SwipeClock: “The Simple Definition”
SwipeClock is an onlineelectronic time and attendance solution for all businesses, both large and small. It combines the convenience of online access with the familiarity of a conventional wall-mounted time clock, PC, and telephone. The service is entirely online, so there's no software to buy, install, or manage. The SwipeClock solution was designed with "everyday people" in mind as it can be setup within seconds, and editing the timekeeping data via the Web is simple.
Available Timekeeping Solutions
The SwipeClock Solution - Product Introduction
Time Clock and Web Clock are the two primary products and methods utilized to collect timekeeping data via the SwipeClock solution. Offering exceptional user ease for the setup and day-to-day use, Time Clock and Web Clock provide a valuable, practical solution for daily timekeeping needs. Voice Clock, Bio Clock and Flex Clock are additional, telephone-based or biometric-driven time tracking devices that can be integrated with Time Clock and Web Clock for a more comprehensive time tracking system. Finally, Print Reader is a biometric add-on for Time Clock and Flex Clock that can integrate biometric employee verification with traditional badge and PIN hardware units.
All Data Management Performed Online
Conveniently, all timekeeping data collected by each time tracking device is sent to a single online client account. The data is automatically organized and calculated based on the specifications of the account and in such a way that it can be easily accessed, edited, approved, and placed in a data file for payroll processing. For optimal data management, the data can be accessed by an unlimited amount of supervisor accounts, all of which can be customized with differing levels of access and editing privileges within the account. •

Marketing the Product to the Right Audience
As was stated earlier, SwipeClock is an onlineelectronic time and attendance solution for all businesses, both large and small. What this means is that the product was designed and is capable of accommodating the needs of both larger and smaller companies. In fact, there is no limit, small or large, to the amount of employees that can be placed on a single account and serviced by a single time clock.
With that said, the SwipeClock product may not necessarily be the ideal fit for every company. In nearly every case, this determination is made based on the details and complexity of the client’s timekeeping needs.
To offer an example, a prospect may have 1000 employees and requires only traditional timekeeping settings to manage their data. This prospect would be an ideal fit for the product. In contrast, a prospect may have only 10 employees but requires numerous custom settings that are not typically offered by a timekeeping solution without some custom programming. Therefore, it is this limitation of functionality that is the cause for a misfit, not the amount of employees.
The SwipeClock Solution - Your Target Market
“Because of the simplicity and affordability of the product, it is the
perfect fit for most of my clients, yet it’s capable of handling my
larger clients as well.”
“The Perfect Prospect”
SwipeClock is a scalable solution in regards to the simplicity of using the service. The product can be as simple as in-and-out or it can be complex, utilizing shift differentials and custom rounding rules. Because of this simplicity (in addition to the fact that the hardware and service is very inexpensive relative to the industry), it is typical that “the
perfect fit” for the service is a company with 1 to 50 employees who utilizes standard timekeeping rules. More specifically, because the product is affordable, being virtually the cheapest solution on the market for a prospect from 1 to 15 employees (SwipeClock charges only a small monthly fee per employee in this range), it is an excellent solution for businesses of this size.
Summary - How to Know Who Is and Who Isn’t a Good Fit
The best way to determine who is and who isn’t a good fit for the product is to first, gain an understanding of the system’s features and capabilities, and second, to conduct a “client setup requirements” assessment. You should then refer to your help resources if you have additional questions. These resources include the charts available in this guide, your online resources in your Partner Account, and your SwipeClock support department.•
How to Learn the Features and Capabilities
SwipeClock is a very versatile product. The supervisor’s online data management account can be simplified to provide an exceptionally user-friendly experience handling the simple in-and-out functions or it can be setup with various system features that will accommodate complex needs, making the account more comprehensive and detailed. In fact, what’s more, through the world of scripting that is available in the SwipeClock system, the possibility of accommodating advanced settings becomes even more vast.
The downside to having a broad assortment of options at your finger tips is the challenge of learning what’s available so that these features can be offered to a client who is in need. Though the upside of having numerous options far outweighs the downside, the challenge of learning what’s available still remains.
To assist you in learning what is, in deed, available in the SwipeClock application, we have created some charts and information to help you do two things: one, to learn what’s available, and two, to give you a place to go when you’re not sure if the feature is, in fact, available.
System Capabilities - Understanding SwipeClock
Steps to take when you’re not sure if a feature is or is
not available in the SwipeClock program:
1. Refer to the “Program Features & Capabilities” chart
found in this guide.
2. Refer to the more detailed System Capabilities chart
found online
3. E-mail your SwipeClock CSR
4. E-mail support@swipeclock.com

A True Investment Opportunity: Automated Timekeeping
What most business owners don’t realize is that an automated timekeeping solution will not only pay for itself year after year, but it will also return immense savings. These savings stretch far beyond simply recovering the cost of the service in the form of reduced labor costs, eliminated human error costs, eliminated payroll staff costs, and additional time for all staff members involved in payroll preparation each pay period.
Most importantly for you, the payroll processor, a small investment automated timekeeping will more than pay for your cost of processing the client’s payroll. Timekeeping technology truly is an investment opportunity, or better yet, a savings tool for today’s competitive business environment.
Why Automated Timekeeping?
Reducing Your Cost of Labor One Pay Period at a Time
Today’s automated timekeeping technology is a powerful resource for businesses, both large and small. It is designed to offer
exceptional convenience, and to substantially improve profit margins by reducing the cost of labor.
Why Automated Timekeeping?
A few good reasons to employ automated timekeeping are: eliminate the time it takes to prepare and complete time card data; eliminate unnecessary labor costs; reduce the cost of human error in time card preparation.
C O N V E N I E N C E v s . S AV I N G S
Many companies that are today considering implementing an automated timekeeping system are motivated primarily by the convenience it provides; however, what is often overlooked is exactly how much companies save by tracking their employees with an automated solution.
TOP REASONS
to Invest in Automated Timekeeping
>> Utilize enhanced and automatic time tracking capabilities >> Increase company’s bottom line and profitability
>> Minimize wasted labor minutes >> Improve employee time management
>> Reduce human error, the cost to reissue paychecks, and employee dissatisfaction >> Enhance reporting capabilities for employee labor worked
>> Reduce the overall cost of employee labor
Automated Savings
Are you paying too much for labor?
Staying competitive today requires companies to find new ways to drive revenues and profitability.
One of your most significant expenses is your labor cost; however, it is also one that is most easily controlled. Are you tracking your dollars and labor minutes?
If not, you’re likely paying thousands extra in unnecessary wages.
Manual vs. Automated Timekeeping
Question: Is your company taking the time to handle, approve, and total each employee’s time card or can it be done in a mat-ter of seconds?
Question: Do your employees write down their punch times, giving their best approximation for in and out times, or does your system track the very minute your employees clock in and out?
Question: Is your company vulnerable to human error when calculating one of your greatest expenses, labor costs, or is your system instant, error-free, and automated?
Question: Could you significantly reduce your cost of labor?
CASE # 1 - Wasted Labor Minutes
Did you know that just 15 employees receiving pay for merely 4 minutes of "wasted" time per day [untracked breaks, extended lunches, over-approximated punch times, etc.] will total 1380 minutes [23 hours] of additional pay per month?
The Cost: If your average pay rate is $10.00 per hour, then you pay an extra $230.00 each month for labor
CASE # 2 - Human Error
The American Payroll Association estimates that the rate of human error in time card preparation is between 1% and 8%.
The Cost: Therefore, a conservative 2% human error rate on a $12,000 payroll would equal $240.00 in erroneous wages paid per pay period. Moreover, the cost to re-issue correct payroll amounts (if the error is detected and reported) further increases your cost of human error.
CASE # 3 - Manual Time Card Preparation
The average payroll clerk spends 7 minutes per time card each pay period:
>> Preparing and handling time cards >> Computing time card totals
>> Verifying time card totals >> Computing shift and department totals
>> Reconstructing lost or damaged time cards
The Cost: Preparing 100 time cards will take an estimated 11.67 hours to complete. Therefore, at an average clerical wage of $15.00 per hour, time card preparation would cost $175.05 per pay period.

Take a moment to familiarize yourself with a few typical client scenarios as they will help you to better understand the calculations for your wholesale billing charges.
If you would simply like to calculate your charges automatically, refer to the Wholesale Cost Calculator, which can be found in the Training & Support Site under Pricing the Service.
Client Setup
>> 1 time clock
>> 75 employees
Key Notes
The $21.50 flat rate applies between 15 and 50 employees. Employees over 50 create a surcharge of $.43 each. If the client has less than 15 employees, the $1.50 per employees service charge takes effect.
Monthly Billing Calculations
>> 75 ee’s = $21.50 + (25 x $.43)= $32.25
Example 1: Single Time Clock
Client Setup
>> 3 time clocks
>> 75 employees
Monthly Billing Calculations
>> 75 ee’s = $21.50 x 3 time clocks = $64.50
Key Notes
When the client’s employee-to-clock ratio is between 15 and 50, the $21.50 per clock charge is applied. The ratio for 3 time clocks becomes 45 and 150 (15 and 50 are both multiplied by 3). If the client’s employee count falls below or rises above this range, a price adjustment will occur.
