FAQ

Q1.What will be the User Name and Password in case you need to Login on your

Personal Computers?

Ans 1. User name: Characters which will appear in your E-mail ID before the @ sign Password: India @123

Eg. Email Id is [email protected] Thus User Name :- Kavita.Marwah Password :- India@123

Q2. What will be the User Name and Password in case you need to Login on my hcl.in?

Ans 2. User name : Unique Employee Code ( of Six digit )

Password :- Employee will receive through mail from BRP team with 48 Hours

If Employee Code is 40166853 Then Unique code will be 166853 as 40 is country

code

Q3.What is the information which you need to send to EHS for your Salary Processing

& at which ID? Ans 3.

 Employee Name  DOJ

Saving & Reimbursement / current account no.  Bank branch details

Employee code  Pan Card No

Q4.When will I get my First month salary?

Ans 4. In case employee joins on or before 15th of the month, the first salary gets processed and credited on last working day of the same month. After 15th, the first salary gets processed in next month salary from date of joining with all the arrears of previous month.

Q5.As soon as you get your PC, can you start your Assignment by reporting at your work

site?

YES NO If NO, then what do you need do?

Ans 5. Employee need to get E-mail ID configured on their Personal Computers with the help of IT

Q6. In case you have to send any pending document to EHS, what is the procedure ?

Ans 6. The employee can send the pending documents through internal courier ( through company shuttle) at A-1 C D Sector 16 Noida, addressed to Mr. Arya Parthasarathy. The employee has to write his / her name, employee code & date of joining on the each page of documents so that it becomes easy for EHS to file them in the respective file.

Q7. What all documents can you drop in EHS drop box?

Ans 7. You can drop all the reimbursement bills (which are being claimed through CVCS application), in the drop box available in your facility. There are two separate drop boxes, one is for cash claims and other one is for medical claim.

The detailed process of CASH and MEDICAL is enumerated as under - Process for Medical claims:

Login through the link medical claim -> go to new claim -> Select from Domiciliary / Hospitalization – > enter the details-- > take a printout of the same-- > attach the Doctor’s prescription, bills & copy of reports -- > drop the same in EHS medical drop box.

Process for Cash claims:

Login through the link cash claim-> go to new cash claims -> Select the expense category – > write the description & the amount-- > click the submit button.

Once approved by your Manager go to cash claim-> view claims-- > take the print out of the approved claim-- > attach your bills -- > drop the same in EHS Cash drop box. Q8. Incase you have lost your ID card, what is the procedure of getting the new one?

Ans 8. The duplicate ID card will be issued by EHS and the cost of Rs. 200/- will be deducted from employee’s salary.

Employee need to send a mail for the same at [email protected] with the following details…

Scanned copy of passport size photographs in BITMAP format  Blood group

 Sitting location details  Employee Code

The new ID card will be delivered at the employee location within 2 working days of receiving the complete information.

Q9. Incase you have lost your Access Card, what is the procedure of getting the new one?

Ans 9. The employee need to send a mail to Aditya Kumar Jha at [email protected] requesting him to deduct Rs 400 from the salary and mark a CC of the same mail to his / her local admin

team who will then issue the new Access card to the employee.

Q10. What is the procedure to get the PF accumulations transferred from previous organization to HCLT.

Ans 10. The employee can submit the PF transfer form (Form – 13 in triplicate) to Rishi Anand through internal courier at A -1 CD sector 16, Noida. The employee needs to submit the Hard copy duly signed by them. The contact person in NCR is Mr. Rishi Anand and his email ID is [email protected] .

Q11. What is the procedure to seek any salary related queries in EHS? Ans11. The employee can raise an SSD under EHS (for payroll related queries) or can send the email to Ms. Renuka Handoo and Mr.Gouri Shankar Panda for any general payroll related queries. In regards to Tax related queries, Mr. Sushil Kumar Singh can be contacted or employee can raise SSD ticket under Tax Related queries.

Q12 . I have not received the hard copy of my appointment letter at time of joining, who will give me the same .

Ans . As per the existing organization process, only Soft Copy of the offer cum appointment is mailed to all employees and NO HARD COPY IS GIVEN.

Q13. How can I get my appointment letter corrected if there are any mistakes in name/DOJ etc?

Ans :- Please get in touch with the recruiter / person who took your interview & gave you the offer for any kind of changes if required on the offer cum appointment letter . Q14. I want to apply for airtel corporate connection / Visa application etc thus need an address proof letter from HCL .

Ans . You can print your Employment and Address proof letter online

Path :myhcl.in->MyPage->ESS->Reports->Employment Address proof

• An employee can print his/her letter from ESS application by selecting the option of employment /Address proof under the Report’s header.

• Employee will have to first validate their current address in the ESS. (Incase the employee changes the Current address in the My Information Personal – Address in ESS, the exiting workflow of validating and updating the same with 24 hours will be applied.)

• Employee will have to select the purpose for the letter from the available drop down list.

• Once the employee clicks on the Print Address Proof Tab, the system will print the employment/address proof on their local printer.

• The Employment/Address proof letter will be applicable only till one month from the date of generation.

• Letter can only be generated through Internet Explorer browser.

Employee can get the Employment / Address proof letter attested by BU HR, Incase required.

Q15 . I want to apply for higher studies thus want a non objection certificate from HCL, from where can I get the same.

Q 16 . What is the process of getting my relocation amount & who is eligible for the same?

Ans . A new Hire will be entitled for relocation expenses incase the same is mentioned in the appointment letter. You can claim the amount by attaching the copy of

appointment letter with all the supporting bills . Please use the below mentioned path for the same.

Path :-myhcl -> mypage ->cash claim ->new cash claim ->expense category -> relocation expense

Steps

1) employee need to raise the cash reimbursement claim through application called CVCS in myhcl

2) employee takes the printout of the claim ,attaches the necessary documents & deposit in the EHS drop box

EHS disburse the claim after checking the eligibility and other details.

Q17 . I don’t have the PAN card, is it necessary to apply for the same even my salary is not taxable.

Ans . Yes, it is necessary to apply for the PAN card at the time of joining itself. Once you get your PAN card, you need to communicate your PAN Number with the copy of the PAN CARD to EHS within three months. Failing which , your 4th month salary will be stopped & will not be released unless needful for PAN card is been taken care .

You can apply for PAN card with the help of Genie or by contacting the below

Q 18. Do I have to declare my Savings some where for the TDS deduction. Ans. Yes it is mandatory for you to declare your Savings using the below mentioned path at my Hcl, in case you do not do so the same will not be considered while deducting the TDS amount from your salary.

Q19 How can I avail the transport facility?

Ans. We have many official buses running at various routes which is on paid basic. You can get in touch with your local admin team and get all the details.
