Background

When it comes to business processes, signing documents is very important. Yet there are still many businesses which use documents signed on paper, breaking the online workflow.

Now, with this new Popfax feature, users can edit, sign and fax documents online, via a web interface, in just several clicks, thus saving time and helping the environment.

In order to benefit from this function, users must purchase the Option Pack.

This guide shows you how easy it is to edit, sign and fax documents with Popfax.

Popfiles - Make a fax editable

PopFiles is a folder in the customer account that contains

editable documents.

So, if you need to edit a fax, you can now do it quickly and easily right from your Popfax account, by selecting the fax you want to edit and by clicking on the Edit button.

If you have selected 2 or more faxes, they will be merged into one single editable document.

You will be informed through a popup that the selected fax(es) will be copied to the PopFiles folder in order to become editable. By default, the system will assign your editable document a name, which you can modify on this popup.

Popfiles - Add a new editable document

In the PopFiles folder, by clicking on the“Add new Document“ button, you can add a new editable document:

-by uploading it from your device (if the device file system can be browsed).

-by creating it from scratch on a blank A4 page. -by uploading it via email.

You will be able to upload a file (8 Mo max) in one of the following formats: DOC, DOCX, XLS, XLSX, PPT, PPTX, ODT, ODS, SXW, ODP, PDF, PS, BMP, GIF, JPG, JPEG, TIF, TIFF, EPS, RTF, TXT.

To upload your files by email, you must send an email to

[email protected] from the email address you registered at

Popfax. Subject and body of the email should be empty. If you send more than one file, the files will be merged into one document.

All uploaded files are converted into the fax format prior to becoming available in the PopFiles folder. Processing of files may take 1-2 minutes.

Popfiles - Edit a document

In order to rename a document from the PopFiles folder, just click on the document name and edit it.

You can open the Document Editor by clicking on the Edit button in the PopFiles Folder, or in the Document preview page.

In the Document Editor, you can add text, dates and signatures from the left menu.

All changes that were not saved will be lost. Added texts on your document will be searchable thanks to our search feature.

Create a signature

The place where you can manage signatures is a folder named “Signatures”, located right next to the “PopFiles” folder in your Popfax account.

There are 4 ways you can add a signature:

1.By uploading it from your device – the image file must be one of the following types: JPG, PNG, GIF and the maximum file size is 8MB.

2.By drawing it directly in the Popfax interface– the draw feature allows you to draw your signature with the pointing device or the the finger on touch screens.

3.By typing it using one of the available fonts.

4.By uploading it by email - You can upload your signatures by sending an email with an image attached to [email protected] from the email address you registered for your Popfax account. Subject and body of the email should be empty.

Edit a signature

By clicking on thumbnails in the Signatures folder, you open the Signature Editor.

The following editing tools are available for the Signatures that were uploaded:

- Crop (only available at the creation of the signature) - Rotate

- Adjust Threshold

Edit, sign and fax your document

Let’s assume you have received a contract by fax to which you have to add your company details, sign and fax back.

So, to start the process we go to the Inbox and open the received fax. To add your company details, click on the Edit button. The Document Editor will be opened.

Actions you can perform in the Document Editor on your fax include: - Inserting the current date.

-Typing the company details (name, address, contact phone number, email, etc.) as free text. - Inserting a previously saved signature.
