2 | P a g e IT Services has developed the Google Token solution to assist users with the configuration of mobile devices for their UOITnet email. The instructions provided within this document are a guideline only to assist users with this configuration. IT Services staff are not
permitted to work on privately owned devices.
It is important to note these guidelines are to be used to set up and configure your mobile device to access your UOITnet email. If you are using a web browser you will continue to login via the Central Authentication Screen (CAS) and you will use your student number and network password.
Generate Google Token
To setup a mobile device to access UOITnet email you will need to use a separate Google Apps password. We call this your “Google Token” and this is not to be confused with your network password that you use to access UOITnet from a web browser.
To obtain your Google Token please follow these steps;

You are presented with a 16 character ‘token’.
Click on Activate Google Token.
3 Your Google Token is now available for you to use to set up your mobile device(s)
Note: Please store this token somewhere safe to use on multiple devices at a later time. If you lose or misplace this token you can generate a new token by following this same process. If you generate a new token you will need reset the token on all of your devices.

UOITnet account: [email protected]
Google Token: 16 character token assigned to your account recognized by Google
Server Name: m.google.com
Setting up UOITnet on your Android Mobile Device
Most Android mobile phones have mobile versions of Gmail pre-installed. Ensure you have generated your Google Token and have it handy to enter in step 2 of the following
instructions.
Please follow these steps to set up the native Google Apps mail, contacts, and calendar apps on your Android:

1 Open the Accounts & sync Settings screen on your device. You can do this in Contacts by pressing Menu and pressing Accounts, or directly in the Settings application.
The Accounts & sync settings screen displays your current sync settings and a list of your current accounts.
Touch Add account.
2 Enter your UOITnet account email address ([email protected])
Enter your Google Token when it prompts you for a password.
Select the services you would like to sync.

Configuring the ‘Email’ app on an Android device for access to Google Apps email (IMAP)
To configure the ‘Email’ app that comes with Android smartphones use the process outlined below to access UOITnet email via IMAP. Ensure you have generated your Google Token and have it handy to enter in step 3 in the instructions below.

1 On your phone, press <Home>, then open the email app.
2 On the ‘Your accounts’ page, select Next to get started with setup.
3 Enter your full UOITnet email address – [email protected] and your Google Token created earlier, then select Next.
4 Select IMAP account and then select Next.

On the ‘Incoming server settings’ page, some fields may be pre-populated. Change the following;
‘Username’: enter your UOITnet email address ([email protected])
‘IMAP server’: enter ‘imap.gmail.com’
‘Port’: enter ‘993’
‘Security type’: select ‘SSL(always)’

On the ‘Outgoing server settings’ page, some fields may be pre-populated. Change the following;
‘SMTP server’: enter ‘smtp.gmail.com’
‘Port’: enter ‘465’
‘Security type’: select ‘SSL(always)’
8 Select Next and continue through the setup options.
Verify settings
To verify your setting from the Inbox view by tapping <Menu> > Account settings.
Incoming settings:
IMAP server: imap.gmail.com Port: 993
Security type: SSL (always)
Outgoing settings:
SMTP server: smtp.gmail.com Port: 465
Security type: SSL (always)
Now that your account is set up, learn how actions sync in IMAP with Gmail.
6 | P a g e When you set up your Apple iOS device (your iPhone, iPad, or iPod touch) you will notice there is the option to add an account via Gmail or MS Exchange. It may seem
counterintuitive to select MS Exchange instead of Gmail, but Exchange offers some features not offered by the Gmail set up. Here’s a comparison
MS Exchange Gmail
Mail, Calendar*, Contacts (*includes option to sync secondary calendars, using Google Sync)
Mail, Calendar**, iOS Notes (**will only synchronize your personal or ‘primary’
calendar)
Ensure you have generated your Google Token and have it handy to enter in step 6 in the instructions below.

1 Enable IMAP in Gmail. Don’t forget to click Save Changes when you’re done.
2 Open the Settings app on your Apple iOS device (iPhone, iPad, or iPod touch) 3 Click on Mail, Contacts and Calendars.

Enter your information as follows;
Email: enter your UOITnet email [email protected]
Username: enter your UOITnet email [email protected]
Password: enter your Google Token 7
Click Next. Your iOS device will attempt to verify this setup for a moment and will then add another field for ‘Server”;
Server: enter m.google.com

On the next screen you will have the option to choose the items you would like to sync, from your Mail, Contact, and Calendars. Simply tap the button for any option you want to switch ON or OFF.
Note: when you turn Synchronization On, you may be prompted to choose how to handle the items already on your phone. You can choose to Keep on My iPhone (recommended to keep your existing contacts) or Delete.
If you choose to keep the items on your phone you may get a message warning you that you may see duplicate items. Click Keep on My iPhone again if you are sure.
9 Once you have chosen how to handle each item type, click Next and the account will be added to your iOS device.
