• Simple audit process requiring minimal training with more consistency • Web based platform consolidates documented due diligence for easy retrieval • Remote management viewing capability of all sites, audits and machine conditions • Platform that demonstrates proactive safety plan for leadership

• Provides you with the tools to recognize hazards, document audit inspections and training for your machine operators

Machine Safety Management has developed a secure internet based software program enabling schools and businesses to conduct and store machine safety audits electronically. Organizations can document compliance or become compliant by adding the necessary guarding hardware, available for purchase through Machine Safety Management. With a simple checklist process built on decades of machine safety knowledge,

operators are able to conduct their own audits with minimal training. Documentation is stored online, making the information accessible instantly to safety managers across multiple sites. The software package provides a method to fulfill required documented due diligence.

Lack of machine safety expertise to conduct audits Inadequate storage and retrieval of documentation Poor visibility of inventory and condition of machinery Validation that safety audits have been conducted

Inability to meet regulatory requirements including inspections (every 60 days

in the U.S. and every 30 days in Canada) and documentation of audits

MANAGE USERS & CONTACTS

Provides user contact information as well as role assignment for easy access. Documentation such as user certification or completed training courses can also be added and tracked by building, room, or machine.

REMOTE ACCESS

ROLE BASED ACCESS/SECURITY

Each organization selects a program or site administrator who sets the level of access for each user and defines what information they can see or edit in the software.

Audits, photos, documents and machine information/history are stored in a secure off site location.

Email reminders are sent to auditors based on a preselected number of days before the audit is due. As the audit due date approaches, if the audit is not complete, another email reminder is sent to the auditors. Also the administra-tors are notified that the audit needs attention. This feature is configurable by the customer.

Documents may be attached to many objects in the software including audits, sites, buildings, rooms and machines. Typical items that are added include an owner’s manual, lock-out tag procedures, training documents, and operator safety test results.

A machine may be tracked through its entire life cycle, including purchase, audits, upgrades, repairs and discard method/reason. Discarded machines remain in the database and can be viewed on the Search Machines page by selecting "Discarded Machines". Researching the reasons, methods and special circumstances surrounding the decision to discard machines enables the customer to better understand the machine life cycle, which in turn, allows for more informed purchasing decisions. Additionally, the software provides a way for other sites to view available machines for re-allocation.

DOCUMENT STORAGE

MACHINE LIFE CYCLE TRACKING

SECURE OFF SITE STORAGE AND BACKUP OF DATA

AUDIT REMINDERS

A powerful tool for browsing the machines in your database. Search machines by site, building, room, room type, manufacturer, configuration, machine type, model, serial number, guarding status, color coding status, etc. Further break- down the results to view the percentages in each category.

The software comes preloaded with an extensive suite of Machine Types and Machine Survey questions. Each machine is assigned a Machine Type and a series of pre-loaded machine specific safety questions. Nominally trained

personnel can successfully conduct a machine safety audit by answering a series of Yes/No machine specific safety questions that are designed to lead them through the process. Questions are also linked to the specific regulations and standards that apply to the question to reduce confusion and misinterpretation.

SEARCH MACHINES

MACHINE TYPES, SURVEYS AND QUESTIONS

Records everything that happens to a machine. Display the history of all machines, a subset of machines or an individual machine. There are two logs for each

machine, the “Machine Log” and the “Changes to Machine Specifications” table. The following items are logged automatically:

Changes to Machine Specifications table

•Updates to the Machine table

Machine Log:

•Machine status as determined by an audit •When a machine is moved to a new location

The following items are logged manually: Machine Log:

•Completed maintenance items •Products installed on a machine

•Photos of products installed on a machine •Notes or issues with a machine

•Additional machine specifications

MACHINE HISTORY/LOGGING

Survey photo uploading can be done quickly and easily using two different methods. The preferred method is to use an Android or Apple tablet or phone with internet access, log into the software and simply upload the photos direct to the website database.

The second method is to download the "Survey Photo" Android app to help organize and label your machine photos. Survey Photo writes the Machine ID, Audit ID, Room name and timestamp, in the filename of each photo. Photos are organized in folders by Site, Room and Audit ID. This makes it easy to determine which machine the photo belongs to, especially when uploading photos to the website at a later date.

Context sensitive help is available on every page by clicking the “Help with this Page” button. The Quick Start Guide and Survey Tips documents are available to aid the user in entering machines, conducting machine safety audits and general use of the software.

SURVEY PHOTO UPLOADING

The Audit Compliance Report displays information on the most recently completed audit for a site and the number of days that have passed since the audit was completed. The Data Base Item Count report is available to quickly view detailed information regarding counts of machines, sites, audits, reminders, etc.
