To login to the Content Management System (CMS)

you can add /cmslogin to your domain name – this

will take you to the login screen as pictured on the

left.

Your User ID and Password are case sensitive so be

sure to use the exact information that is provided to

you.

Additionally, do not have your Web browser

save your CMS password/User ID if you are

prompted.

If you forget your password, click on “Forgot

Password” under the “Login” button and the system

will walk you through recovering your password.

Note: the CMS will timeout and log you out after 25

minutes of inactivity - you will lose any content you

entered on the page.

eSchoolView - Content Management System Homepage

After you login you will be taken to the CMS Homepage. This page will display only the options/buttons you have the ability to access/edit. The CMS Homepage is divided into four areas:

1) Administration Options – This area allows your site administrator to make global changes such as closing school, sending out email/text message alerts, and setting up security for users, etc. 2) Site Section Management – Under this section, you will see the

district site, individual building sites for your district, and the Intranet site. To edit a particular site, just click on the name. From there you can add pages, edit existing content and manage the separate sites.

3) News & Support Updates – Our Company will provide news and updates that pertain to our content management system (the CMS). eSchoolView is updated twice a year (typically in July and December) and we will notify you before and after the update occurs.

4) Content to Review (if applicable) –If your District/organization chooses to setup an administrator to review content before it is posted to your web site; the pages/content will appear in this window for your review. This section may or may not be used by your district.

eSchoolView – Master Administration Options

Administration Options are reserved for Site Administrators. Global changes, like School Closings, are accessed from this area.

1) Events Calendar – Edit events that are added within buildings and Intranet Site Sections. A bulk import event template is available to enter multiple events easily.

2) Event Registration – A separate product/cost that can be easily integrated with our CMS to schedule events - Click for more info. 3) Live Stream Control Panel – Designed to make the process of

streaming live events to your website simple.

4) Closings & Alerts – Quickly alert your community of school closings or emergencies by posting information with a customized message. 5) Staff Management – Keep your staff contact information up to date

by using a bulk import template.

6) CMS Users –Set up additional CMS Users or delete access for existing users quickly and easily.

7) Communication Management – Keep your stakeholders informed through this tool. You can send out email and/or text messages to distribution groups.

8) Public User Database – In order to track the use of your site, you can manage visitors that signup on your web site and view account information/options.

9) Alumni Management – Keep track of your alumni by approving their registrations from the public site and editing existing alumni in the database.

10)Page Password Groups – Create Security Groups for pages; here you can create a Security Group and place any page within that group— only people given the passcode will be able to access the page. 11)Recycling Bin – Access pages and components that have been

deleted.

12)Online Store – A separate product/cost that can be easily integrated with our CMS – Click here for more info.

eSchoolView – Site Section Management (Building & Intranet Management) - Homepage

When you want to update the intranet or a particular site’s web pages, such as an individual building, area or department, select the appropriate link from the Site Section Management area. The site you selected will appear under the Site Section Management heading, and users will only see the pages they have access to update. The page is divided into three areas:

1) Site Section Management – If you need to add or edit a building name, address, phone numbers, picture, etc., you can click on “edit information” and make changes quickly and easily.

2) Content to Review – This area is only enabled if your district has assigned an administrator to review all content before it is published to the web. When active, it will set up a list of updates the administrator needs to approve before it shows up on the live site.

3) Administration Options – The tools in this area help you make a variety of updates to the site.

Content Pages – The Content Pages button allows you to revise individual pages. The other Administrative Options help you build and load information you can then place onto pages by using the Content Management button.

Survey, Form and Quiz Management – This section allows you to build, edit and collect data for online surveys, forms and quizes.

Events Calendar – Enter new events, edit categories and search for existing events in this area.

Touts Manager – A tout is a fancy name for an image used as a button. This section allows you to upload images and create buttons.

Blogs – Your district may also want to set up blogs and allow site visitors to post comments and feedback. By default, all posts are not posted to the public, but go into our Content Review feature.

Staff Management – Make adding staff easy and enable visitors to search existing staff by first name, last name and/or department.

Departments – You can organize your staff by department to make it easier for searching in the staff directory.

Homepage Slideshow – Manage and update the images that appear in your homepage slideshow.

Custom Drop Down Menu – Manage and edit what pages are linked to in your drop down menus.

When you are ready to edit your web page, first select the specific web site you want to edit from Site Section Management. Then click on

Content Management and you will see a list of all the web pages for that site section. The homepage will appear at the top of the list under

“Section Homepage.”

Next to each Page Title/Name is an option to “Add Child Page.” Clicking this option will generate a screen that asks you to name the child page (see screen shot on the next page). All you have to do to create the child page is enter a title, select one window or two window, and tout

selection, then hit save. The new page title will appear on the public side of your site and in the visitor’s web browser.

If you want to delete a child page, simply go into that page and click the Delete button underneath the View This Page link. After you confirm the deletion, you will not be able to recover it, so make sure you really want it deleted. There is a way to make pages inactive without deleting them. You may want to use that feature for seasonal items or other recurring events pages.

If you hover over the page, the system will tell you the creator of the page. In addition, you can go into the page and see who last modified the page. This allows for an audit trail for your site administrator to see who updated the page last.

When you are ready to edit the content on a specific page, click on the title of the page.

eSchoolView – Site Section Management (Building & Intranet Management) - Content Management - Adding a Child Page

Add A New Content Page

The Page Wizard will quickly create a new page for you, all you need to do is enter a Page Title and select how many content windows your page will contain.

Page Title – The Title of your newly created page

Number of Window – Choose how many content windows you want on your page

NOTE: Reference examples on the next page that show a One Window layout and a Two Window layout.

Show Page In Dynamic Nav – If checked, your new page will become a text link in the Left Navigation pane of the website. If unchecked, the page will not become a text link and will not be visible in the Left Navigation

Select Tout Group – If the Site Section you are working within has a Tout Group, you may want to display the touts on the page, select the appropriate Tout Group in the drop down menu

eSchoolView – Site Section Management (Building & Intranet Management) - Content Management – Page Layout

Page Layout

The Page Layout View either has three or four tabs depending on whether you choose to have one or two content windows.

1) General Settings Tab (see next page for a description on these settings)

2) Window #1 Content Tab – Any time you want to revise or add information to the left window, you need to click on this tab. 3) Window #2 Content Tab – This tab allows you to add and revise

information or components such as surveys to the right side of the web page.

4) Move Content Tab (Site Administrators only) – If you decide to move an entire window of content to another page, this tab allows you to move it without recreating it on another page. 5) Move Page (Site Administrators only) –If you decide to move an

entire page to a different location, this tab allows you to move it without having to recreate the entire page.

The General Setting Tab

Page Title – The Title of your page

Friendly URL – Allows you to update a long URL and make it shorter. You will find this useful if you want to direct a reader of printed material to go to your web page, or during levy time when you want community members to access information about the levy. When modifying the Friendly URL, you cannot use spaces or special characters. Always end the friendly url with .aspx. Example of a friendly url name – schoolevy.aspx

Is Active – If checked, the page is active and people can Access it; if unchecked, the page is not accessible to the public.

Security Level – If you want to place this page within an existing Security Group, select the group in the drop down menu

(NOTE: Site Administrators can create security groups).

Show in Dynamic Navigation – If checked the page will become a text link in the Navigation pane on the left-hand side of the website.

Navigation Display Type – Options for where the Dynamic Navigation appears.

Tout Group Display – Display your homepage touts (remember these are just graphics you have used as buttons) or create a new tout list to display by page. You can also manage your touts or create new tout groups under “Tout Manager,” one of your administrative options.

Link to External URL – This is a redirect to another URL or page of your choice. If you are linking internally, use a forward slash in front of the page: /mypage.aspx. If you are linking externally, use the entire URL starting with http://

Link to File – Have your text link in your Dynamic Nav link to a file (PDF) by clicking the Browse button and uploading your file.

eSchoolView – Site Section Management (Building & Intranet Management) - Content Management – Page Layout

When you click either the Window #1 Content or Window #2 Content tab you will have the following options:

1) Add Page Component

2) Update Window Properties (on the right side in the gray box) eSchoolView references all types of information as Page Components and you can setup your pages with one or more Page Components. After you add more than one Page Component you will have the ability to rank (organize) your Components by clicking the green up and the red down arrows to the left of the Page Component Icons.

Each Page Component has a unique icon that is displayed to the left of the page title. To the right of the icon click “Edit This Page Component” to add/edit content within that Page Component.

Clicking “Delete” on the right for each Page Component will delete the component after a confirmation message is displayed. Once a page component is deleted you will not be able to retrieve this information. If you have pages that will be useful each year such as back to school information, you may choose to make the page inactive after the

information is no longer current and then update the information on the page each year and make it active again. This can save you the time of rebuilding the components each time.

Note: To make a page active or inactive please use the checkbox under the General Settings tab.

When clicking “Add Page Component” you have the option to choose the following:

Internal Name:

Before clicking Save to add your Page Component, enter a description in the optional “Internal Name” field – this will help you differentiate between other page components; internal names do not display on the public web page.

eSchoolView – Site Section Management (Building & Intranet Management) - Content Management – Page Components

Text Window

You will build most of the site using text windows. A Text Window allows you to post text and upload images.

TEXT: An agreed upon default font will always be used unless manually changed by user.

Title – Will appear at the top of your Component and is generally larger and bolded. You cannot change the formatting of the title.

Window Text – This area displays the most text. You can copy and paste text from Word, an email, or a PDF, etc. However, please note many of these programs have invisible formatting that will cause your web page to have spacing and other formatting issues. To make sure the text looks as you want it to, you can click on the html button under the text window.

Please note, normal is the default. Erase all the html code and create the formatting in the window text area. Please reference notes section for an overview on some potential font issues.

 For information you only want displayed temporarily, you can select a Date Visible, which is the date you want the content to appear on your site. If you leave this field blank, the text shows up immediately. You can also choose a date when you want the content to be removed from your site by adding a date to expires field. If you leave it blank, it will be displayed until you delete it.

PHOTOS: You can browse for one photo at the bottom or right click in the Window Text and upload multiple photos.

Resize Photo – If you are attaching a photo that needs resized, check this box, specify the width in pixels, and pick the orientation (landscape or portrait).

Embedded Image – Click “Browse” and find your photo file. Double click the file and the path to the file will appear in the field (see screenshot).

Photo Placement – By default all uploaded images are left aligned. Choose center or right alignment from the drop down box if you need different alignment.

Downloads

Use the download component when you want to post documents to your webpage. Using a download will allow the web site viewer to see what you have to offer and to open it in a new window for easy printing and viewing

Before loading a file into the Download Page Component, we

recommend you first convert your files into a .PDF format. This allows for a reduced file size and a free reader program which is available from Adobe.

When you are ready to upload your file, click “Add a New Download.” Browse for your file. Once you select a file, the screen will automatically change to show the edit screen for the individual file. Please see next page for examples. (Add a description to your download in the optional Description field.

If you want to delete something, simply click on the delete on the right side of the file. Remember, once you delete a file, it is permanently gone. Consider whether you may just want to make it invisible with the Date Expires field Please see next page for examples..

You can reorder your files by dragging and dropping from the top down, simply click on the green arrows and drag to the location of your choice.

Downloads

(Upload your file)

After you click “Add a New Download” you will be directed to this screen. The only required fields are the Title and clicking Browse to find your file that you would like to upload to the webpage.

Here is an overview of the fields:

Download Title – Your visitors will click on this title to access the file. Be descriptive, but not too long.

Description – In this section, you can offer a longer description of the download that will appear under the title on the webpage.

Date Visible – Select the date you want your download to appear on your site. Leave it blank, and it will show up immediately.

Date Expires – Select the date you want your download to disappear on your site. Leave it blank and it will always show to the public until you delete it.

File – Click “Browse” to locate your file on your local computer, network or

CD/DVD; double click the file and the path to the file will appear in the File field (see screenshot).Note: file names cannot have special characters or extra periods. Example of a filename the CMS will not allow = Dr.Watson.pdf

Icon – Click “Browse” and find a small icon (50 pixels or less) that will appear next to the Download Title (example: PDF icon)

Use Icon as Tout (button) – checking this box will enable your visitor to click the Icon to load the file. The file will open in a new window.

Links

The Links Page Component is very similar to the Downloads Page Component. Instead of referencing a file, you add links to other web sites or internal links to resources (other pages) on your site.

This component can be useful if you want to put links to other educational organizations or business partners your school works with.

Click on “Add a New Link” to add links to your web page; you can add several links into one Links Page Component.

Once you have set up the titles of the links, click on the title (ex. “eSchoolView”) to load the edit screen where you can set up the actual link and the text you want to display with it (screenshot on next page).

Clicking “Delete” will remove the link from the component and delete it from your site.

You can reorder your links by dragging and dropping from the top down, simply click on the green arrows and drag to the location of your choice.

Links

(Add a New Link)

After you click “Add a New Link” you will be directed to this screen. The only required fields are the Link Title and URL.

Here is an overview of the fields:

Link Title – Your visitors will see this title and click on it to view the link.

Link URL – for external links: make sure to include http:// or https:// in front of the URL.

Description – The description you write will appear under the Link Title on the web page.

Display Link in New Window – By default this is checked so the link opens in a new window and does not replace your site.

Date Visible – Select the date you want your link to appear on your site. Leave it blank, and it will show up immediately.

Date Expires – Select the date you want your link to disappear on your site. Leave it blank and it will always show to the public until you delete it.

Link Image – If you want to display a small graphic/logo instead of your Link Title, browse for an image; the Link Image is clickable and will let your visitor click on the image associated with the site.

Note: when linking internally all you need is the page name followed by .aspx – e.g. boardofeducation.aspx

Photo Gallery

You can upload photos two ways:

1) Step 1: Click “Browse” and locate your photo one at a time. Add the desired title/description then (Step 2) click upload.

2) Step 1: Drag and drop your photos in the yellow field, this allows you to upload up to 50 photos at one time. Add the desired

title/description then (Step 2) click upload.

When setting up Photo Gallery Page Components you have the following display options for your visitors. Make sure you save your display options by clicking the grey Save button.

1. Display Mode –

Fotorama Gallery (default) – This option will show arrows on the left and right ride of images so the user can click them to

navigate through the gallery.

Lightbox Thumbnails– If you want to display smaller images down the page with a click to enlarge feature, select the thumbnail list from the drop down box.

2. Auto Rotate – Click this box and your images will display

automatically and rotate for the desired number of seconds between slides (Slide Timing).

3. Hide Slideshow Buttons – If selected will hide the Previous/Next arrows (good for auto rotating galleries).

4. Thumbnails – Click this box if you want smaller thumbnails to appear on top/bottom of the larger image being viewed.

5. Shuffle Slides –Click to have order of pictures randomized. 6. Fullscreen – Gives the option for viewer to enter fullscreen. 7. Transition Effect – Select between slide, crossfade, and dissolve.

eSchoolView – Site Section Management (Building & Intranet Management) - Content Management – Page Components

Gallery Grouping

Once you have more than one photo gallery uploaded, you have the option of using the Gallery Grouping Component.

This Component displays checkboxes for every page within a Site Section that contains a Photo Gallery. After you select the “Display Mode” either Newest to Oldest or Sort by Alpha Order, you will need to select the Photo Galleries that will appear on your page. The gallery Grouping Component pulls in the selected photo galleries and displays them as thumbnails, this is useful for creating a master photo page. Thumbnail links will take you to the page that houses that Photo Gallery.

Make sure to click “Save” at the bottom of the page when you are finished selecting the galleries.

Note: If you delete a page with a Photo Gallery, then you will need to update the Gallery Grouping to accommodate – otherwise the thumbnail directing people to that gallery will be broken. Simply go into the Gallery Grouping and click Save at the bottom.

Event Calendar

This is a popular Page Component to add to the District/Building homepages. It will display today’s events, upcoming events and/or a monthly clickable calendar. The following fields will setup the Component:

Title – your calendar title (be brief).

Event Show Type – Upcoming Events or Today’s Events, selecting Upcoming Events will not only display Today’s Events but will pull future events into the Component. Today’s Events is good to use if your calendar features multiple daily events.

Show Monthly Calendar – If selected, it will display a monthly clickable calendar along with your events.

Event Rows to Show – Limit the number of events that will display on each line above the calendar, enter 0 – 20, do not leave blank.

Event Groups to Show – Select the categories to display on your calendar. Make sure to click “Save” at the bottom when you are finished.

eSchoolView – Site Section Management (Building & Intranet Management) - Content Management – Page Components

Board Meetings

Adding a Board Meeting Component to your page will automatically display your meetings, minutes and agendas from the main Events Calendar. When you add this Component make sure to select the correct Event Category from the drop down box (“Board Mtg. Event Group”).

Typically this Component will already be setup and configured when your Beta site is setup.

Your Board Meetings are displayed by year from a drop down box on the public side of your site. Make sure to create events in the Events Calendar area and attach any relevant files to each event for this Component to work properly.

Is essence, the Board Meeting page component pulls from a specific Event Category and displays the events on the page; make sure to attach your Board minutes/agendas/meetings to the very Board Meeting event For additional information please click Help Icon for video tutorial.

News

News is no longer limited to just your Homepage. Now you can create and add News Components throughout your site on any page.

News Components always feature an RSS Feed that is available to all visitors of your site.

Clicking “Add a New News Article” will allow you to create a news story (next page).

“Homepage Article List Count” allow you to limit the number of stories that appear on your page. This count is typically used if there are a large number of stories within the Component and is only for building home pages.

After creating a News Article, going back into the article enables you to add images and attachments. Clicking on the Article Title will open the edit screen and allow you to upload images and documents to your news article.

You can reorder your articles by dragging and dropping from the top down, simply click on the green arrows and drag to the location of your choice.

News

Adding a New News Article

This screen allows you to setup/edit a news article. It also allows you to set how many article show (Homepage Article List Count) as well as Force the RSS Sync by choosing the top link. The fields are described below:

Article Title – Create a short teaser/headline for your article.

Sub-Header – Write a summary lead or news brief. This will appear on the main page and your visitor will click the Article Title to see the “Article” text (below).

Article – You can write the article text in this window or copy and paste it from another source. Reminder formatting issues may occur if you are copying from Word. Spell check is available for use after you are finished with the text and you can place a Hyperlink within the article itself – for News Articles, you must use the entire URL: http://yourlink.com

Date Visible – Select the date you want the content to appear on your site. Leave it blank, and it will show up immediately.

Date Expires – Select the date you want the content to disappear on your site. Leave it blank and it will always show to the public until you delete it.

Show Read More Link – This field is checked by default and should remain checked if the “Article” field contains any text.

News

Editing a News Article

When you edit a news story you have the following tabs:

1) Article Text – This is the initial screen used to set up your article. It includes Title, Sub-Header, Article Text, Date Visible and Date Expires.

2) Images (top image) – Attach one thumbnail and/or larger embedded image with your story. If your images need resized make sure to check “Scale this Image” and type in the Height and Width in pixels (recommendations given in pixels). You may also give you images a URL that they link to so the user can click and be directed to a URL of your choosing. Alt Text (ToolTip) is available as well for hovering over the image to get a description. Do not forget to click “Save” at the bottom of this page when you are finished.

3) Attachments (center image) – You can attach files to any article. Make sure to be descriptive with the “Title,” then click “Browse”, locate your file and click “Add”. You can attach multiple files to each article (they will be displayed when the visitor clicks into the news story).

4) Placement (bottom image) – This page will index your Site Section and detail where you can add this article. Just check the box next on the page you would like to display this article (check one or more).

Staff List

Adding a staff list or search form can be done on any page by using this Page Component. When you add this Component, the following options are available:

Title – A title for your Staff Component

Display Mode – Select how you want to display staff on this page. Options include:

1) Directory Form – Users will be able to search a directory form with first names, last names, titles, emails, locations and departments as search parameters.

2) Bio List – The bio list organizes the listing of staff by location/department. You can choose to include photos, names, titles, and emails in this list by making sure they are part of the Staff members’ Bio information. Users can also click on the names of the staff members to view additional information, such as education or classes taught, in a pop-up window.

3) Grid List – The grid list allows users to see the staff divided by location/department in a list form (i.e. Excel format). Users can click a name to see additional information in a pop-up window.

Filtering Criteria – check the box(s) to show certain departments. Note: Departments are normally set up by eSchoolView during the site creation process – but you do have the ability to add your own via the “Departments area” – see page 5.

To use the Survey/Form page component, a Survey must first be created. Choose the Survey/Form Administration Option located at the Site Section home. Click Add Survey/Form.

After you create a Survey/Form, use the Page Component to place your Survey/Form onto your web page.

Employment

To use the Employment Page Component you will first need to add

employment categories and job postings from the main Site Section homepage (see Employment Admin Option). You will not see the Employment button from the Admin Home. You must enter the main site section (usually a District site section) to start using the Employment capabilities.

Each employment Category is its own Employment Component, so you will have to click on add Employment Component each time you want to post a specific category. Each job position within that category is displayed on the web page.

Title – Name this Component (typically the same name as the category that you need to display on this page).

Emp. Category to Show – select the Employment category to show on the web page with this Component.

Admin Message

Instead of using a Text Window to post your Superintendent’s and Principal’s messages, use the Admin Message Page Component. This component makes archiving messages easy, so you can access old messages and post new ones quickly.

When you edit this Component, make sure to set the “Administrator” at the top by clicking on “Set An Administrator”. You can only select from employees already listed in your Staff Management area.

Header – a short phrase describing the message.

Sub- Header –r a short sentence or phrase that explains what the message contains.

Main Content – The body of your message. You can write the article text in this window or copy and paste it from another source. Reminder formatting issues may occur if you are copying from Word.

Is Visible – Checking this box will make this message visible to the public. Only one message can be visible at a time (this must be checked).

Set to Active – Click “Return To List” after you click Save; on the List of Administrator messages, click Set to Active to display the message on the page. Note: if the Is Visible checkbox is not checked, the message will not be displayed.

Blog

Many districts are concerned about using blogs because they feel a lack of control. Our system allows you to create and monitor the content on your blog. Creating a blog is simple. Just click on “Add a New Blog” and select your name from the drop down list to become the Blog Owner. The public can respond/comment on your blog but you will review all responses before it becomes visible on the page.

Blog Title – A short title for your blog.

Short Description – type a brief description of your Blog (optional)

Is Postable? – If checked, the public can Reply to your Posts

Is Public? – If checked the general public can see your Blog, if not checked they will have to log in as a Public User or Staff Member via the Public User Login or Intranet Login pages.

Notify When Post Occurs? – email notification is sent to Blog Owner every time someone replies to a post

Podcasts

Podcasts, by default, features an RSS Feed on the public side of your site. This allows your visitor to subscribe to your Podcasts through programs like iTunes.

Clicking “Add A New Podcast” will allow you to add additional podcasts. These files can be in any format, but typically are in MP3.

Clicking the Title of the podcast will bring you to the edit screen (see screenshot on next page).

Clicking Delete will remove the podcast from this Page Component after a confirmation message is displayed.

Podcasts

Adding a New Podcast

Adding a new podcast requires you to fill out the following required fields:

Podcast Title – Short title that summarizes the podcast. The following optional fields are available for each podcast:

Description – Enter up to 500 characters to describe the podcast you are uploading.

Date Visible – Select the date you want the content to appear on your site. Leave it blank, and it will show up immediately.

Date Expires – Select the date you want the content to disappear on your site. Leave it blank and it will always show to the public until you delete it.

File – Click “Browse” to locate your file and click Save at the bottom.

Note: make sure to allow time for the system to upload your file. This may take up to 10 minutes depending on the size of your podcast. Please note this upload is not the same as the download for the user. The user will be able to access the podcast immediately.

Google Search

Many sites include a Google Search box. If your site has a Google Search box on separate pages, you need to use the Google Search Component. This Component will only search your site and not display any advertisements.

Title – Enter the title that will display to the visitor.

Top Image – You probably already set up this image when we designed the beta site. You can copy and paste this image into other Google Search Components. Click “Browse” to find your image.

Go Button Image – Click “Browse” and upload a new button that the visitor will use to start a search of your site.

Search Box Width – The size in pixels to specify your search box.

Redirect Page URL – This is provided by eSchoolView (copy and paste into other Google Search Components)

Redirect Query Items - This is provided by eSchoolView (copy and paste into other Google Search Components)

Alumni Search

Many schools want to offer a way for their alumni to stay in touch. eSchoolView offers an Alumni Search Component to help the graduates stay connected to the school. To add an Alumni Search to your

website, simply select that component from the main page and enter Top Content (this is a brief paragraph about the Search and who to contact if the visitor has any questions.)

Managing your Alumni Database is under Alumni Management at the main CMS Homepage (typically reserved for Site Administrators). The Alumni Search form allows your visitors to search the following:

1) Name (first, last, maiden and/or nickname) 2) Email

3) Graduation Year

NOTE: Alumni Search and Registration is set up initially on the Beta Site by eSchoolView after we get the Alumni into the Database

Schools often rely on their alumni for support and ongoing partnerships. eSchoolView offers an easy way to gather an alumni database through its Alumni Register Component. Once you enter the Content Management area of your site, simply add a component and choose alumni register from the drop down menu. You will be prompted to enter a Title and Top Content (allows a space for you to type in a paragraph of text).

Visitors on the public site can fill out the following fields: (bold=required)

Move Content Tab

Because you will be altering, revising and adding to your site regularly, you may decide you need to move content from one page to another. Instead of deleting the component from the page and recreating it on another, you can use the Move Content Tab. The Move Content drop down menu displays other pages on your site to move content. This eliminates the need to delete content and add to another page.

Events Calendar

Clicking on the Events Calendar button from the main Site Section will generate a page to allow you to add new events, add new categories, search and edit upcoming events.

The system will list the next 25 upcoming events on the right of the page. Clicking on the blue Event Title will bring you to the edit screen for that event. If you need to cancel or change an event, you can edit the event title to add the word “Cancelled” or “Changed location.” This feature prevents confusion because users are not wondering why the event is no longer posted; they can see the changed status and do the necessary follow up.

The features on the left side of the page allow you to:

1) Add New Event – click on the plus sign (+) to add a new event. (Instructions on adding an event on the next page)

2) Manage Event Categories – you can divide events into categories to help the public access information faster and easier (do not add more than five categories).

3) Search & List Events – users can have the ability to search by date range, category or text search. Click the radio button “Specific Range, Category or Text” to enable that search box.

Events Calendar – Add New Event

Any new event requires an Event Title, Start Date and at least one category identification. (Recurring events will be covered on the next page).

Event Title – descriptive title for your event

Description – additional information about the event that will appear in the pop-up window on the public side of the site

Start Date – provide the event start date in the following format mm/dd/yyyy

Start Time & End Time – provide the start time and/or end time if they exist in the following format: 9:15 AM. If you do not provide a Start Time or End Time the event will be displayed as an all day event.

Location – provide the physical location that the event will occur.

Category(s) – you MUST select one or more categories when adding an event.

Event Attachments – you can also attach one or more documents to your event. For example, you may want to add a music program for a concert or musical, or the board minutes to a board meeting.

Make sure to click “Add” before clicking “Save” at the bottom of the screen or your file will not attach to your event.

To create recurring events you will first enter your start date on the left (illustrated). Select “This Event Will Recur” on the right and type in the date the event will recur until in the text box below in the following format mm/dd/yyyy.

The recurrence pattern features the following options: 1) Daily

2) Weekly 3) Monthly

After you select your recurrence pattern click on “Calculate Event Dates” – this will generate a list of the event dates below this area and the ability to save all your recurring events.

Note: When you save recurring events, the system will enter the events as individual entries in the calendar. Editing existing recurring events will be completed one at a time.

Blog Management

Blogs allow public visitors to reply to a topic that you post on your web site. All blog posts are Content Controlled and have to be reviewed or deleted by the blog owner (it is good to post your blog policy in a Text Window Component on that page). Board Office staff and/or teachers at each building can use Blogs.

To create a new blog, click on “Add A New Blog” towards the bottom of the page and create a Blog Owner.

If you have an existing blog, the information about each blog will show in the middle of the page and list Owner’s Name, Blog Title, Last Post, Approval’s Waiting and View (click to edit your blog and approve/delete posts).

Clicking “View” on the right will generate the next page.

Note: After you create your blog, you will need to place a Blog Page Component in your window and select your Blog from a drop down to display your Blog on the page (see video in Help section for further details).

Blog Management

When editing or creating a new blog the items above the “Blog Posting Management” will appear; you will have the ability to update the Blog Title, Short Description, Is Postable and Is Public. Your Title and Short Description will appear above your blog to the public. If you would like public visitors to post responses, check the “Is Postable” box. If “Is Public” is checked then your public visitors can view your blog.

In the bottom left corner of the screen you can “View” or “Delete” blog posts that are submitted. There are three color codes for blog posts:

Gray – my blog post is visible to the public

Green – public visitor’s post has been approved by me and visible

Red – public visitor’s post that is not approved or visible

When clicking “View” the edit/approve post will appear to the right starting with the “Post Date” field. This area is detailed on the next page.

Viewing a Post

When viewing a post, the administrator has the ability to read and

approve the title and/or content. The blogs awaiting approval will be pink, but then will change color as the administrator approves or denies them. As soon as you click “Save” the approved post will be visible to the public; if you need to delete a post due to inappropriate content, simply click “Delete” at the bottom of the page and the content will not appear on the webpage.

Survey & Form Management

To access this section click on the Survey Form Management, and Quiz button from your Site Section homepage. This area allows for the creation of Surveys, Dynamic Forms and Quizes. The data is collected, tabulated and also available through an Excel export.

To create a new Survey/Form/Quiz click on the appropriate site, and then click on “Add Survey/Form/Quiz” near the top of the page.

To access existing Surveys/Forms /Quizes, click on either the “View” or “Edit” buttons to the right of the Survey/Form/Quiz name.

Note: After you create and save your Survey/Form/Quiz, you will need to add it to your page by going through the content management feature and adding the “Survey/Form/Quiz” Component for on the page. Any survey that is not assigned to a particular page will not be visible to the public. Click the Help icon for a video tutorial.

To use the Survey/Form/Quiz page component, a Survey must first be created. Choose the Survey/Form Administration Option located at the Site Section home. Click Add Survey/Form.

1. Give the Survey a Title, description and additional information are optional.

2. Is Active: Check this box to make the Survey active.

3. Results Private: If checked, the results of the survey will be private and only viewable by you.

4. Anonymous OK: An option to place Name and Email fields at the bottom of the Survey—these are required fields.

5. Confirm Message: You can place a custom message to a user who has filled out your Survey.

6. Alert Email: Use your email to alert you that someone has filled out your survey, the notification will have the answers in the email. 7. Date Visible/Expires: Use these fields to make your survey

appear/disappear on a certain date.

8. Click Save to enter your questions/prompts (continued on next page).

NOTE: Copy option to copy your survey to another Site Section/Building. Quiz: The Quiz Component works the same way – but allows you to insert a passing grade percentage. Please use these instructions when creating a quiz.

When setting up your Survey/Form you can choose from the following types of questions/responses:

Yes/No – when selected there will be a drop down box with the following options: Please Select, Yes or No.

Free Text – If you want some open ended feedback, the free text feature offers a large text box for your visitor to enter multiple lines of text.

Select Multiple – Offers your user a drop down of multiple options for them to select just one.

Radio List – The radio list offers a number of options and allows the visitor to choose only one.

Single Text – Single text is a small one-line text box where you can ask for a visitors name, email address, physical address, etc.

Check List – The checklist gives users to ability to select one or more available options that you enter one at a time.

Document Upload – Users can submit a file to be gathered in the CMS.

Each question you add can be ranked by clicking on the up and down arrows to the left of the question. In addition, each question can feature an image or file (i.e. – if you need the visitor to look at an image or a PDF before they answer a question).

Clicking “View” next to your Survey/Form will bring you to the Questions Aggregate Summary page. This will tabulate the questions besides the “Free Text” and “Single Text” responses.

To view the free form responses click the drop down box and select

“Individual Responses.” This will load the next page and from here, you can export the results into an Excel Spreadsheet (see below).

Individual Responses organize the information by the test takers. It lists the survey respondent’s name and then his/her answers to all the questions. Each response features the IP address from the visitor and a “Delete Response” next to the IP address.

If you need to export the results, click on “Export Results” at the top next to the Show Report options. The system will open Microsoft Excel and each question will appear in its own column.

Note: if you need to sort your Excel export by first and/or last name you must setup your Survey/Form to collect each field individually.
