As Associate – Procurement, you will need to handle the entire purchasing life cycle.

Applicants should have a broad knowledge and understanding of Procure to Pay (P2P) system platforms and its functionality, finance policies and procedures along with P2P compliance objectives.

The ideal candidate will establish positive and professional relationships with multiple stakeholders across the organisation and ensure best practices are being consistently communicated for Purchase Order Creation and compliance with P2P processes and policies across the institute.

This position will be part of the Operations function at IIHS. Activities and Tasks

Your responsibilities would include, but not be limited to, the following:

• Managing IIHS’s high-volume purchasing life cycle;

• Driving alignment to finance policies and procedures; providing staff service support and resolving conflicts and questions as they arise;

• Developing and maintaining standard operating procedures of purchasing and P2P;

• Ensuring a transition to scalable and efficient P2P and related finance processes and associated systems. Including system implementations, data analysis, critical thinking and working with data sets from multiple tools/systems;

• Driving operational excellence and compliance into process and procedures with a focus on automation, standardisation, documentation, monitoring and measurement by utilization of key performance indicators and other reporting, as well as, strong internal controls;

• Staying abreast of P2P best practices and changing functionalities in the systems in order to maintain domain expertise and make recommendations for enhancements or changes;

• Consistently drawing from experience and ongoing benchmarking to optimise processes;

• Creating purchase order accruals and resolving variances for the financial close; driving to an automated accrual process and ensuring continuous feedback loop with

stakeholders regarding aged purchase orders to minimise any financial statement impact related with the closing of purchase orders;

• Supporting other programmes at IIHS, in particular the Academics and Urban Practitioners' Programmes, in integrating online learning as part of blended learning;

• Participating in all activities of Institution-building at IIHS; carrying out tasks as

assigned by IIHS; and travelling on IIHS work within or outside the country as needed. Structure and Reporting

The Associate - Procurement will report to the Head of Operations at IIHS and will be working in close cooperation with key stakeholders of the Operations team. The mentoring and coaching of younger team members would also be an intrinsic part of the role.

Person Specification Applicants should have:

• A Bachelor’s degree in Accounting, Finance, Supply Chain Management or related field;

• 4+ years of experience working in purchasing and P2P operations;

• Experience with large-scale ERP systems and successful implementations;

• A strong knowledge of purchasing and overall P2P policies and procedures/best practices, along with related systems and reporting;

• Ability to work in a dynamic organisation that will undergo transformation;

• A strong understanding on the tactical execution of purchase orders;

• Advanced experience with MS Office including Excel and PowerPoint;

• Strong analytical and reconciliations skills;

• Customer service focused and committed to delivering quality results and overcoming obstacles and challenges in a time-sensitive environment;

• Ability to build strong relationships, operate as a team and utilise collaboration skills;

• Ability to create and report metrics and monitor compliance;

• Ability to drive process and system improvements across multiple teams.

Strong interpersonal skills are essential for this position. Demonstrated competency in developing effective solutions to diverse and complex business problems. Exposure to working in an organization involved in education or training would be an added advantage.

This position is based in Bengaluru and may entail travel to other locations in India. Review and Assessment
