Preparing to Update Paymate Acclaim

✓ Before installing the new version, please ensure you have finished all payrolls with pay dates prior to December 31st, 2020.

✓ Please go to Setup > Preferences and record what the working directory is. You may need this to connect to your data later.

✓ If you are running an anti-virus software, we recommend that you disable it during the installation, as it may interfere with the installation process. Once you have completed the installation, you may reactivate the anti-virus software.

✓ Download Paymate Acclaim (2021) from under ‘Current Downloads’ on your local computer. Make a note of the location where you downloaded the program.

Upgrading Paymate Acclaim

Note: If Paymate Acclaim has previously been installed, simply uninstall it and then proceed with the installation of the new version of Paymate Acclaim. DO NOT delete Paymate Acclaim’s installation folder.

Make sure to follow these steps in order:

1. Download your new software from Paymate’s customer portal.

2. Uninstall the existing Paymate Acclaim. See section Uninstalling Paymate Acclaim for more details.

3. Install the new version of Paymate Acclaim. See section Installation of Paymate Acclaim for more details.

4. Close your year in your new version of Paymate Acclaim. See section Year-End for more details.

Uninstalling Paymate Acclaim

Note: Uninstalling your current version of Paymate Acclaim will NOT delete or affect your data.

1. On your computer, click on the ‘Start’ or Windows ( ) button.

2. Click on ‘Settings’ or gear icon ( ).

3. Click on the ‘Control Panel’ icon.

4. Double-click on the ‘Add/Remove Programs’ icon.

5. Highlight ‘Paymate Acclaim’.

6. Click on ‘Change/Remove’ for the selected product.

7. The Uninstall Wizard will begin. Select the ‘Remove’ option.

8. Click on the ‘Next’ button and then ‘OK’. The program will be uninstalled automatically.

9. When the Uninstall Wizard is finished, click the ‘Finish’ button to complete the process.

Installing Paymate Acclaim

I. Installation

1. Browse through to the location where you downloaded the file ‘PMWCAN.EXE’ from Paymate’s customer portal.

2. Double-click on the file ‘PMWCAN.EXE’. This will launch the Installation Wizard.

3. Once the Wizard has completed extracting the installation files, click on ‘Next’ to continue.

4. After reviewing the License Agreement, click on either ‘Yes’ or ‘No’.

Note: If you click on ‘No’, the installation will not continue.

5. Choose your desired destination folder (C:\PaymateW\) and click ‘Next’.

6. Choose ‘Typical’ and click ‘Next’.

7. Confirm the settings you have chosen and click ‘Next’ to begin copying files. When the installation is complete, click on ‘Finish’.

Note: It is highly recommended that you accept the default settings.

II. Product Activation

The following steps require an Internet connection.

Follow the steps below if you receive this message: “This is a 2021 program and your license is good up to 2020”.

1. Click ‘OK’ to the message.

2. Click on the ‘Activation Key’ button on the ‘License Viewer’ window.

3. Enter the ‘Maintenance Year’ key that is shown in your Paymate Customer Portal.

Click ‘OK’.

4. Ensure that the ‘Maintenance Year’ line in the license viewer readers “(2020)”.

5. Restart the program.

If you do not receive the message, follow these steps:

1. Run the program. Close the ‘Company Select’ screen.

2. Click Help > License Information.

3. Click on the ‘Activation Key’ button on the ‘License Viewer’ window.

4. Enter the ‘Maintenance Year’ key that is shown in your Paymate Customer Portal.

Click ‘OK’.

5. Ensure that the ‘Maintenance Year’ line in the license viewer reads “(2020)”.

6. Restart the program.

III. Year-End

The following steps will ensure that you are ready to begin doing payroll for the new year.

1. Run the program. Select the company in the ‘Company Select’ screen and make sure the data year is 2020. If you are prompted to upgrade the database, then do so.

2. Click on Year End > Close Year.

3. Read the details of the procedure before clicking ‘Next’.

4. Choose your options by checking them and click ‘Next’.

5. A backup is mandatory, so choose the location of the backup file and click ‘Backup’.

6. Once the backup is complete, enter the prompted text in the field. Click ‘Finished’.

IV. Net Claim Update

After the year has been closed successfully, proceed with the following steps to update the net claim amounts:

1. Make sure the data year is 2021.

2. Click Setup > Employees > Net Claim.

3. Ensure that the tax tables are for the year 2021 and click ‘OK’.

4. Enter “UPDATE-FOR-ALL-EMPLOYEES” and click ‘OK’.

5. Once the net claim amounts have been updated, click ‘OK’.

The final step before beginning payroll for 2021 is to review the payroll calendar for all Payroll Groups, as this is the only time you will be able to make this change. The calendar can be found under Setup > Payroll Groups. Choose your payroll group and click ‘Edit’. Make any changes that are required and save the information. Now you are ready to run payroll for 2021.

To process T4s, please change the data year back to 2020 to process all your tax forms. Refer to the document How to Create T4s for detailed instructions.

Choose your auto-update preference

If you would like the software to automatically update to the latest version available with latest tax tables, select your preferences using the instructions below.

1. Go to Setup > Preferences > General Tab.

2. Check off “Auto-update software when new version is available”.

Note: If you check this box, your system will automatically update to a new tax table.

If you want to manually control tax updates, uncheck the box. If you have multiple users, all users should have the same selection.
