This document provides a brief catalogue of the event features that are available within the TicketHost system.

Please note that some of the features listed below can only be managed by TicketHost staff. For a more detailed description or for assistance in implementing these features for your event please contact TicketHost at (03) 9011 3221 or [email protected].

Section 1 – Standard Features

Y Identifies when ticket sales are to commence. Defaults to the current time.

Y Identifies when ticket sales are to end. Defaults to 1 hour prior to the event start time.

Contact Name Y Contact name for the event organiser who is best able to assist ticket buyers with any enquiries they may have. Contact Email Y Event Organiser’s email address for ticket buyer

enquiries.

Contact Phone N Event Organiser’s phone number for ticket buyer enquiries.

Activate Now Y Yes: Activate ticket sales for this event immediately (pending Bookings Open Date)

No: Ticket sales not activated. Event is placed on hold, allowing you to review and update your event settings

Venue

Description Y

Address, City, State, Postcode

Y Address line 2 is optional.

Venue Parking N Provide details of venue parking facilities for your patrons

Transport N Provide details of transport options for this venue. Map URL N Link generated from Google Maps, Whereis or similar

website. Your event home page will include a map popup link to assist Ticket Buyers.

Venue Sections Y Yes: Split the venue into separate areas. Generally only required if areas of your venue have different ticket prices (for the same ticket category). Eg. Balcony/Stalls or Premium/Standard seating.

No: The venue has only a single area or if it does have multiple areas they are homogenous with respect to ticketing.

Allocated Seating Y Yes: Buyers purchase tickets for specific seats. A seating plan must be provided and each seat must be allocated a reference, eg. B23. Buyers will have the option to select their own seats.

No: For non-seating event or seated events where seats are not allocated, ie. General Admission.

Seating Plan N Only required if your event has Allocated Seating. You need enter only a name and the capacity for the seating plan and email your seating plan map to:

[email protected].

Capacity Y If you have selected Allocated Seating, the capacity will come directly from the Seating Plan you have provided. If seating is not allocated, you must nominate the capacity.

Ticketing

Ticket Category Y Ticket Categories identify different pricing levels and/or different categories of attendees. Eg. Adult, Child, Concession, Student, Member, Non-Member, Premium, Standard.

If your event includes venue sections, you must include a ticket category for each section in which it is applicable. TicketHost also caters for different booking periods by Ticket Category, allowing you to implement ‘Early-Bird’ pricing. Please contact TicketHost for configuration options.

Ticket Price Y If GST is applicable for your Organisation, this price must be GST inclusive.

Additional Information

Terms & Conditions N Conditions of entry etc.

Warnings N Notify event attendees of any warnings relating to content or special effects.

Invitation Code N Restrict ticket purchasing by forcing ticket buyers to provide a code word.

Public Listing Y Yes: Event is displayed in TicketHost general listing.

No: Event is not displayed in TicketHost general listing. Note: If the event listing is specifically filtered to your organisation only, then all of your organisation's active events will be included, irrespective of this setting. Unsold Tickets at Door Y Yes: Once bookings are closed, ticket buyers will be

informed that unsold tickets are available at the door.

No: No message regarding unsold tickets.

Dress Code N Notify ticket buyers if there is a dress code for the event.

Host Fee Paid By Y Ticket Buyer: The TicketHost hosting fee is paid by the ticket buyer and will be added to the order value at checkout.

Event Holder: The hosting fee is paid by the event holder, ie. not added to the order value, but rather deducted from the revenue remitted to the event organiser. Booking Fee Paid By Y Ticket Buyer: The booking fee is paid by the ticket buyer

and will be added to the order value at checkout.

Payment Options Y Specify which of the available payment methods you would like to offer your ticket buyers.

Credit Card: Buyers are transferred to the secure ANZ Bank Payment Gateway to enter their credit card details. Note: Credit Card is a mandatory payment method in the TicketHost system.

EFT: Buyers are sent an email containing the TicketHost banking details to enable them to process the EFT payment. Tickets are only released once the payment has cleared.

PayPal: Buyers are transferred to the secure PayPal system to process their payment. Payments are credited to the PayPal account specified by the event organiser. PayPal Account N If PayPal is enabled as a payment method, you must

specify the PayPal account that payments are to be credited to.

PayPal Fee N If PayPal is enabled as a payment method, you must specify the PayPal fees that are applicable to your account. This allows TicketHost to provide you with accurate net revenue reports.

Note: Standard PayPal fees are 2.40% + $0.30 per transaction.

Ticket Delivery Options Y Email: Tickets are emailed to the address specified during the ordering process.

Note: Email is a mandatory delivery method in the TicketHost system.

Pickup: The ticket buyer is able to collect the tickets at the location and time that you specify.

Surface Mail: Standard Surface Mail and Registered Mail are available, however they incur a surcharge and are not recommended. Please contact TicketHost directly if you would like to enable these methods. Ticket Pickup Details N If you are offering a ticket pickup option, specify the

Section 2 – Advanced Features

Custom Event Page Use our rich text editor to build a custom event page to promote your event. You can include images, links and other information about your event in whatever format you choose.

Update via the Custom Event Page link on the Manage Events page. Ticket format Various layouts and configuration options are available for the tickets

that will be emailed to your attendees.

Update via the Ticket Layout link on the Manage Events page. Custom images Upload your own image file to customise your event in the Tickethost

event listing.

Update via the Event Images link on the Manage Events page. Data Collection /

Registration Information

Additional data or registration information may be captured from your ticket purchasers, eg. Dietary requirements, gender, membership number, etc.

Manage via the Data Collection link on the Manage Events page. TicketHost also allows you to tailor your data collection by ticket category, please contact TicketHost to discuss configuration options. Event website Add a link to a website containing more information about your event. Venue Layout Image Add an image file to provide information about the venue layout. Multi person tickets Include multi person ticket categories, eg. Family (2 x Adults plus 2 x

Section 3 – Event Organiser Functions

Direct Payment Orders A Direct Payment Order (DPO) is a special type of order that allows an event organiser to place an order on behalf of a customer. This may be used in the scenario where a customer does not have access to the internet or would prefer to pay you directly rather than purchasing online at TicketHost.

With a DPO, no payment is made during the TicketHost checkout, rather the customer pays the Event Organiser directly. No funds will be

remitted by TicketHost for this type of order.

Note: Only authorised event organisers may process a DPO. Please contact TicketHost if you wish to enable this authority for an event organiser.

Complimentary Tickets Complimentary tickets can be generated by processing a special zero-value order type. These tickets can then be distributed as required. Note: Only authorised event organisers may process a Complimentary Ticket Order. Please contact TicketHost if you wish to enable this authority for an event organiser.

Reserved Seats You may elect to reserve seats for your event. For an event with allocated seating you must nominate the specific seats to reserve. For general admission events, simply nominate the number of reserved seats required.

You have the option of allocating Reserved seats ‘manually’ ie. without processing an order in TicketHost. Alternatively you may choose to select from the Reserved pool when placing a TicketHost order. (This includes Direct Payment Orders and Complimentary Tickets).

Note: Only authorised event organisers may reserve seats and allocate reserved seats. Please contact TicketHost if you wish to enable this authority for an event organiser.
