General Virtual Tradeshow Guide

How to Access Exhibitor Page:

Want to meet: This feature is much like collecting virtual business cards and helps the attendees keep track of

exhibitor booth’s they would like to contact. The attendees are able to click ‘Want to Meet’ button on your

exhibitor booth to add to their personal list.

Manage:This is where you are able to manage your exhibitor booth information in real-time. You are able to make updates to your booth at any time, this feature is always available to you make changes as needed. You are able to edit company info, get leads, see visits, look at poll data, etc.

Request info: This is where attendees can send you personal messages to connect and release’s the attendees

contact information to you, i.e. email address.

Enter virtual tradeshow booth: This is where attendees will go to enter your personal exhibitor booth Zoom room to meet with you. Please note you can enter and exit the booth at any time, but we recommend always having a representative in the both so when attendees enter someone is there to speak with them. If you exit the Zoom room, you are able to go back in to the room through clicking ‘Enter Virtual Tradeshow Booth’ and then click ‘Join Live Meeting’.

New Conversation: This is where attendees can engage in public conversation with you and your fellow booth managers.

To obtain leads and visits:

• Click the manage button

Leads:An attendee has submitted their information to you by selecting the ‘Request Info’ button and send you a direct message. This downloaded list will include the attendee’s email address.

Visits: An attendee has visited your booth, but has not submitted release of their contact information to your

organization. A visit does give you the option to view the attendee’s profile, where you are able to send them

When the Exhibition Hall is open, there will be a “Join Live Meeting” button available to the

attendees to enter your personal exhibitor booth Zoom room.

Tips for using Zoom:

Setting up Virtual Background in a Pathable Session

• Click Choose Virtual Background.

• Click on an image to select the desired virtual background or add your own image by clicking +Add Image. ...

• Check I have a green screen if you have a physical green screen set up. You can then click on your video to select the correct color for the green screen.

• Click on an image to select the desired virtual background or add your own image by clicking + and choosing if you want to upload an image or a video.

• If prompted, click Download to download the package for virtual background without a green screen.

Notes:

• Ensure that you are using a solid background color.

• After you select an option, that virtual background will display during your meetings. • To disable Virtual Background, choose the option None.

Virtual Exhibitor Tradeshow Zoom Room

• MUST enter your personal exhibitor booth Zoom through ‘manage’

• Set host and co-hosts when you first enter your Zoom room

• You are able to enter 20 minutes prior to the Exhibition Open go live time • ONLY host has access to the breakout rooms button

• The Zoom Meeting Room will have the below functions

• The session will not be auto recording, if you want recorded, hit record. You will want to click record to computer. When the exhibition meeting room time is over, when you hit ‘end meeting for all’ a

• How to share screen:

o Select ‘share screen’ to share a PowerPoint presentation, PDF, etc.

o If sharing a MP4 video file, YouTube video, etc. select the below checkboxes when sharing your video for your sound to share in the Zoom room to the attendees.

• You will be able to manage and setup the below settings in your personal Exhibitor Booth Zoom room

• Please select the ‘…” showing at the bottom right of your Zoom screen to

• Using the Waiting Room Feature

o The Waiting Room feature allows the host to control when a participant joins the meeting. As the meeting host, you can admit attendees one by one, or hold all attendees in the Waiting Room and admit them all at once. You can send all participants to the Waiting Room when joining your meeting, or you can allow participants from your Zoom account and participants at specified domains to bypass the Waiting Room.

o Participants will see the following screen when joining a meeting with Waiting Room enabled:

▪ Click dropdown ‘More’ or the 3 dots “…” to the lower right-hand corner

o Select ‘Enable Waiting Room’

o Admitting participants during a meeting

▪ As the meeting host, click Manage Participants.

o Admit all participants from the Waiting Room

▪ As the meeting host, click Participants.

▪ Click Admit all.

o Sending participants to the Waiting Room during a meeting

▪ As the meeting host, click Participants.

▪ Click More next to the participant's name and choose Put in Waiting Room.
