
• Text entry
• Date picker

5. Confirm / Cancel changes made to an asset record
When your amendments to the asset record are complete, you can select the:
• icon (top-right) to confirm your changes
• icon (top-left) to cancel your changes
6. Review SharePoint List to verify changes
Consider the following updated asset record:
Open the linked SharePoint List and scroll across to locate the Serial Number column. In the column dropdown, select Filter By
9 In the Filter flyout, type in the updated Serial Number (in this case, N13256).
The list is filtered to isolate this updated asset record.
In this way, you can verify that the COBie information has been accurately updated.
7. Export SharePoint List to Excel for further review
To perform detailed analysis of the updated asset records, you will need to export the SharePoint List to Excel.
Click on Export> Export to Excel
This action downloads an Excel file which can be further analysed:
