3.0 Member Reports

3.1 President’s Report:

Once again, I’d like to thank everyone for all their hard work and dedication in leading our association through the evaluation process. Although no process is perfect, I feel our evaluations went well and were positively received by the majority of our membership. Moving forward Lorne and I will be meeting with the conveners and board members to go over how we can build upon the evaluation process for next season.

On September 29th, I participated in a GHA emergency board meeting via teleconference. Russell

had filed an appeal regarding their denied deviation motion to have no Atom A Team this season. As the BMHA president, I voted against this motion, but Russell’s new motion was approved by a majority vote. As a result, there are only four Atom A teams this year in the GHA.

This meeting was one of the main reasons why the GHA schedule could not be completed and sent out to the associations earlier. I understand this was a major source of complainant for many BMHA members, but the situation was completely beyond our control.

Moving forward, conveners will be asked to share communications with their respective coaches and team officials regarding complaints about the GHA or the GHA executive. As a member of the GHA Board all complainants need to be sent to myself, unless of course the complainant is about me. This year, a number of our members felt the need to express their displeasure about the scheduling delays directly to members of the GHA executive without notifying myself, Lorne, or their

conveners. This is a problem which reflects poorly on our association as a whole and one we’ll need to address with our membership moving forward.

On October 3rd, I attended the monthly GHA meeting and the following items were the main areas of discussion:

Novice:

• Continued discussion on the implementation of the new half ice Novice format; o Novice players can affiliate with an Atom team on January 16th, 2020.

o Novice players can practice with Atom teams at any time.

o Novice players cannot participate in exhibition games or tournaments with an Atom A team before January 16th.

Affiliation Process:

• Teams are encouraged to begin affiliating players (up to 19 players).

• Emergency Goalie call ups are available to teams that don’t have a goalie affiliated. In such a situation for example a goalie for Peewee B1 could play for Peewee B2. The emergency goalie call-up process allows for lateral and call-upward call call-ups. No goalie can ever play down a level.

TTM Issues:

• The GHA president was looking into our BMHA teams not having access to TTM over the weekend. Conveners please check with your respective team officials to verify they have TTM access and report any issues to Lorne.

Rowan’s Law & Gender Identity & Expression Talk:

• The video link is available, and Lorne and Denis will be making it available to all conveners. We will not be posting the link on our website as per HEO Minor.

• Team discussions should begin and must be tracked by conveners and forwarded to Risk and Safety (Denis) upon completion.

New Adopted GHA Co-ed Dressing/Locker Room Policy •

• As of now, this will also be considered the BMHA’s official Co-ed Dressing/Locker Room Policy. Important Dates for the BMHA:

• Dec 4th to Jan 1st, 2020 – No Juvenile Games

• Dec 7th : Possible new date for BMHA Event

• Dec 24th to Jan 1st – No House League Games

• Late December – B Division League Split. • March 14th – March 21st – March Break

• March 22nd – House League Round Robin Playoffs begin

• March 30th to April 3rd – House League Quarters, Semis, & Finals

• April 4th to April 5th – GHA House League Finals

Specialty Training – APEX, EOGA (Eastern Ontario Hockey Goaltending Academy) have begun. Lorne to provided update.

3.2 VP Hockey Operations (Lorne Wilmott):

Evaluations:

Evaluations went very well. Convenors are asked to report back on suggestions / issues. Coach meeting went very well and was well attended.

Training:

Bantam & Midget players should also have access to Power Skating and Goalie Clinics. Communication with coaches would be helpful to assess interest. The players can decide if they would like to take advantage of this opportunity.

5 New process this year. We will review this for next year.

Affiliates are invited to attend Blues practices and to play games.

House League affiliates may also attend the affiliating team’s practices – communication is key with the coach and manager.

ALL teams must affiliate. TTM Access:

Access to the Total Team Management site has been delayed this year. All have been entered at this point and you should have no further issues.

Emergency Goalie Call-ups:

Contact Lorne if this need should arise.

3.3 VP Finance (Louise Tailleur):

Jersey Reserve

The reserve situation is positive. I invested $25,000 in a GIC.

* I used $17K that was sitting in the bank account for our 2024 jersey replacement. * In addition, I used $8K from the account to make up the 25K investment.

* The great news is that we will make $1,350.06 at maturity in three years.

This will mean that we still need to save $8,649.74 until the end of fiscal 23-24 for a total of $35K for the next jersey replacement. We have 4 years to save this amount so that should not be a

Required Training for coaches, etc.

As per the registrar email, courses should be completed at the latest November 30th depending on which courses are required.

In order for these individuals to get reimbursed, they have to send me a proof of payment and proof of passing the course. This can all be done by email and I will issue a cheque/refund. No payments will be made unless we receive both proof/documents.

Courses taken this fiscal year are required to be reimbursed this fiscal year. Perhaps remind them of this.

Switch from Paypal to Teamsnap Integrated Payment System

We are aiming for October 21st for the switch. We still need confirmation from Teamsnap. I will prepare a communiqué to be sent out to parents.

We will update the registration information on the website.

Everything will be in place for the 4 on 4 registration this Spring and for any late registrations after the implementation.

Bank Letters to open team accounts

Most letters have been prepared and sent to the Treasurers. Please ask your teams to send me a request for the letter. If they have not asked the letter, they still need to contact me so we have a record of the treasurer/co-signor for the accounts.

Banks require the letter and the BMHA/GHA requires two people to sign on these accounts.

Reimbursements, etc

If you need a reimbursement, please ensure to provide me with a receipt as proof. We also need to ensure we have a budget for any reimbursements.

BMHA Audit Committee

I will contact the BMHA audit committee over the next few weeks to set up a separate meeting to review the financial information from March to September 2019. As a reminder, this is a requirement of the GHA and the BMHA.

APEX - prepayment

I made a pre-payment of the APEX invoice - The service will be rendered until December.

Lorne will oversee that services are being provided.

We had budgeted $3,645 but we made $3,875 (profit of $230)

Team fees

were discussed and it was confirmed that there are no official caps on team fees.

3.4 Registrar (Rich Inomata):

Registration - As at Oct 8, BMHA has a net total of 378 completed registrations compared with 372 completed registrations for entire 2018-19 season increase of 1.6%. Gross registrations are 393, including 8 refunds and 7 Blackburn players who transferred for one season and are playing with other associations. Including another Blackburn player who did not register with Blackburn and will be playing with another association this season, there are 386 Blackburn players playing hockey this season (299 House, 79 competitive, 8 playing house with other associations). Blackburn has no Juvenile team for the second consecutive year. Total final registrations for 2018-19 and 2017-18 were 372 players (308 House, 64 competitive) and 389 players (306 House, 83 competitive) respectively and 385 players in 2016-17.

Competitive – This season, there are 79 registered Blackburn players who made competitive teams, compared with 64 and 83 the previous two seasons respectively.

By level, house and competitive players thus far are as follows: IP - 60

Novice - 43 House, 5 Competitive Atom - 58 House, 18 Competitive Peewee - 51 House, 17 Competitive Bantam - 44 House, 20 Competitive Midget - 43 House, 19 Competitive Total - 378 - 299 House. 79 Competitive

8 other players (5 Midget, 1 Peewee, 2 Juvenile) are playing house league with other associations. In total, 386 Blackburn players are playing hockey, either with competitive teams or with house teams in Blackburn and elsewhere in the GHA.

Goalies - There are a total of 24 goalies. By level, goalies with number who made competitive in brackets are as follows:

Novice - 2 (1) Atom - 8 (3)

Peewee - 5 (1) - 1 transferred to GCMHA which was short goalies Bantam - 6 (1)

Midget - 3 (0) Total - 24 (6)

Number of Teams - Blackburn is icing 18 teams, down one from 19 teams last season: Novice - 4 teams Atom - 4 teams Peewee - 4 teams Bantam 3 teams Midget - 3 teams Total - 18 teams

New Players and Transfers In - There are 39 new players and 21 transfers in this season.

Females – There are 27 female players registered this season, including 3 in Peewee. This comp ares with 19 and 18 female players the previous two seasons respectively.

Rosters - All teams have submitted their rosters for approval, including IP. Coaches will be notified of required training that their staff is missing and must complete when the ap proved rosters are received.

Affiliations – Coaches are reminded to plan ahead for affiliates and to submit the completed affiliate player form with signatures (parent, affiliating coach, home team coach) to the Registrar in PDF format as early as possible. Teams should be submitting the required paperwork up to 7-10 days in advance.

Respect in Sport for Parents: All new players to hockey have had their Respect in Sports for Parents (RIS-P) requirement completed except for one player in IP. New players who have not had their RIS-P completed will not be allowed back on the ice until the requirement is completed.

not completed their training by the required deadline will be removed from the team roster and not allowed to participate further in on-ice or off-ice activities until their training is completed.

3.5 Risk & Safety (Denis McKinnon):

Dennis reminds volunteers to submit the letter on the website for the police check – otherwise it costs $66. Please submit to the Convenor, Head Coach, Registrar and Denis.

Rowans Law forms need to be returned to Denis for storage.

Video link will be sent to all coaches regarding Gender Identity to send to the parents of their players. HEO requires that this be done.

3.6 Discipline (Michael Godwin):

3 suspensions – 2 checking from behind. 1 gross misconduct at the peewee level.

3.7 Ice Scheduler (Bryan Morris):

Bryan has been receiving emails directly form parents. If you have an ice scheduling concern, please address this with your Manager and Convenor first.

3.8 Sponsorship & Fundraising (Petra Andersson-Charest):

Petra has been speaking with local businesses about gift cards etc. for a raffle for the home opener.

3.9 Public Relations (Janet Neves):

Photo Day : November 1oth at Bob MacQuarrie. A schedule for the teams will be sent out.

3.10 Equipment (Josh Drake):

Midsize jerseys will need to be ordered next year. Still awaiting sock order.

3.11 GHA Convenor (Maria Drake):

Access to game switches has not been made available to her yet – hopefully soon. If anyone has game switch questions or stress – send her a message and Maria is happy to help.

3.12 Initiation Program (Mike De Lisio):

Parent meeting was a success. No news yet if the Fun Day at the Sensplex will go ahead.

3.13 Novice (Jon Kimball):

Novice teams have been requesting more team practices and less games for the beginning of the year. They need more time for skill development.

3.14 Atom (Andrew Pile):

3 and 1 – a great start. Has fielded many affiliation questions. No issues to report.

3.15 PeeWee (Joumana Campbell):

3 and 1 – a great start. Has fielded many affiliation questions.

3.16 Bantam (Todd O’Brien):

Undefeated – excellent start. No issues to report.

3.17 Midget/Juvenile (Philippe Charest):

3.18 Director Competitive (Andrew Major):

No issues to report.

3.19 Webmaster (Paul Marr):

TeamSnap transition has gone well.

Suggestion for next year that the more experienced convenors help the new ones – perhaps a TeamSnap session.

3.21 Coach Mentor (Norm Robillard):

Coach list added to TeamSnap so that he may communicate with them.

3.22 Peewee Tournament (Jody Levoy):

Registrations going very well. B weekend is almost sold out.

Have communicated with teams to enlist Ambassadors. Will have them confirmed shortly. Lorne will assist with booking the refs.

3.23 Spring 4-on-4 (Miguel Tremblay):
