Installing Settings (Job Options) Files for Use with

Acrobat Distiller, Adobe Printer, or PDFMaker

(For Windows)

Introduction

This document describes how to install Adobe Acrobat settings (job options) files under Windows. To install the appropriate settings files for Acrobat 4, Acrobat 5, Acrobat 6, or Acrobat 7 first read the “General” section below. Next, follow the instructions in the section corresponding to the version of Acrobat used.

If using the Adobe Printer or PDFMaker it is necessary to first install the appropriate settings in Distiller. Please follow the instructions above. Next follow the instructions in the section corresponding to Adobe Printer or PDFMaker.

General

If not already installed, Acrobat Distiller must be on the local C: drive before following the instructions below.

If using Acrobat Distiller to create PDF files from within a program, for example Microsoft Word, you must first install the Distiller settings as described above. After doing this please see the section “Adobe Distiller as the Printer” or “PDFMaker”.

If the instructions below do not work, please see the section “Non-Standard Installation and Troubleshooting”.

Acrobat 4

1) Download the zip file containing “IEEE PDF for Acrobat4-11Nov05.joboptions”.

2) Extract the file “IEEE PDF for Acrobat4-11Nov05.joboptions” from the zip file. 3) Copy the extracted file to Program Files->Adobe->Acrobat 4.0->Distillr->Settings. 4) Start Acrobat Distiller.

5) On the “Job Options” pop-up select “IEEE PDF for Acrobat4-11Nov05”.

6) Distill a file. This can be accomplished either (1) by choosing Distiller as the printer or (2) by printing to Postscript and distilling it. If printing to Distiller verify that the job option selected is “IEEE PDF for Acrobat4-11Nov05”.

Note: Only if Acrobat Distiller can embed and subset all the fonts is a PDF file created.

The PDF specification requires that all fonts be embedded and subsetted.

Acrobat 5

1) Download the zip file containing “IEEE PDF for Acrobat5-11Nov05.joboptions”.

2) Extract the file “IEEE PDF for Acrobat5.joboptions” from the zip file.

3) Copy the extracted file to Program Files->Adobe->Acrobat 5.0->Distillr->Settings. 4) Start Acrobat Distiller.

5) On the “Job Options” pop-up select “IEEE PDF for Acrobat5-11Nov05”.

6) Distill a file. This can be accomplished either (1) by choosing Distiller as the printer or (2) by printing to Postscript and distilling it. If printing to Distiller verify that the job options selected is “IEEE PDF for Acrobat5-11Nov05”.

Acrobat 6

1) Download the zip file containing “IEEE PDF for Acrobat6-11Nov05.joboptions”.

2) Extract the file “IEEE PDF for Acrobat6-11Nov05.joboptions” from the zip file. 3) Start Acrobat Distiller.

4) On the “Settings” pop-up select “Add Adobe PDF Settings”.

5) Browse to the file IEEE PDF for Acrobat6-11Nov05 and then select it. Click “Open”. 6) On the “Adobe PDF Settings” pop-up, select “IEEE PDF for Acrobat6-11Nov05”.

Distill a file. This can be accomplished either (1) by choosing Distiller as the printer, (2) using Adobe PDF inside an application, or (3) by printing to Postscript and distilling it. If printing to Distiller verify that the settings selected is “IEEE PDF for Acrobat6-11Nov05”.

Note: Only if Acrobat Distiller can embed and subset all the fonts is a PDF file created.

Acrobat 7

1) Download the zip file containing “IEEE PDF for Acrobat7-29Nov05.joboptions”.

2) Extract the file “IEEE PDF for Acrobat7-29Nov05.joboptions” from the zip file. 3) Start Acrobat Distiller.

4) On the “Settings” pop-up select “Add Adobe PDF Settings”.

5) Browse to the file IEEE PDF for Acrobat7-29Nov05 and then select it. Click “Open”. 6) On the “Adobe PDF Settings” pop-up, select “IEEE PDF for Acrobat7-29Nov05”.

Distill a file. This can be accomplished either (1) by choosing Distiller as the printer, (2) using Adobe PDF inside an application, or (3) by printing to Postscript and distilling it. If printing to Distiller verify that the settings selected is “IEEE PDF for Acrobat7-29Nov05”.

Note: Only if Acrobat Distiller can embed and subset all the fonts is a PDF file created.

The PDF specification requires that all fonts be embedded and subsetted.

Acrobat Distiller as the Printer

To create PDF files using Acrobat Distiller as the printer do the following:

1) In the Printer dialog box choose “Acrobat Distiller” or “Adobe PDF”. Which choice appears depends on the version of Acrobat installed.

2) Click on Properties.

3) Click on the Adobe PDF Settings tab.

4) In the General box select “IEEE PDF for AcrobatX-11Nov05” where “X” is the version of Acrobat Distiller used. If Acrobat 4 is used X is 4. If Acrobat 5 is used X is 5. If Acrobat 6 is used X is 6. For Acrobat 7 select “IEEE PDF for Acrobat7-29Nov05”. 5) While still on the Adobe PDF Settings tab select the following:

• View Results in Acrobat (Optional selection).

• Add Document Information (Recommended selection when available). • Prompt for PDF filename (Optional selection).

• Ask to replace existing PDF file (Required selection). • Do not check (select) any of the other options on this tab.

Note: Only if Acrobat Distiller can embed and subset all the fonts is a PDF file created.

PDFMaker

To create PDF files using PDFMaker do the following:

1) On the menu bar choose “Adobe PDF”. If this option is not displayed then PDFMaker is not available or must be reinstalled from the Acrobat disk.

2) Choose “Change Conversion Settings”.

3) Under “PDFMaker Settings” choose the Conversion Settings “IEEE PDF for AcrobatX-11Nov05” where “X” is the version of Acrobat Distiller used. If Acrobat 4 is used X is 4. If Acrobat 5 is used X is 5. If Acrobat 6 is used X is 6. For Acrobat 7 select “IEEE PDF for Acrobat7-29Nov05”.

4) Make the changes shown in the screens below so the files are IEEE Xplore® compatible. These screen captures are from Acrobat 7. Earlier versions of

PDFMaker have similar settings. If unsure whether to choose a setting don’t!

5) On the menu bar choose “Adobe PDF”-> “Convert to PDF”.

Non-Standard Installations and Troubleshooting

If the instructions given above do not work or Acrobat Distiller is not on the C: drive please contact your local administrator.
